    Results Administrator-Capturer

    About the Job

    • The IIE's Varsity College, Online Centre has a vacancy for Results Administrator.
    • NB. This position may be based at either our Cape Town, Durban or Waterfall (Midrand) Online Centre.

    Duties and Responsibilities:
    Credit Accumulation

    • Assists with the capturing of students' automatic credits on the academic system
    • Ensures that all data entries for the summative assessment calculation have been complied with
    • Ensures that the summative assessment outcome is correct and thereafter is responsible for the release of these results on the student portal

    Post Assessment Mark Collation

    • Co-ordinates the marking process with lecturers and ensures these marking deadlines are adhered to and managed according to the timeline
    • Co-ordinates the marking deadlines with the relevant Programme Manager to ensure there are no delays in the process
    • Ensures that result capture sheets are emailed to lecturers timeously for electronic completion
    • Captures the results / imports result capture sheets into the academic system
    • Completes regular audits on all activity logs relating to the marking process and ensures that all scripts are accounted for at any given point in time
    • Ensures that all Integrated Curriculum Engagement (ICE) results are captured by the lecturer outside the system
    • Facilitates the process of Individual Integrated Curriculum Engagement (ICE) task marking by managing the milestone dates with lecturers
    • Proactively applies early detection mechanisms to ensure that student queries relating to results discrepancies are minimal during peak assessment time
    • Verifies scripts received against the marks captured on the mark sheet for the Online Centre and submits the mark sheet to the Online Centre for processing on the academic system thereafter

    Cumulative Assessment Mark Release (Formative)

    • Captures all formative assessment results
    • Compiles the Question by Question analysis when requested
    • Ensures that all results entries captured for the Cumulative Assessment (CASS) calculation have been complied with
    • Ensures that the cumulative assessment determination results also include ICE (Integrated Curriculum Engagement) assessment results

    Internal Moderation

    • Supports the campus Academic department in accessing scripts required for the internal moderation and decentralised marking process, as well as for the marking centre
    • Assists with the selecting and scanning of scripts for moderation and completing the activity logs pertaining to the steps involved in results processing, moderation and storage of an assessment
    • Liaises with the relevant Programme Manager responsible for deciding which scripts are moderated, and once confirmed, prepares all documents required for the moderation process to take place
    • Updates the Internal Moderation Tracking Grid accurately and timeously

    External Moderation

    • Assists with scanning necessary scripts and uploading them on to the moderation tracking system and assigning this to the relevant Central Academic Team (CAT) member
    • Completes the Moderation Control Sheet (MCS) to be included with every set of External moderation
    • Ensures that the Moderation Control Sheet (MCS) and scripts/Portfolios of Evidence (POE's) are attached and assigned to the relevant Central Academic Team (CAT) and the Head of Programme (HOP) outcome is actioned correctly as per the release instruction on the MCS at campus level
    • Updates the External Moderation Tracking Grid accurately and timeously

    Post Assessment Mark Release

    • Ensures that results are captures accurately against the script
    • Ensures that results capturing is up-to-date and released timeously on the system for students to view their system
    • Notifies students with overdue accounts of supplementary entry requirements where applicable

    Script Viewing and Remarks

    • Identifies and co-ordinates script viewing requests made on The Student Hub reports and informs the Academic department to arrange a viewing appointment with the student
    • Identifies and co-ordinates remark requests made on The Hub and checks that payment has been made in respect and co-ordinates the remark with an appropriate marker thereafter
    • Follows up on the remark process to ensure that it happens within the allotted time
    • Ensures that the correct outcome is applied once the remark has been completed and returned to the Results Centre as per policy
    • Flags any marking discrepancies or concerns with regards to moderation and remarks with the relevant Academic staff member
    • Responsible for the archiving of scripts and Portfolios of Evidence (POE's) for on and off site storage in line with the policy

    Team Support & General

    • Assists with campus specific projects/ events (e.g Graduation, Open Day etc)
    • Collaborates with all departs on campus to facilitate optimal
    • Complies with The Protection of Personal Information Act (POPIA) legislation relevant to Results Centre

    Academic Support Co-ordinator

    About the Job

    • The IIE Varsity College, Online Centre has a vacancy for an Academic Support Co-ordinator.
    • NB. This position may be based at either our Cape Town, Durban or Waterfall (Midrand) Online Centre.

    Duties and Responsibilities:
    Academic Department Administrative Support

    • Responsible for the day-to-day administrative support of the VCO Academic department across the designated School and Programmes.
    • Compiles, manages and distributes academic reports as required by the School’s Programme Manager
    • Captures student notes in the academic system as and when required.
    • Collaborates with other members of the Academic team (and other departments when applicable) to prepare for and meet the requirements for the campus PULSE and Groups Internal Audits.
    • Provides academic and administrative support during the registration period, including calling for student retention initiatives.
    • Supports the Coordinator T&L with the Student Evaluation of Teaching (SETS) requirements.
    • Attends the Academic department meetings and records minutes at these meetings when required.
    • Assists with student disciplinary hearings as and when required.
    • Meets project deadlines as determined by the National office and/or the Manager: Online Teaching & Learning

    Independent Contractor (Lecturer) Administration Management

    • Responsible for day-to-day administrative management of the Online Tutor (Independent Contractor) team associated with the relevant School.
    • Supports the Programme Manager/s in managing the Online Tutors and addresses or directs their queries timeously and accurately.
    • Monitors the OT’s administrative performance, for example: the timeous submission of timesheets and documentation aligned with audit requirements and company policy.
    • Captures information on the Direct Academic Student Engagement (DASE) tracker and ensures that this tracker is kept up-to-date and accurate at all times.
    • Manages OT loads by way of module allocations i.e Direct Academic Student Engagement tracking (DASE/non-DASE) to ensure the permissible maximum hours are adhered to and are not exceeded.
    • Manages and notifies the relevant OTs of any changes that may affect their designated programmes.
    • Collaborates with relevant parties (Manager: Online T&L, Programme Managers and the Junior HR Officer: Academic) to advertise vacancies.
    • Applies for Academic (Classification of Educational Subject Matter: CESM) approval on the HR & Payroll System to determine what module/s each Independent Contractor is approved to facilitate, and ensures that approvals are awarded by the Central Academic Team (CAT) prior to giving the Junior HR Officer: Academic the details to draw up the relevant Independent Contractor related Annexures.
    • Collaborates with the Junior HR Officer: Academic on the OTs appointment process to ensure that the process is streamlined, and all audit and policy/process requirements are met prior to any Independent Contractor Agreement being issued or work being offered or carried out.
    • Provides the Junior HR Officer: Academic with the relevant information needed to complete the Independent Contractor Agreements and associated Annexures.
    • First level approver for the OT timesheet approval process on the HR & Payroll system.
    • Collaborates with the JR HR to fulfil the timesheet approval function and checks timeously in the HR & Payroll system on a monthly basis in accordance with the payroll deadlines to ensure that all timesheets are approved, and any queries are resolved before the timesheet cut-off date.
    • Works with Academic Department in driving Online Tutor evaluations.
    • Ensures that all new OTs are invited to attend the semester Online Induction and Orientation sessions as part of their onboarding process.

    Campus Synergy & General

    • Assists the Academic department with the co-ordination of online academic workshops when required.
    • Assists in identifying at risk students and OTs and directs academic related queries to the relevant Academic team member timeously.
    • Addresses queries with the relevant National office Academic Support team members, and rolls-out directives or projects as and when required.
    • Collaborates with all departments to facilitate optimal performance within the portfolio or scope of duties.
    • Complies with The Protection of Personal Information Act (POPIA) legislation relevant to the role.

    Research Coordinator

    About the Job

    • The IIE MSA Ruimsig Campus in Roodepoort has a vacancy for a Research Coordinator.

    Duties and Responsibilities:
    Embed the practice of research

    • Support a culture of research scholarship at a campus level.
    • Identify topics and drive campus research projects and implement regional interventions.
    • Support the development and implementation of at least 2 collaborative research projects a year for the campus that will result in the submission of articles to peer-reviewed accredited journals on the DHET list and/or conference presentations.
    • Responsible for compiling and chairing campus ethics committees and will report the outcomes to the NHDPM.
    • Support research active staff with ethics clearance, identifying appropriate Journals to publish in or conferences to attend, Quality assurance and feedback.
    • Work with campus librarians to support research active staff.

    Promote and build a culture of scholarship

    • Ensure that staff attend training and development sessions and provide formal and informal training, advice, and support to researchers and research administrators.
    • Provide administrative support to research staff and contracts transcribers, statisticians, etc. to support research active staff where required.
    • Organise a campus writing retreat during one of the semester breaks.
    • Evaluate and coordinate requests to conduct research at campus level for academic staff and students.

    Monitoring, Tracking and Coordination

    • Monitor research output progress against campus targets.
    • Follows up on the campus academic staff capture research activity on the Research Activity Tracker Database (RATS).
    • Ensure that the Postgraduate Research Tracker is updated and that the required documents are uploaded.
    • Organise campus colloquiums where staff planning on presenting at conferences will be able to present on campus to get input and feedback from experienced academics.
    • Work with line-managers to plan when research-active academic staff can take research leave.
    • Identify critical readers on campus who will provide constructive feedback on articles that will be submitted to accredited journals as part of quality assurance and will assist in contracting an editor if required.
    • Collate, check and provide campus information for the biannual research progress reports.
    • Build relationships with local industry and other Higher Education providers to work on collaborative research projects.
    • Planning/Scheduling research related activities in the PG space.
    • Liaise with the relevant schools to identify key role players (i.e. supervisors, readers, external examiners) as part of the M processes.

    • Liaising with the relevant IIE CAT departments regarding external examination, sharing of reports etc.
    • Following up with the relevant PMs in terms of student submissions.

    • Keep academic training tracker updated for the RPGSU events.
    • Ensure all students final research reports are available in the Information Centre.
    • Ensure all student reports are available in the IIE Repository.
    • Administer surveys to relevant parties after obtaining the required approvals.
    • Coordinate PCC meetings with National and minute taking of RPGSU meetings.
