    Control & Guardrails Manager

    Main purpose of job:

    The Controls and Guardrails Manager is an exciting opportunity to play a lead role in the iOps transformation journey by ensuring financial controls remain intact and robust throughout the transition into the new operating model. The role is responsible for:

    • Ensuring process changes during transition and throughout BAU operations is able to support effective controls

    • Leading any audit of financial controls that are within the scope of IOPS

    • Ensuring control culture is robust within the PDG and partner team

    • Managing all existing ZBC and Controls related to Africa Order to Cash till these services are transitioned to iOps project

    Key responsibilities include:

    • Managing all existing ZBC and Controls related to Africa Order to Cash till these services are transitioned to iOps project

    • Owns transition; execution of financial controls

    • Ensures completeness and execution clarity of controls to be transferred with any scope of work

    • Provides support to country controls team in navigating the transition.

    • Ensures consistent execution of GFCF in operations.

    • Partners with controls experts across the globe: Process Excellence, Control Service Center, GCAD, MCO Controllers network, and Risk Managers for alignment on controls process expectations. Participates in community of practices for Controllers and OC custodians for controls projects, insights, benchmarking and cross-pollination.

    • Executes initiatives (automations and process improvements) for better financial controls application and visibility in operation

    • Lead discussions on integration of access management and IT controls within E2E operations

    • Drive analytics driven controls health monitoring

    • Leads Financial Audit, Corporate, and SOX audit

    • Initiates conversations with MCO to ensure E2E compliance across OC and Unit

    • Leads documentation compliance for financial controls, and generates reporting solutions for controls in order to support MCO and OC compliance

    • Ensures closure of any CDR memos and gaps identified from audit engagements

    • Drives operational controls with partners

    • Expert resource that challenges and ensures effective operational controls are in place in partner operations.

    • Drives framework and initiatives for strong and visible operational controls.

    • Ensures guardrails are effective and relevant – i.e. Business Rules are up to date, process validations in operations are effective to detect even small issues, SOPs are complete and up to date, BCP plans are up to date and relevant.

    Experience and qualifications required:

    • Business acumen and customer centric mindset

    • E2E function agnostic integrator (non-silo mentality)

    • Understanding GFCF Financial Framework

    • Ability to drive change 

    • Holding people accountable (peers, leaders and external stakeholders) and strong personal accountability for delivery

    • Ability to work effectively in both independent and diverse multi-task team environments 

    • Experienced in leading/working with virtual teams and driving performance across a diverse mixture of cultures. 

    • Experience/strong understanding in Customer Service, Finance, or O2C area(s)

    • Demonstrable capabilities in creating and managing strong senior relationships, including excellent presentation, influencing and communication skills

    • Demonstrable Agile mindset and capabilities

    • Experience managing a team

    • Strong English language skills written and spoken; other European languages advantageous

    • Understanding and excellent application of Analytical tools. Microsoft Excel & PowerPoint capability

    Unit Manager

    MAIN JOB PURPOSE:

    To ensure the production and packaging of company products, according to the production plan and within company’s quality, safety standard and oversees the overall running of the processing plant.

    JOB SUMMARY:

    Production Management

    • Agrees and implements production plan with production manager. Support, guide and direct within the production plan. (e.g. if a production line breaks down, prioritise production requirements and re-allocates labour accordingly).

    • Analyses shift results and implements any necessary changes to increase productivity

    • Ensures that quality standards are implemented and adhered to and diagnoses plant problems (fault finding) and liaises with Engineering Foreman for plant repairs and interprets fault finding to optimise production. Ensure that shift repairs and maintenance is carried out by the Team Leaders and operators to reduce the impact of downtime

    • Conducts shift handover meetings and daily production meetings with the different production disciplines to analyse previous shift results and implements any necessary changes to meet demand

    • Responsible for ensuring sufficient staff manning and adequate raw materials availability

    • Identifies root causes and costs of waste, contamination and inefficiencies and takes appropriate action to reduce these amounts. Monitor and reduce wastes such as product, packaging, steam, air, water and electricity

    • Monitors and ensures adherence to Company standards and SOP’s. Ensures that Plant is maintained in a high level of engineering, housekeeping and Safety standards

    • Implements total productive maintenance to improve PQCDSMI (Production, Quality, Cost, Delivery, Safety, Morale, and Innovation) in order to deliver against set Factory targets

    • Implement recommendations from SHE, Quality or engineering. Ensures responsible management of SHE, Quality and Engineering using the SHE, Quality and Engineering Teams as Subject Matter Experts

    Operational Systems

    • Ensure that all employees adhere to the operational systems standards (SAP, PAMCO, DFOS, TMIS, PMIS, FINPRO, ABC quality, ESS, time keeping etc) and manages the business processes defined within these operational systems

    • Identifies reasons for staff non-conformance (e.g. training required, managing poor performance, refusal to obey lawful instruction, absenteeism) and takes appropriate action

    • Monitors processes and changes and ensures that corrective action has been taken in the event of a non-conformance

    • Coordinates the implementation of TPM (Total Productive Maintenance) and world class principles in the factory

    Safety

    • As a section 16.2 appointee is required to ensure that the OHS act and company SHE regulations and standards are implemented and adhered to within the sphere of his/her responsibilities

    • Takes corrective action in the case of non-compliance as per the Section 16.2 requirements

    • Prepares for quarterly and annual Audits

    • Ensures adequate level compliance with the said policies, procedures and standards to meet all certification requirements at any given time

    • Ensures Business and Factory strategy for Safety is executed at a tactical level

    Cost Management

    • Drives a cost-conscious and zero waste culture

    • Monitors and ensures MUC losses and conversion cost losses are eliminated against budgets

    • Ensures budget constraints are complied with and variances are actioned

    • Identifies sources of waste and takes action to minimise waste

    • Monitors Rand per Ton costs and shares info with teams

    • Monitor and Control sundry costs such as PPE, telephone, tearoom etc

    • Manages and accounts for inventory control for area of responsibility

    People Development

    • Identify training gaps for subordinates based on losses/ business need and execute plan together with HR/Training to close them

    • Develop Personal Development Plans for subordinates and monitor progress

    Industrial Relations

    • Initiates disciplinary action/enquiries and recommends dismissals

    • Resolve conflicts within immediate team and facilitates conflict resolution within subordinate teams

    • Builds and maintains levels of trust with the Union Leadership and Shop Floor to facilitate win/win situations

    • Eliminates industrial action

    Training and development

    • Performance management and Human Resources coordination

    • Projects Management and re-engineering project management. Manage ad hoc projects related to continuous improvements as detailed in PDP targets

    Innovations and Technology Change Management

    • Lead and ensure execution of the VIP Programs for the factory

    • Drive Innovation projects in the processing plant.

    • Ensure effective link with R&D, Planning and factories for innovation, Capacity and VIP delivery

    • In case of existing technologies responsible to drive innovation process from Contract gate to Commissioning in the cluster.

    •  Develop local technology standards for unique technologies.

    KEY REQUIREMENTS:

    • Completed Degree/ BTech Chemical Engineering

    • Strong leadership and management experience of large teams who work shifts

    • Sound strategic and operational Production management experience

    • Budget and cost reduction experience

    • Compilation of training manuals, coordinate and facilitate training

    • Strong Industrial Relations experience through to CCMA. This must be within a unionized environment

    • Support, guide and drive OHS and SHE regulations and standards and ensure compliance

    • Manage multiple stakeholders and numerous re-engineering projects

    • Knowledge and understanding of the following will be an advantage:

    • WCM (World Class Manufacturing)

    • High precision packaging robots

    • Expert project management experience

    Assistant Finance and Governance Officer

    PURPOSE

    To assist with the finance and governance duties of the Pension Fund.

    The incumbent will also facilitate the surplus query and distribution process.

    Other duties will include tasks that are of a planning, organizational and prioritization nature.

    JOB RESPONSIBILITIES

    Financial Administration

    • Retention of service provider supporting documents to accompany payment requisitions to the Fund administrator.

    • Ensure payments of service providers are complete and on time.

    • Raising of purchase orders and goods receipting of invoices when required.

    • Investment bank reconciliations (x2 accounts).

    • Assist to analyze pension fund contributions.

    • Assist with intercompany reconciliation including commentary.

    • Assist with statutory correspondence queries during annual audit.

    Trustee Elections and Governance

    • Planning and execution of trustee elections at Unilever sites in accordance with the Pension Fund rules and the Pension Funds Act.

    • FICA document collection and retention for trustees, asset managers and bankers.

    • Capturing and retention of Continued Professional Development (CPD) documents from trustees and pension benefits management team.

    • Maintenance of Fund and trustee registers.

    • Facilitating approval of Fund resolutions via DocuSign.

    Co-ordination of Meetings

    • Board of Trustees (+30 attendees - internal and external attendees and held quarterly)

    • Pension Investment Committee (held quarterly)

    • Audit Committee (held biannually)

    • Facilitating approval of the minutes of meetings via DocuSign.

    Travel and Seminar Arrangements

    • Principal Officer (local and international)

    • Trustees (Local – the 6 elected trustees)

    Document Management

    • Ensure document storage facilities are secure.

    • Ensure the pensions SharePoint is up to date and categorized accordingly.

    • Co-ordination of surplus query documentation.

    • Ensure face to face meetings are adequately planned.

    Surplus Queries

    • Facilitation of surplus queries and the investigation process.

    • To update and maintain the register of surplus queries/cases.

    • Surplus query/case reporting at Board of Trustee meetings.

    KEY REQUIREMENTS

    • Financial or HR/legal qualification or plans to get a similar qualification.

    • Previous work experience preferably in a pension fund related environment, or otherwise in the HR or legal environment coupled with financial administration capabilities.

    • An understanding of Pension Fund rules, Pension Funds Act and rules regarding surplus distribution.

    • Understanding of the requirements of the Protection of Personal Information Act (POPIA)

    • Strong organizational skills and attention to detail.

    • Ability to anticipate needs and solve problems proactively.

    • Strong multi-tasking skills with a comfort to managing deadlines.

    • Solid relationship management skills.

    • Ability to work independently as well as in a collaborative team environment with good interpersonal and communication skills.

    • Integrity is essential as is the ability to communicate with stakeholders at all levels.

    • Proficiency in MS Office applications required (Excel, Word, PowerPoint, OneDrive, Outlook, SharePoint etc.)
