    People And Culture Officer (Hybrid)

    Duties and Responsibilities include but not limited to:

    • Collaborate with department heads to develop accurate and inclusive job descriptions and specifications. 
    • Utilise various platforms to advertise job openings, ensuring a diverse applicant pool in conjunction with the talent acquisition team. 
    • Efficiently screen applications, and shortlisting candidates based on qualifications and experience. 
    • Assist in conducting interviews and assessments, ensuring a comprehensive selection process. 
    • Coordinate reference checks and background verifications for potential hires in conjunction with the People and Culture Administrator. 
    • Prepare employment contracts and take on documentation with the help of the People and Culture Administrator. 
    • Support the Senior People and Culture Officer in overseeing the orientation and onboarding process for new employees. 
    • Ensuring Management is supported with regards to the induction process as well as with regards to the probation review process. 
    • Compilation of relevant reporting and accurate record keeping. 
    • Serve as a point of contact for employee concerns, grievances, and inquiries. 
    • Facilitate effective communication between management and employees, promoting transparency. 
    • Collaborate with the Senior People and Culture Officer to mediate conflicts and conduct investigations into workplace issues. 
    • Contribute to the planning and execution of employee engagement initiatives, fostering a positive workplace culture. 
    • Work in coordination with department heads to identify employee development needs and career progression opportunities. 
    • Support the monitoring of employee satisfaction, proposing strategies for improvement and positive change.
    • Partner with department managers to assist in setting clear and achievable performance goals and objectives. 
    • Support the implementation of the performance management system, including regular reviews and feedback sessions. 
    • Provide guidance, in collaboration with the Senior People and Culture  Officer, on addressing performance issues and creating improvement plans. 
    • Contribute to the monitoring of performance metrics and identification of high-potential employees for leadership development. 
    • Collaborate with managers to ensure alignment of individual performance with organisational objectives.
    • Stay updated with South African labour laws and regulations to ensure the organisation's adherence. 
    • Collaborate with the Senior People and Culture Officer to review, update, and maintain People and Culture policies, procedures, and the employee handbook. 
    • Assist in maintaining accurate record-keeping of employee documents and files, ensuring compliance with legal requirements. 
    • Support the management of health and safety policies and protocols to ensure a secure work environment. 
    • Work alongside the Senior People and Culture Officer and Payroll in the administration of employee benefits as required.
    • Assist in collecting and analysing People and Culture data, such as turnover rates, recruitment metrics, and employee satisfaction surveys. 
    • Collaborate with the Senior People and Culture Officer to generate regular reports and dashboards for management, highlighting key People and Culture trends and insights. 
    • Contribute to data-driven recommendations aimed at improving People and Culture processes and strategies. 
    • Support the preparation of annual workforce plans and budget proposals in collaboration with the Senior People and Culture Officer. 
    • Utilise information systems to maintain accurate and up-to-date employee records.
    • Collaborate with the Senior People and Culture Officer to provide guidance, mentorship, and support to the People and Culture team. 
    • Collaborate with the Senior People and Culture Officer in senior management meetings, offering People and Culture insights and contributing to strategic decisions. 
    • Foster a culture of teamwork, diversity, and inclusivity within the People and Culture department and across the organisation.
    • Collaborate with the Skills Development team to identify training needs and support the design of relevant programs. 
    • Assist in coordinating and facilitating training sessions on topics such as People and Culture policies, diversity and inclusion, and professional development. 
    • Encourage a culture of continuous learning and skill enhancement among employees in collaboration with the Skills Development Officer.
    • Ensure comprehensive and detailed exit interviews are conducted within 48 hours of termination notification being received.  
    • Ensure accurate reporting on exit information.  
    • Notification of termination to relevant stake holders

    Requirements:

    • Bachelor's degree in Human Resources, Business Administration, Psychology, or a related field.
    • Proficiency in local languages is preferred.
    • a Honours degree in a related discipline would be an advantage.
    • Minimum of 3 years experience in a HR Officer/ Specialist role covering full functions of Human Resources (People and Culture) within an organisation of 400 head count or more ideally within an NGO environment. 
    • Excellent problem-solving and conflict resolution abilities. 
    • Proficiency in HRIS systems and Microsoft Office Suite. 
    • Outstanding analytical, organisational, and problem-solving abilities. 
    • Excellent communication skills and a passion for people.
