    Supplier and ESD Specialist

    Key deliverables and outputs
    Strategy Execution

    • Implement Supplier and ESD strategy tactical plans, targets, processes and tools to in line with business, transformation,
    • governance and supplier performance requirements.
    • Support transformation through assisting with supplier due diligence and vetting processes.
    • Engage suppliers who are non-compliant on a regular basis to solicit transformation commitment and implementation plans
    • Conduct supplier rationalisation exercise annually to inform supplier base management strategy.
    • Analyse and report on supplier trends to provide market intelligence to the business.

    Administer Supplier Management and ESD Processes

    • Implement the end-to-end administration of Avis supplier base.
    • Conduct contract life cycle administration in conjunction with category managers and procurement managers
    • Assist supplier on-boarding process
    • Track performance and compliance of procurement transactions in line with ESD strategy
    • Classify suppliers in terms of risk level (high, medium, low) as part of supplier risk management conducted through duediligence and vetting process
    • Create and manage repository of new potential suppliers from market search exercises

    Relationship Management

    • Build relationships with suppliers and service providers and other internal and external stakeholders.
    • Provide specialist knowledge to senior executives, management and clients in order to enhance business enablement.
    • Facilitate as necessary the communication of the Supplier Development strategy, policies, systems and processes
    • throughout the organisation.

    Research Supplier Development and ESD Leading practices and Benchmarks

    • Conduct continuous supply market search to identify and qualify new EME & QSE suppliers to enable improvement of
    • ESD scorecard
    • Create and manage repository of new potential suppliers from market search exercise
    • Implement identification, assessment, and management of market intelligence initiatives
    • Monitor local and international best practices and regulatory developments
    • Monitor opportunities, threats, disruptions and innovations transpiring in the external environment and make
    • recommendations regarding value delivery.
    • Implement Supplier Performance Monitoring and Reporting, Risk, Ethics and Compliance
    • Monitor supplier performance to ensure delivery on SLAs - regularly monitor and ensure the alignment between suppliers’
    • operational performance, compliance with the strategic sourcing policy and Avis standards.
    • Monitor supplier risk such as blacklisting.
    • Track and monitor that the B-BBBEE credentials of suppliers are current and support the business and transformation objectives
    • Implement reporting and communication structures that ensure all stakeholders are adequately informed.
    • Report on supplier performance and B-BBEE rating
    • Produce, implement and maintain internal Supplier Management and ESD documentation.

    Requirements
    Academic Qualifications
    Essential:

    • Tertiary qualification in procurement or related field such as Diploma in Procurement/Purchasing/Transport Management/Supply Chain Management or Logistics/Finance/Business/ other relevant qualification.

    Advantageous:

    • Relevant degree such as BCom Commerce/Law/Engineering/Supply Chain Management/Transport &
    • Logistics and other relevant degrees.
    • Chartered Institute for Procurement and Supply (CIPS) membership and/or accreditation (MCIPS preferably)

    Note:

    • Valid Driver’s license, Valid Passport
    • Refer CIPS Global Standard - Operational Level

    Work Experience
    Essential:

    • 1 - 3 years in procurement / strategic sourcing / category management / operational buying in the industry/area of
    • responsibility.
    • Exposure to supply chain management, strategic sourcing, and optimal procurement processes and
    • standards.
    • Proven track record of supplier relations management
    • Exposure in working on an ERP system (e.g. SAP, Oracle, etc.) executing Procure-to-Pay/ tendering
    • processes.
    • Engaging at senior management level.

    Sales Representative: Car Sales

    Key deliverables and outputs

    • Meet and greet customers
    • Establish customer needs and present suitable options
    • Introduce customer to F & I Business Manager
    • (Range:  finance application, VAPS)
    • If sale is successful, complete Offer to Purchase with customer and obtain relevant documentation as per procedure
    • Arrange demo or test drive for customer as per procedure
    • Prepare Deal file and hand over to F & I Business & Branch Manager for sign off
    • Continuously follow up with F & I Business Manager on finance status and keep customer informed
    • Once finance is approved, prepare vehicle and schedule date of delivery with customer
    • Explain 30 day exchange plan to customer
    • Ensure all fitments are completed prior to delivery
    • Complete a VTC for delivery of vehicle and obtain authorising signature
    • Deliver vehicle, explain features and hand over associated documents and keys as per procedure
    • Obtain signature of customer and file completed Deal file
    • Follow up post- delivery with customer as per procedure
    • Follow up on leads within 1 hour
    • Knowledge of vehicles and Avis Car Sales products and services must be current
    • Register vehicle and obtain license plates prior to delivery
    • MIO forms are completed for every sale and filed in Deal file
    • Ensure all outwork have a matching order and invoice is received upon completion of work
    • Complete daily activity sheets and present progress to manager weekly
    • Obtain trade-in evaluation from manager and inform customer of offer for vehicle
    • Complete forms, collect relevant documents and ensure settlements are done timeously as per procedure for trade-in vehicles
    • Follow up on pay-out from banks as per procedure
    • All queries are responded to within same day
    • All customer complaints are communicated to manager and resolved same day
    • CSI follow ups are actioned monthly as provided by Manager
    • Inspect cleanliness of vehicle prior to delivery and of vehicles parked on showroom floor
    • Stock on showroom floor is presented and priced correctly
    • Showroom and work stations are kept clean and tidy
    • All Deal files are accurately filed
    • Attend Redline team meetings monthly
    • Attend regional sales meeting quarterly

    Requirements
    Academic Qualifications

    Essential:

    • Matric with minimum E aggregate
    • Code 08 unendorsed driver’s license

    Advantageous:

    • Sales courses/certificates will be advantageous

    Work Experience

    Essential:

    • Minimum 2 years work experience

    Senior Quality Controller (FTC 36 Months)

    Key deliverables and outputs

     Strategic/Financial

    • Apply Quote calculations (reassessments, budgets, applying applications, discounts)
    • Invoice and reversals of invoices
    • Refunds of plans (full and pro-rata)

     Operational

    • File uploads and exception management
    • Dependent on when upload file is received and uploaded, exceptions need to be cleared within 5 working days there after
    • Exceptions that could not be cleared needs to be escalated to MAU Sales asap, who in turn needs to address exceptions within 5 working days of receipt
    • Feedback on exception escalated to MAU Sales needs to be provided to the relevant back office team member as well as Senior Manager to close out the process
    • Where plans can be invoiced, relevant back-office support team members kick off invoicing process on AVIS System by selecting “I” next to relevant quote accepted, and in turn forward copy of the invoice to MBX, MAU Sales.
    • All pricing queries and pricing override requests received from MAU sales needs to be discussed with the Senior Manager, who in turn will review and discuss with the risk department where relevant. Feedback to be provided to MBX and Sales on decision ASAP. Pricing for all truck quotations are sent to Commercial for vetting and prices are adopted accordingly.
    • All Ad hoc vehicle delivery requests need to be discussed with the Senior Manager, and relevant checks and balances done before delivery is actioned or declined. Decision on this needs to be provided to MBX, MAU Sales and Finance
    • All cancellations and refund requests received from MAU sales need to be verified and discussed with the Senior Manager. If agreed to, cancellation and refund request to be captured on AVIS System, and MBX, MAU Sales and Finance to be informed accordingly. Request to settle refunds are sent to the Cash Book administrator Finance.
    • Reverse/Cancel invoices at the request of MAU Sales or the finance department and notify MAU Sales and Finance that the invoice has been reversed and that the credit note must be processed.
    • Process all early term contract cancellations sent to the MBX team by the Maintenance department and VAP department due to contract transgressions by the customers and theMigration of vehicle history on Avis System if errors picked up and escalated to the MBX team by MAU sales.
    • Re-instatement of vehicles request from MAU sales to be investigated and discussed with the senior manager. Depending on outcome, MBX and MAU Sales to be informed. End to end facilitation on AVIS System to be controlled by the back office team member
    • Any system issues will be escalated to MBX team, who in turn need to investigate and rectify ASAP, keeping all affected parties informed. Each and every team member is responsible to:
    • Interface with financial platforms service providers and also to build relationships with these Financial platform service providers.
    • Manage the availability of their specific customers platforms, so as to ensure minimal downtime (to produce a quotation from these financial platforms)
    • The control and management of all specific customer deviations and customer account cost center detail management lies with the respective team member. Loading of any new customers as well. Any changes however, first need to be reviewed and approved by the senior manager, who in turn will discuss this where necessary with the risk department
    • All vehicle Bolt on plan override requests received from MAU Sales need to be discussed with the senior manager before action. If agreed to action, the process needs to be completed on AVIS System and MBX and MAU Sales informed of outcome.
    • Maintain the operational / technical relationship with all MAU customers e.g., Nissan SA; Isuzu and Isuzu Trucks; Opel SA
    • Provide assistance and reports to internal and external auditors as wells
    • CPK (cost per kilometer) quoting
    • Providing users access to the quoting and authorization portal

    Asset Accountant (FTC 36 Months)

    Key deliverables and outputs

    Strategic/Financial

    • Drive towards continuous improvement to enhance and optimize new and existing processes.
    • Support the development and implementation of the Fleet saver processes to ensure maximum, effective benefits.
    • Ensure that all asset processes are documented and readily available for review and reviewed continuously for relevance and practicality.
    • Ensure that at any given reporting period, all assets are complete, accurate and exists.
    • Guide and support direct reports.
    • Implement and manage the asset tagging and counting process of PPE.

     Operational

    • Analyse Natural report for accuracy, make adjustments if necessary.

    • Review corresponding standard journals (e.g. fleet interest and depreciation and Fleet movement)
    • Compile fleet movement summary of all fleet owners for the month and submit to Financial Manager.

    • Compute the depreciation adjustment for vehicles of fleet vehicles.

    • Update status of stolen and recovered vehicles in Wizard and Natural systems.
    • Review monthly accrual for outstanding vehicle lease charges and lease write-offs.
    • Compile manufacturer advertising subsidy.
    • Review inter-company VAT journals.
    • Review supplier reconciliations by reconciling statements to accrued outstanding deliveries/payments
    • Review UC stock and fleet control list and amend Wizard status to 'disposed'.
    • Generate and Review disposal report, confirm lease buyback cars were collected and change status to 'deleted'.
    • Maintain Intercompany reports with related parties
    • Ensure all vehicle payments are processed accurately and timeously.
    • Ensure that orders are raised for all vehicle payments timeously.
    • Ensure that all license and registration fees are processed timeously for new vehicles.
    • Ensure sufficient cash flow available.
    • Ensure preparation of documents and payment arrangements are done as per procedure.
    • Ensure all lease distribution, analysis, payment and GL recon are processed monthly.
    • Review price changes by comparing order price to invoice.
    • Review the purchase and turn-back price and amend in Natural system.
    • Ensure all written off vehicles processed as per procedure.
    • Assist in budget process relating for assets.
    • Identify discrepancies or variances in financial and budget reports, and take corrective action where appropriate.
    • Seek specialist advice and support where required.

    • Be the contact person regarding fleet payments with banks, suppliers and business.
