    Junior Process Engineer - Houghton

    Description

    Identify Operational Methods and Processes

    • Utilise relevant tools (e.g. Visio, PowerPoint, Excel, etc.) to identify, define and document the existing operational methods and processes to increase efficiencies, reduce costs and contribute to revenue opportunities.
    • Utilise relevant tools to identify and document proposed improved processes and operational methods.
    • Facilitate workshops (Joint Application Design) with relevant stakeholders to gather information to determine the busines requirements.
    • Document business requirement documents, business requirement specifications or functional requirement documentation.
    • Prepare business case documentation for operation methods and process improvements as applicable.
    • Plan, conduct and facilitate time and motion studies across all business functions, as and when required.

    Design Operational Method and Processes

    • Apply relevant business process design methodologies (e.g. Lean, Six Sigma, etc.) to design improved business processes.
    • Facilitate the engagement between stakeholders to get approval and signoff for the proposed design.
    • Create and compile business requirement documents, business requirement specifications or functional requirement documentation for mini projects or less complex interventions, obtaining approval and signoff as and when required. In the absence of a Business Analyst
    • Perform Root Cause Analysis where process breakdowns are identified and develop countermeasures.
    • Present proposed designs to relevant stakeholders and facilitate coordination of activities to enable quality delivery on design.
    • Facilitate user acceptance testing for the improved operational methods and processes.
    • Contribute towards the development of training content for business users.

    Implement Operational Methods and Processes linked to allocated projects

    • Facilitate business readiness for implementation.
    • Coordinate the delivery of operational methods and processes in accordance with the design.
    • Obtain signoff on implementation.
    • Track benefits of improved operational methods and processes.
    • Work in close conjunction with the Regional Q&E to ensure a proper handover is facilitated to enable embedment and operationalisation

    Requirements

    Work Experience

    • With a Btech: 2 Years Work Experience.
    • With a Degree in Industrial Engineering or Operations Management: 1 Year Work Experience
    • With an Honours in Industrial Engineering or Operations Management: 6 Months Work Experience.

    Educational Requirements

    • Btech Industrial Engineering or Operations Management
    • Degree or Honours in Industrial Engineering or Operations Management- Preferred

    Lead: Productivity and Planning - Houghton

    Description

    Foster and maintain strong relationships with stakeholders

    • Develop and maintain relationships with the Independent Administrator(s) and key role players within the respective Industry forums.
    • Responsible for the facilitation of sessions between Independent Administrator(s) and relevant stakeholders to gather insights, address escalations and propose solutions.
    • Report and provide stakeholders with required performance metrics as requested by Industry on specific aspects of the business.
    • Provide timeous and effective support to the Independent Administrator(s)/stakeholders through the tracking, management and resolution of all queries within SLA to meet contractual obligations specified.
    • Create and implement a systematic process involving the monitoring and reporting of query status for all Industry related escalations.
    • Provide input and support to the Operations teams on items affecting systems for all operational staff escalating where required.

    Financial Performance management

    • Ownership for the establishment of a sustainable budget for the business unit inclusive of instituting proper financial controls.
    • Manage the capital expenditure (CAPEX) to yield cost optimization and control.
    • Effectively optimize and analyse business benefit in relation to cost efficiencies to ensure appropriateness of business unit spend.

    Corporate Governance

    • Responsible for the final review and approval of all PMC and planning policies and procedures prior to implementation
    • Review and refine policies and procedures for managing and driving service excellence
    • In conjunction with Risk, manage audit outcomes and strive towards zero findings.
    • Actively participate as a key BCM lead by being the communication link between the Independent Administrator and Industry in times of civil unrest, protest action, pandemic and structural changes within the South African economy.
    • Collaborate with Independent administrator on peak season requirements to create and validate solutions accordingly.
    • Implement and drive good governance by verifying that SLAs with relevant stakeholders are in place and adhered to.
    • Drive continuous business process improvements focusing on anticipated trends and current business practices.

    Establish a culture of continuous Improvement

    • Collaborate with the Independent Administrator to conduct continuous improvement exercises that aim to enhance overall performance and processes for all relevant stakeholders.
    • Initiate and support continuous improvement projects across the Operation
    • Manage and verify that all processes, control requirements, risk management frameworks, data etc. are current, comprehensive and accurate, submitting proposed changes to relevant stakeholders for approval and implementation.
    • Identify and resolve obstacles related to data collection, retrieval, consumption and optimization with minimal financial and time cost.

    Contribute to the leadership and strategic direction of the business unit

    • Responsible in executing operational plans to enhance productivity and planning initiatives.
    • Provide insight towards building Operational strategy ensuring alignment with the company objectives and values.
    • Provide guidance and leadership to division under scope of responsibility inclusive of the Independent Administrator and Industry requirements to ensure that the strategic objectives are well understood and executed in accordance to the roll out plan.
    • Collaborate with Independent Administrator to review and influence work portfolio by demonstrating business benefits and value add.
    • Critically analyse queries to develop trend reports and present improvement strategies to stakeholders.
    • Adopt a collaborative approach across departments to drive and action strategic initiatives, including the alignment between PMC and Operations.

    Risk management

    • Create awareness regarding current, future, potential and imminent risk(s) to relevant stakeholders.
    • Drive risk management and compliance with all necessary rules and regulations that govern the PMC and Industry.
    • Effectively manage risk indicators and escalate issues as needed.
    • Accountable for the strategic risk management process by identifying, assessing, and managing the risk within the Operation that includes escalating and taking action when risks are realized
    • Co-ordinate the timeous provision of information and submissions for External and Internal audit processes

    Manage the productivity, planning, and stakeholder aspects of SBV

    • Effectively and efficiently manage the productivity and planning aspects of SBV in line with Industry requirements
    • Confirm that the department has adequate and suitable resources to complete and comply with responsibilities
    • Manage and optimize capacity planning at Cash Centres (resources) in line with daily direction and input from the Independent Administrator(s).
    • Thoroughly vet and engage with Technology in the design and creation of integrated planning systems.
    • Develop and oversee the implementation of controls that allow for all planning systems to meet the required uptime to support the business effectively.
    • Oversee and approve retail forecast and plan in line with Independent Administrator(s) input.
    • Oversee that enablement strategies for Cash Processing supply chain processes function optimally.
    • Optimize Cash Holdings through effective planning in conjunction with the Independent Administrator(s).

    Manage and monitor Systems Management

    • Support the Operations Systems manager with system management and maintenance.
    • Responsible for the effective and efficient operation of the organization’s performance and monitoring systems, managing and proactively preventing downtime and disruptions.
    • Drive, manage, monitor, and evaluate systems rollouts.
    • Manage system modification, enhancements, upgrades, and implementation.
    • Supervise all analytics operations to correct discrepancies and ensure quality levels are improved and maintained.
    • Provide team guidance towards the developing and building of systems to transform raw data into actionable business insights as required.
    • Drive the optimisation and productivity of each centre from a centralised vantage point.

    Accurate and effective management of MIS (Dashboards & reporting)

    • Manage and develop methods and/systems to track and monitor Cash Centre limits to maintain cash holdings in accordance with insurance limits.
    • Accountable for the overall integrity of information and master data of Operational systems.
    • Prepare and present presentations when required.
    • Create and consolidate comprehensive reports to guide decision-making, support strategic goals and enhance overall business performance as required.
    • Timeous and accurate reporting on key performance indicators, monitoring of service levels and addressing deviations as per agreement.
    • Prepare and review the department’s monthly trade review report and submit to the relevant stakeholders within agreed upon timeframe.
    • Assist in the development and compilation of dashboards based on business requirements.
    • Coordinate, escalate and monitor Productivity Management in accordance with standards set out and notify relevant stakeholders of deviations.

    Leadership and people management

    • Manage the team’s performance by setting specific goals, assessing performance, conducting period performance feedback reviews and supporting the team growth through formal development programmes and coaching.
    • Utilize talent management practices to identify and develop future leaders and retain current talent to contribute to a pipeline of future leaders and business sustainability.
    • Responsible for the planning, prioritizing and securing of resources across the PMC and planning division
    • Adhere to legislative requirements, company policies and procedures in respect of employment and safety practices.
    • Manage one’s headcount in alignment with the principles and policies of SBV.
    • Effectively manage overtime through proper planning and staff rotation inclusive of driving the time and attendance system within the department.
    • Responsible for employees to undergo the relevant training inclusive of any mandatory refreshers in conjunction with the Training Academy
    • Draft and execute training plans in conjunction with the Training Academy.
    • Create a conducive environment which translates into productivity and high morale within SBV.
    • Keep abreast and share applicable industry news and tends with the PMC team in efforts to improve overall team knowledge and develop staff.
    • Act as a change management architect in periods of change to ensure continuity to operations.
    • Effectively communicate and embed new processes and procedures as they occur addressing or escalating matters / concerns to the SME’s (subject matter experts) when required.

    Requirements

    Work Experience

    • 5 years’ experience in Operation planning of which:
    • 3 years of monitoring and tracking operational productivity metrics
    • 3 years’ experience in the establishment and delivery of High value reporting and metrics
    • Experience in optimisation tool implementation and management (advantageous)
    • Extensive experience in report writing and presentations

    Educational Requirements

    • A relevant 3-year degree or diploma in industrial engineering or Accounting or Statistics.
