Co-ordinate allocated payroll processes in a timeous and accurate manner
Process 25th and 31st South Africa and non-South African payrolls
Ensure all employees are paid accurately as per contract type and payment dates
Process all changes to payroll, including but not limited to transfers, promotions, salary increases, terminations, garnishee orders, overtime, commissions, bonuses, and incentives payable
Calculate payable hours, including but not limited to overtime, commissions, overtime, bonuses, retrenchment packages etc.
Raise any queries or concerns regarding submitted payroll information with the relevant line manager
Respond to any errors in payroll by reviewing processes and where necessary obtaining authorisation for manual payments
Ensure all payroll records are accurately filed
Provide and process monthly payroll reports, cheque requisitions, journals and reconciliations including Skills development Levies, UIF, PAYE returns and payments
Process, capture and upload all new permanent, contracted, and casual employee contracts and related documentation
Create an employee record for all new employees and capture newly hired employee details onto the payroll system as per standard requirements
Ensure all relevant and available fields are completed for each new employee loaded onto the system
Maintain accurate records of contracts and deduction requirements including but not limited to contract start and end dates, loan repayments and work permits
Maintain employee records including the scanning of all documents received and update required changes
Complete, verify and process benefit forms and related documentation
Track and report on employee contract related matters including contract end dates, retirement dates, excessive use of sick leave, excessive overtime, annual leave balances, etc
Provide the required training to new employees on the payroll system and Employee Self Service
Provide and respond timeously to requests for information and employee queries on payroll, assess to system, benefits, leave, SARS, and relevant policies
Prepare cheque requisitions and load payments as and when required
Prepare all UIF documentation in support of terminations, maternity leave, disability applications etc.
Prepare all required records and documentation for audits
Provide required documents, namely payslips and contracts, for Department of Labour visits as and when requested
Ensure accuracy of data captured and perform data integrity exercises as per agreed timelines
Ensure compliance with all related laws and regulations including but not limited to minimum rates, taxation, and benefit administration
Liaise with service provider to address any system concerns or queries
Identify and make recommendations on improvements to current payroll processes
Respond to employee queries timeously and where required source the required information requested
Requirements
Grade 12 or equivalent qualification required
Qualification in Human Resources, Administration, or similar qualification an advantage
Minimum of one years experience with a payroll system is required
Experience working with HR systems is required
Experience working with confidential and sensitive information is required
Experience working with and maintaining an accurate filing system is required
