    Front Office Coordinator

    Key Responsibilities Include but Are Not Limited To

    • Assist the Reservations Manager with strategy implementation and planning
    • Oversee smooth and professional check-in/check-out procedures
    • Monitor guest profiles, preferences, and memberships on Opera
    • Resolve guest complaints promptly and effectively, escalating where necessary

    Key Responsibilities Include but Are Not Limited To

    • Plan, schedule and supervise all preventative and reactive maintenance across electrical, plumbing, HVAC, and general building systems

    • Perform bookkeeping up to trial balance.

    Chemical Process Engineer

    Sales Administrator

    Key Responsibilities Include but Are Not Limited To
    Customer Enquiries

    • Respond promptly to customer phone calls and e-mails
    • Refer non-order enquiries to the correct person

    Quotations & Tenders

    • Prepare customer quotations in line with the Consumer Protection Act
    • Compile and submit daily tenders before closing date/time, after internal approval
    • Follow up with clients on tender pricing

    Order Processing

    • Capture orders accurately with full customer and site details
    • Place all account-customer orders on hold until released by credit control, following credit-control procedures

    Pro-Forma Invoices

    • Generate pro-forma invoices within one hour of order confirmation for CBD customers
    • Ensure and follow up on payment before delivery date
    • Send pro-forma invoices for final orders and request payment on the same day

    Account Customers

    • Obtain official order numbers with full details
    • Assist accounts department with charge queries and order numbers

    Pump Liaison

    • Arrange pump inspections with affiliated pumping company when concrete is to be pumped
    • Maintain pumping schedule with manager and update via email, whiteboard and Batchman system

    Scheduling & Client Liaison

    • Confirm all orders the day before (12 pm–1 pm) with correct mix, date, time, address, site contact and order number
    • Phone previous cash customers to requote

    Plant Management

    • Communicate daily with all plants to ensure orders and pumps are on time
    • Reschedule actively for plant breakdowns, client delays or traffic issues
    • Update forward planning daily and standing orders weekly
    • Monitor production and adjust programme as required, advising clients of delivery times and issues

    Despatch

    • Monitor trucks on site and chase any that stand too long
    • Maintain attention to detail for the full duration of customer deliveries

    Criteria

    • Previous experience in sales administration or dispatch/logistics environment essential
    • Knowledge of concrete or related construction industry advantageous but not essential

    Financial Accountant

    Requirements:

    • Bachelor’s degree in Finance, Accounting, or a related field (Honours or professional qualification e.g. CIMA, SAICA/CA(SA)/AGA(SA), or SAIPA advantageous).
    • 1–2 years’ relevant accounting/finance experience, preferably across multiple entities.
    • Strong knowledge of accounting principles, IFRS for SME’s and local compliance requirements.

    • Maintain accurate accounting records and general ledgers for all three companies.
    • Prepare monthly management accounts & balance sheet reconciliations
    • Ensure accurate and timely month-end and year-end closings.
    • Assist with annual budgets, forecasts, and variance analysis.

    Compliance & Statutory

    • Ensure compliance with IFRS for SME’s and all statutory requirements.
    • Manage and process VAT, PAYE, 501 recons, WCA submissions and other statutory returns to SARS & other related entities.
    • Liaise with external auditors during audits and ensure audit readiness.
    • Maintain and strengthen internal financial controls across the group.

    Financial Management & Operations

    • Oversee and assist with accounts payable and accounts receivable.
    • Managing and processing of payroll.
    • Assist with monitoring and managing cash flow, working capital, and liquidity.
    • Review supplier and customer reconciliations, ensuring accuracy.
    • Implement and improve financial systems, processes, and reporting standards across companies.
    • Support operational teams with financial insights for decision-making.

    Team Support & Leadership (growing into FM role)

    • Supervise and guide junior finance staff (Bookkeepers/Clerks).
    • Review the work of team members and provide feedback for accuracy and compliance.
