Switchboard Operator at Rand Refinery

PURPOSE OF THE POSITION

The purpose of this role is to deliver friendly, efficient customer service and to create a warm and welcoming atmosphere for all of our visitors within the Visitors Centre.

• To assist with administrative duties, carries out a limited range of administrative, operational or customer service responsibilities.

DECISION MAKING

• Problems are resolved by reference to established procedures.

MAJOR RESPONSIBILITIES

• Consistently deliver excellent customer service.
• Deal with all enquiries in a professional and courteous manner. Ensure that queries are attended to as and when received.
• Liaise between Security reception and Security personnel regarding visitations.
• Answer telephone calls, screen and direct when necessary (managing and operating the switchboard).
• Schedule electronic appointments for meeting rooms – avoid double bookings.
• Coordinate meetings and organise catering.
• Ensure cleanliness and appearance of Visitors Centre.
• Birthday cards to be distributed monthly.
• Update Intranet telephone list and speed dial listing.
• Ordering stationery, crockery & beverages.
• Perform ad hoc or additional responsibilities within reasonable request of the HR Manager.

Requirements

MINIMUM REQUIREMENTS

• Preference will be given to candidates with a completed Matric qualification.
• Must have at least acquired 5 years of experience in Reception/ Administrative related roles.

SKILLS AND KNOWLEDGE

• Intermediate computer proficiency - SAP and MS Office.
• Excellent verbal and written communication skills.
• Telephony skills - knowledge of operating the Mitel system.
• Have a clear understanding of how to operate within a corporate environment.
• Be able to deal with customer queries.
• Professional personal Presentation.
• Customer service orientation - experience should have been gained in multinational companies.
• Advanced organising and planning skills.
• Attention to detail – considering the fact that the incumbent will be working closely with Exco Members and Directors.
• Advanced problem-solving skills.
