    Guest Relations Officer (SIOC-CDT Office Park - Kathu)

    POSITION PURPOSE
    Responsible for a variety of Department clerical duties and support functions. Completes basic word processing and filing tasks. Provides miscellaneous assistance as required. Responsible for total function related to the Gift Voucher system.

    ESSENTIAL FUNCTIONS AND BASIC DUTIES

    Assumes responsibility for the effective performance of all assigned clerical and support functions.

    • Controlling and monitoring of filing
    • Control and responsible for the redemption of gift vouchers and recordal thereof. Including the issuing of cheques to tenants for vouchers received.
    • Responsible for the re-ordering of vouchers.
    • Controls and completes the balancing of the gift voucher register.
    • Reconciliation of cheques issued compared to gift vouchers received.

    Assumes responsibility for establishing and maintaining effective communication and coordination with area staff and management.

    • Liaise with tenants and resolving any tenant query regards to the gift vouchers.
    • Keeps management informed of area activities and of any significant problems.
    • Providing information to clients, customers, management and tenants, via the Information Centre
    • Mall pollution manage
    • Developing and maintaining database
    • Tenant liaison and tenant visits
    • Actively participating as a member of a team to move the team towards the completion of goals.
    • Clearly conveying information and ideas through a variety of media to individuals and groups in a manner that engages the audience and helps them understand and retain the message.
    • Making customers and their needs a primary focus of one’s actions; developing and sustaining productive customer relationships.
    • Establishing courses of action for self and others to ensure that work is completed efficiently.

    Assumes responsibility for related duties as required or assigned.

    • Runs errands as requested.
    • Assists with special projects as assigned.
    • Ensures that work area is clean, secure, and well maintained.

    PERFORMANCE MEASUREMENTS
    Administration functions are performed accurately and timely.
    Good working relations exist with area staff, customers, tenants and management. Assistance is provided as needed. Effective coordination and cooperation exists.
    Management is appropriately informed of area activities.
    Reconciliation’s are done timeously and accurate.

    EDUCATION/CERTIFICATION:

    Matric.

    REQUIRED KNOWLEDGE:

    Knowledge of basic Department structure and work and information flow.

    EXPERIENCE REQUIRED:

    General office experience helpful.

    SKILLS/ABILITIES:

    • Well organised.
    • Good interpersonal and public relations skills.
    • Cooperative and willing to assist others.
