    • Assesses and monitors student performance and progress, using data driven decision making and defines next steps in the personalised learning journey. Integrates this information into future planning.
    • Undertakes, teaching and learning assessment of students as required by Academics Department as well as Crawford International assessment expectations.
    • Completes various reports for parents, Principals and/or Academics Department throughout the year (STASY, Inquiry Units, Other)
    • Participates in the moderation and standardisation process, of formal assessments. Participate in team marking, clusters and IEB moderation as required.

    Student Behaviour Management (10%)

    • Manages student behaviour in the classroom by establishing rules, essential agreements and procedures as expected behaviours.
    • Promotes personal, social, physical and emotional well-being of individual students, groups of students, through mentorship program.
    • Provides guidance and advice to students and parents.
    • Identifies students who may have barriers to learning and inform the appropriate people to initiate the next steps to support individual progress.

    Assessment Officer X3

    Duties and Responsibilities:

    Managing and Tracking Assessment Printing

    • Responsible for the steps in the assessment process from point of the Assessment Printing Tracking System (APTS) capturing to receiving crates from Colourtech.
    • Responsible for ensuring that correct orders are placed and fulfilled as per the Assessment Printing Tracking System (APTS).
    • Responsible for ensuring that actual student numbers are updated in the Assessment Printing Tracking System (APTS).
    • Ensure that the student numbers, venue and Invigilator details have been inserted into the Assessment Printing Tracking System (APTS) as per the batching timeline to allow for prepacked assessments being delivered in the Colourtech batches.
    • Responsible for checking the crate contents when they arrive from Colourtech to ensure that all the assessments have been packed and grouped as requested on the Assessment Printing Tracking System (APTS). 
    • Informing national office that the centre has completed the Assessment Printing Tracking System (APTS) inserts and batch checks and of any discrepancies in the batch and crate checking process.
    • Ensure that the crates and locks are returned to Colourtech timeously after the batch has been checked.

    Invigilator Recruitment and Management

    • Assists with Invigilator training.
    • Co-ordinates the booking of Invigilators.
    • Assist with Invigilating when required.
    • Responsible for reconciling the Invigilator reports pre and post assessment.
    • Logging assessments in and out with Invigilators.

    Pre-Assessment Logistics-Initial and Replacement Assessment

    • Manages all aspects of preparation for upcoming assessments.
    • Informs students when Programme Assessment Schedule is uploaded and available.
    • Ensures the assessments and memos are stored securely in the campus academic safe at all times.
    • Responsible for the preparation of all assessment documentation.
    • Pre-assessment logistics need to accommodate concession applications.
    • Liaising with the IT department regarding IT assessment set up and preloads which may be required for practical assessments.
    • Manages all assessments being written on campus.
    • Reconcile scripts at the end of each assessment and hands over to the Results Centre for the marking, results capture and moderation process.
    • Ensure all assessment documentation above is up to date at all times and compliant with all assessment and audit processes.
    • Reconciliation of the Invigilator’s report that summarises all the necessary and that is batched with the scripts for delivery to the lecturer for marking. Any discrepancies must be noted on the Invigilator report and investigated.
    • Management of all aspects of different location approvals.
    • Management of Online Centre student assessments and scripts.

    Non-exam Condition Assessment Processing

    • Responsible for the set-up of student groups and deadlines on SafeAssign and Turnitin as per the Programme Assessment Schedules (PAS).
    • Responsible for the collection of the assignments from the assignment submission point on campus.
    • Reconciliation of assignment submission , signing sheet and identifying assignments not submitted through the online plagiarism detection software & handing over to the Results Centre.
    • The Assessment Centre is responsible for collecting, collating, grouping and handover to the Results Centre.
    • Manage late assignments in accordance with the Assessment Strategy and Policy.

    Exam Condition Assessment Escalations

    • The Assessment Centre facilitates the resolution of any escalations that may occur during the writing of an exam that relate to the exam paper in particular.
    • Raising queries with Programme Operations Manager (POM) when assessments are running. The Assessment Centre receives communication in respect of the Central Academic Team (CAT) decision and is responsible for communicating in turn to all students at the various venues in which the assessment is being conducted. If escalations cannot be remedied on site during the assessment this could result in a post assessment remedy by way of a rewrite or a mark adjustment.
    • Communicating query resolution to respective different location and alternate venue Invigilators.
    • Manages the escorting of students to the bathroom during assessments.
    • Deals with any issues/queries that Invigilators may raise during assessments.

    Team Support General

    • Responsible for ensuring all students notes are captured in the System for Academic Management.
    • An incident report must be completed for any action which results in non compliance in the Assessment Centre for approval on the way forward. (For Action Now (FAN) Report)
    • The Assessment Centre is a secure centre and access in and out of the centre must be logged.
    • Assisting with campus specific projects/events (Graduation, Open Day etc.)
    • Focus group sessions to reflect on the systems of the centre.

    Competencies Required:

    • Proficient on MS Excel and MS Word

    Student Wellness Specialist

    Duties and Responsibilities:

    Provision of Student Emotional and Mental Counselling Services

    • Provides individual primary counselling to students and explores/determines if the student should be referred for secondary counselling and unpacks their referral options if appropriate.
    • Provides students with coping techniques and skills to deal with life challenges.
    • Receives the signed consent form from the student prior to the commencement of the first counselling session.
    • Establishes trustworthy relationships with students that opens channels for communication between the campus and students.
    • Facilitates group counselling for students with similar problems.
    • Establishes a referral network for secondary counselling.
    • Presents Life Skills workshops addressing relevant social and emotional problems experienced by students.
    • Creates awareness campaigns surrounding universal social and emotional issues and sources relevant guest speakers to add value to the campaign and address students on relevant topics

    Creation, Rollout and Monitoring of Awareness Campaigns

    • In collaboration with the academic, academic operations and student experience teams, sets a bi-annual calendar for the following semester of awareness campaigns to promote and enhance community engagement awareness and involvement.
    • Identifies key NGO's / stakeholders, suggests possible campaigns and plans awareness campaigns accordingly.
    • Designs, develops, implements and manages awareness programmes and campaigns and includes and oversees the Cares committee in assisting with marketing and creating awareness for these campaigns.

    Planning, Rollout and Monitoring of Community Engagement Programmes

    • Facilitates engagements between The IIE's students, staff and Non Government Organisation (NGO's) and identifies opportunities for Community Engagements projects.
    • In collaboration with the academic, academic operations and student experience teams, sets and plans a bi-annual community engagement and outreach programme calendar of events.
    • Markets sustainable community engagement outreach programmes and encourages student participation in these programmes.
    • Creates awareness amongst staff and students regarding social and environmental issues.
    • Manages logistics and implementation plans for the successful rollout of community outreach programmes.
    • Empowers students with a sense of citizenship and encourages students to get involved in activities for community engagement projects in their area (e.g. by donating blood, donation drives and outreach projects).
    • Provide volunteer opportunities for students to give back, participate in community outreach programmes and sharing the skills with them to do so.
    • Co-ordinates communication and visibility of campaigns (including sharing posters on the WhatsApp community groups).
    • Identifies beneficiary organisations with students for community outreach programmes.
    • Facilitates, drives and organises the National CSI - KHUMO project on campus. Ensure collaboration with Academics, Academic Operations / Student Experience team and students.
    • Identify a KHUMO school in need and determine the school's needs analysis before the commencement of various projects at a school.
    • Establish sustainable and strong relationships with identified school and ensure projects are maintained over a 3 year period.
    • Manages the KHUMO budget and keeps track / records of the events / involvement with the KHUMO school and tracks spend allocated and utilised for various projects.
    • Bursary and Bursary Management
    • Identifies, appoints and manages the Cares committee to ensure involvement and rollout of awareness campaigns and community engagement initiatives and projects on and off campus.
    • Conduct mid year reviews with the Cares committee to monitor academic performance and provide feedback on roles and responsibilities. Ensuring Cares committee training and development programmes are curated to ensure upskilling of committee.
    • Manages the Student Wellness Specialists budget and augments budgets through fund raising initiatives for community engagement projects.

    Student Wellness Administration and Reporting 

    • Provides annual registration process support specifically relating to the marketing of the Student Wellness Specialist services.
    • Communicates and liaises with students specifically in relation to Student Wellness services available.
    • Compiles and submits weekly Student Wellness status and progress reports as well as the weekly Student Activity Report to the Manager: Student Wellness Services including statistics and details of counselling sessions and referrals. (SAR Report and the Cares Updates).
    • Markets, uploads and maintains a monthly register of workshops and videos regarding awareness campaigns available and in the designated wellness weeks.
    • Ensure all marketing material / posters / infographics / videos are approved and available to students prior to the commencement of the initiatives.
    • Compiles and submits the necessary reports to the national office and ADvTECH head office as and when required.
    • Ensure effective and efficient service delivery to students by monitoring and communicating with students via the various platforms (Online Booking form, IIE Assist, Email)
    • Keeps records of each counselling session and any interventions implemented or recommended and captures notes on the relevant business system (SIS) to track these sessions for reporting purposes and ensure that the maximum number of sessions (6 per student issue) is not exceeded.
    • Compiles and reports on monthly Corporate Social Investment (CSI) activities on the CSI Tertiary Hub.

    • Executes the academic policies and procedures for all academic and support staff

    • Develop and submit recruitment specifications to HR, ensuring that vacancies are filled with suitably skilled and qualified candidates.
    • Identify competency gaps and training needs within the team and ensure that relevant training and development initiatives are implemented.
    • Develop and maintain succession plans to ensure continuity of critical finance functions and support long-term departmental stability.

    B-BBEE Compliance Responsibilities

    • Oversee and manage the financial components of the organisation’s B-BBEE strategy, ensuring alignment with legislation and the applicable sector codes.
    • Ensure accurate collection, verification, and submission of all financial information required for annual B-BBEE audits, including procurement spend, skills development expenditure, enterprise and supplier development (ESD) contributions, and socio-economic development (SED) spend.
    • Monitor preferential procurement performance, ensuring suppliers are BEE-compliant and contribute positively to the organisation’s procurement scorecard.
    • Work closely with HR and other departments to track and validate expenditure relating to skills development and employment equity, ensuring accurate classification for BEE purposes.
    • Prepare supporting schedules, reconciliations, and evidence files for BEE verification and ensure timely submission to the rating agency.
    • Analyse and report on BEE performance (monthly, quarterly, and annually), identifying gaps and recommending interventions to improve the organisation’s BEE score.
    • Ensure that internal controls, processes and documentation standards support BEE compliance, including supplier onboarding processes and record-keeping frameworks.
