    Executive Secretary & Media Administrator - Bryanston

    A day in the life of an Executive Secretary & Media Administrator:

    Media Administration

    • Process and manage all Purchase Order creation in the system.
    • Coordinates with Media Agency for all PO modifications and process cancel & replace POs which leads to quick invoicing.
    • Responsible for all Good Receipts confirmation of Media Purchase Orders.
    • Act as primary problem solver concerning PO discrepancies and is charged with following up for missing paperwork and authorizations.
    • Track, check and ensure that all Media invoices received corresponds to purchase orders sent to the agency.
    • Reconciling and reporting on the status of Purchase Orders and Goods Receipts.
    • Manages events and conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers and involvement in budget control.
    • Organises and plans logistics (i.e., facility selection, menu planning, transportation arrangements and audio/visual equipment) for company meetings, special events and conferences.
    • Liaise and co-ordinate with hotels, conference venues for best possible prices and physical visit to new venues to check on suitability and appropriateness. Ensure hotels use Nestlé products as per directive from Managing Director. Synchronize all functional events on functional calendar, co-ordinate events and promote synergy within teams.
    • Assists the Senior Leadership Team during the development of major projects from commencement to completion. Monitors progress of project activities and assists the Team with documentation when necessary. Schedules status updates and prepares supporting documents.
    • Manage & process all purchase requisitions by ensuring that they are properly administered in the system and support the team with monitoring, reconciling, and reporting on the status of Purchase Orders and Goods Receipts.  Ensure payment to all vendors & checking that all invoices are in line with our procurement policy. Manage the liquidation process by reconciling Directors expenses.
    • Provide specialised administration functions involving compiling and arranging data, making computations, laying out and preparing reports, processing, and coding documents and maintaining specialised and comprehensive records and filing. Prepares reports and resolves discrepancies.
    • Co-ordination and management of visit programs for overseas visitors: airport transfers, inland transfers business and private, accommodation arrangements, meeting arrangements with various parties as required by the visitors, feedback of arrangements to concerned parties.
    • Ensure that policies and procedures are documented, kept up to date and are accessible to all.         
    • Ensures maximum, efficient operation of all Department facilities and equipment.                                                    

    Management of the office of the NimCom Member

    • Manages the NimCom members complex calendar independently
    • Screens incoming calls & correspondence as and when required by the NimCom member
    • Organizing meetings, including scheduling, sending reminders, collate an agenda, ensure timeous pre-reading is provided where needed, minute taking and organizing IT support & catering when necessary.
    • Plan the NimCom members day so that enough time is allocated for strategy, preparation, and admin
    • Tracking and follow up of Action Items
    • Arranges complex and detailed travel plans and itineraries, visas, compiles documents for travel-related meetings.
    • Re-routes urgent matters for attention in the absence of the Functional Head
    • Communicates with company senior managers and executives and external stakeholders
    • Managing NimCom members deadlines to ensure they are met

    NimCom Office Support                                              

    • Provide specialised administration functions involving compiling and arranging data, making computations, laying out and preparing reports, processing, and coding documents and maintaining specialised and comprehensive records and filing. Prepares reports and resolves discrepancies.
    • Arranging and making diary entries: Arrangements of meetings including all required resources and confirmation of attendance with attendees
    • Review of all diary entries with NimCom Member on a regular basis to ensure smooth running of same
    • Advise NimCom Member on how to leverage on different functional events by sharing calendar and maximising on the events and meetings already booked.
    • Co-ordination and management of visit programs for overseas visitors for business trip & assist with personal trips if required: agenda, airport transfers, inland transfers, accommodation arrangements, meeting arrangements with various parties as required by the visitors and the business, feedback, and confirmation of arrangements to concerned parties. Ensure that all arrangements are always intact.
    • Ensure adherence to policies
    • Maintain up to date Leave Records for the Department for peak leave periods.
    • Maintain up to date Organogram for the Department             
    • Ensure accuracy of the Departmental Outlook Distribution List
    • Maintain an up-to-date Contact List for the Department                                                                                                    

    What will make you successful

    • Post Matric qualification i.e., Business Administration Qualification
    • 3-5 years’ experience
    • Knowledge of SAP
    • Proven track record to work independently

    Customer Supply Chain Specialist - Bryanston

    Position Summary

    Drive innovative collaborative Supply Chain solutions that deliver a competitive advantage by optimizing cost to serve and maximizing fresh product availability in both Traditional and Modern Trade environment, as well as give inputs and roll out together with the Sales Team the defined O2C Service Strategy for ESAR Market.

    A day in the life of a Customer Supply Chain Specialist:

    • Deliver Supply Chain value creation for Nestlé and the Customer:
    • Understanding the Customer’s KPIs, agreeing targets with the Customer, and reporting regularly against these targets
    • Understanding and raising the awareness of the Customer's Supply Chain and its alignment to Nestlé’s Supply Chain to deliver efficiency and on-shelf availability
    • Ensure warehouse stocks and quality management is in place with Key customers.
    • Drive cross functional alignment:
    • In partnership with Sales and across the Nestle Supply Chain, define and lead a common customer Supply Chain strategy with Key customers (30-60-90)
    • Work with the Sales to define joint improvement plans with Customers to enhance Nestlé's "ability to win", supported by CFSC methodologies (Joint Business Planning)
    • Provide visibility of Key account Customers' inventories to facilitate discussion in Pre MSR (monthly sales review)/MBPC (Monthly business plan cycle).
    • Be a Supply Chain ambassador for Nestlé and the Customer:
    • Drive success of Customer Order Fulfilment, On Shelf Availability, On Shelf Freshness and Distributor Stock Availability.  
    • Be the customers point of contact for supply chain (e.g., ensure Supply Chain priorities and measures are followed in joint business plans with key customers), excluding operational order management (CSA)
    • Highlight the business opportunities for both Nestlé and the Customer, in creating competitive gaps through supply chain value creation.
    • Drive all other Supply Chain Customer efficiency initiatives e.g., Cost to Serve, Collaborative Planning, etc. and represent Nestlé in the industry.

    What will make you successful

    • Relevant Degree/Diploma in Supply Chain or equivalent where Planning, Logistics was one of the majors.
    • 3 - 5 years or more experience in at least two of the following areas:

    • Cross-functional expedience (SC, MS&S, FI)

    Logistics and Delivery Services Manager - Bryanston

    Position Summary

    Ensure proper delivery services offer according to local customers’ expectations and in line with Nespresso international standards and guidelines.     A day in the life of a Nespresso Logistics and Delivery Services Manager

    • Develop operational excellence in Physical Logistics Management
    • Define strategy with Supply Chain Manager and CCS for optimum warehouse network within Market / Region.
    • Set adequate measures and respective target values for service and cost to effectively monitor the 3PL’s performance by:
    • Liaising with TQM department to ensure that all aspects of warehouse operation are compliant with Safety, Health & Environment, Quality guidelines.
    • Manage relationship with logistics providers taking insight from Nespresso Sales departments.
    • Ensure that consistent LRP (Logistics Resources Plan) is constructed, through collaboration with DSP team, in order to ensure zero backlog and that is regularly supplied to 3PL provider.
    • Lead RFQ with potential distribution suppliers; Select optimal 3PL provider and to actively manage the contract.
    • Ensure that there is documented BCP (Business Continuity Plan) for the logistics operation, that is tested on a yearly basis.
    • Ensure collaboration with internal customers / other functional departments (customer service, transport, DC, factories, HQ) and between 3PL providers for a quick reaction to urgencies or issues.
    • Influence other stakeholders in Supply Chain and within Market by proactively providing information to continuously improve service and cost, and to avoid bad goods.
    • Define key performance indicator, monitor, and benchmark performance with similar Nespresso Markets & eCommerce industry.
    • Liaise with Technical & Quality Department to ensure all aspects of our distribution operations are compliant with Food Safety, Environment, Quality & Safety related policies.
    • Ensure compliance with Nestlé Corporate Business Principles and Supply Chain & Procurement Policies.
    • Ensure compliance with the Nestlé Policy on conditions of work & employment and all HR policies.
    • Ensure management of budget for 3PL services.
    • Propose cost saving project to department based on spend & market analysis ensuring adequate level of service.
    • Give transparency on the cost of warehousing, custom clearance, and delivery services.
    • Manage, report and comment regularly (weekly/monthly) the business KPI’s on delivery, logistics activities, action plans and cost. Report relevant KPI to the Nespresso Organisation

    What will make you successful.

    • Completed Degree or Diploma in Logistics, Supply Chain or similar.
    • At least 5-8 years of professional experience in logistics and distribution operations and Direct-to-Consumer business model (logistics, distribution) at Management level
    • Has worked/ been exposed to collaborative business development projects in logistics and distribution.
    • Has been using ERP and WMS systems for logistics and distribution processes and decision support. Microsoft Dynamics experience advantageous.
    • Has successfully managed relationship with external providers for warehousing, equipment and/or transport
    • eCommerce experience
    • Fluent in English with strong communication skills
    • Customer Oriented
    • Analytical skills
