    Your accountabilities will include:

    To calculate, reconcile and communicate commission payments to compliant financial advisors for Absa Fund:

    Financial Advisor on-boarding process 

    • Action requests from the Sales Consultants for new Independent Financial Advisor (IFA) received via Salesforce or email.
    • Send the contact details and name of the IFA to EDC for review and signing of IFA Agreement.
    • Receive signed IFA and Banking details from Operations. Create a broker code on the AS400 Trust system by entering the details of the independent advisor Send broker instruction to Maitland to load broker on Flexcube.
    • Save all documents on the G-drive.

    Advisor Records Maintenance

    • The broker list is updated as and when a new broker is created or added in the clients account.
    • This information was provided to Maitland upon migration, new LISP’s are sent to Maitland as when they are onboarded.
    • Attend to and provide administration service support on all AFM's list of Absa Insurance & Financial Advisors (AIFA) and IFA complaints and service issues by responding to and resolving issues timeously within the business unit target of 48hr turnaround time.

    Commission Calculations and Payment

    • Liaise closely with Maitland administration team to ensure that all the required unit trust sales commission reports have been generated and received by AFM within the agreed Service Level Agreement (SLA) timelines.
    • Action the monthly consolidated commission payment reports received from Maitland for the different advisor payments from the unit trust accounts.
    • Perform spot checks on the reports using a sample test to determine the accuracy of figures and confirm that the payment period (i.e. number of days) has been applied correctly for the respective monthly commission run generated. Reports for Rebates and Commission are no longer consolidated.
    • Perform quality checks for different funds within a LIPS’s portfolio and compare the report provided by Maitland.
    • Review the payment requisitions prepared by the Commissions Administrator for sign-off by Line Manager and communicate the confirmed and approved figures by forwarding the files and statements to the different advisor categories (i.e. IFA & AIFA).
    • Ensure that all the LISP and IFA payment requests have been accurately invoiced and approved by Line Manager prior to submission with AM Finance.
    • Issue ad-hoc commission payment statements to the IFAs on request.
    • Send the calculated commissions due to the various segments and ensure that accurate invoices are received and approved prior to payment by AFM Finance
    • Adhere to all risk and compliance policies in terms of Data Privacy, Information security, Record Management, Money Laundering, FICA and CASA
    • Complete all compulsory compliance training within the required time-frames as prescribed by Absa Risk.
    • Keep abreast of changes by attending compliance awareness workshop sessions presented in the business unit from time to time.
    • Train new staff members on Commissions and Rebates processes.

    Reconciliations & Reporting

    • Perform the monthly reconciliations of accrued commissions against all payments made.
    • Review the detailed report of all commissions as compiled by the Commissions Administrator due, per advisor (AIFA and IFA), per commission type (both trailer and upfront), per fund and submit to the Finance Manager for use in the Management Information pack
    • Submit the month-end reconciliations to the Line Manager for verification and sign-off (Commission Monthly Recon).
    • Submit and provide information in relation to the provisions for commissions and payments due to AFM Finance by the 2nd working day (or 2nd WD if the month ended during the weekend). of the month.
    • Facilitate that all reconciliations, controls and processes are ready for audit (interim and year-end) by providing copies and checking that internal controls are working.

    Senior Manager: Pan Africa Trade and Working Capital Product Governance

    Officer Collect Inbound Outbound (Everyday Banking)

    Job Summary

    • The purpose of the role is to manage customer debt through effective and efficient collections tactics in order to minimize the loss to Absa. This will involve negotiating repayment from customers with the objective of rehabilitating customer accounts, before they deteriorate further into delinquency.

    Key Responsibilities 

    The success of everyone at Absa is measured by our ability to put our customers at the center of everything we do. To achieve this you will need the following:

    • Agree collections targets on a monthly basis with the Team Leader in line with portfolio and product targets as communicated by Customer Value Management.
    • Meet the minimum productivity requirements for calls on a daily basis to ensure optimization of the collections function and achievement of the monthly collection target.
    •  Manage customer accounts and calls by logging on to and updating the relevant collections systems including Megallon and Avaya.
    •  Use the appropriate collections scripts and other tools available to verify clients identity and negotiate with customers to obtain a promise to pay (PTP) or to negotiate the repayment terms which will achieve the best outcome for both the Bank and the customer.
    •  For more complex accounts, analyze customers' account history and provide the customer with a recommendation on the appropriate options available (e.g. account restructures in the case of arrears amounts on multiple products and/or refer the customer for debt review/counselling) to rehabilitate their account.
    • These recommendations need to be aligned to the requirements as outlined in the Restructuring and/or Re-Age Policy.
    •  If no solution can be negotiated, calls must be escalated to the Team Leader for assistance.   Update the OCS system upon completion of the negotiation with the customer to indicate the agreement reached. with the customer in terms of the collections option that will be implemented
    • Adhere to all Company Policies and Procedures as outlined in the Absa Bank Credit Risk Model etc.
    •  Fulfil the requirements of and comply to all relevant Acts and Statutory requirements e.g. the National Credit Act.
    • Identify fraudulent accounts and escalate these concerns to the Team Leader
    •  Adhere to internal systems access control policies at all times and report any irregularities to the Team Leader or relevant party.
    •  Adhere to the internal code of conduct at all times and report any irregularities to the Team Leader or relevant party.
    • Complete all compulsory training within the required timeframe.
    • Contribute towards an audit rating of sufficient or better by compliance to internal processes, policies and procedures.

    • Manage departmental budgets including signing off of invoices and quotes within mandate. Escalate out of budgets items to the General Manager for approval.
    • Sign off capital expenditure within budget. This includes approving purchase or sell decisions for desktop computers, laptops, departmental equipment etc.
    • Provide clear direction to team members on the Legal Claims Trusts strategic plan and key focus areas and ensure their understanding and buy-in.
    • Analyse effectiveness of processes and systems in use in the department and make recommendations for improvements.
    • Review performance against balanced scorecard components as prescribed by the Executive, discuss gaps and agree action plans to close gaps.
    • Benchmark productivity of the department against industry standards and create measures to improve productivity.
    • Agreed and manage service offerings and SLA’s with internal customers (agree annually and measure on a monthly basis).
    • Stay abreast of the latest investment policy and - options, by attending the investment meetings, monitoring performance, and studying relevant media material, market trends as well as potential risk.

    • Participate in the development of Key Risk Scenarios including the determination of likelihood of occurrence and potential impact. Actively work to minimise the amount of economic capital that has to be set aside for operational risk.
    • Ensure that managers in the team understand their responsibilities for physical and systems access control and information security requirements.
    • Ensure that the Employee Benefits area has a Health and Safety Rep, Fire Warden and Evacuation rep.

     Accountability: Customer Service

    • Deal (telephonically, electronically, written communication, correspondences, and face to face) with clients both internally and externally on a professional basis to ensure that a high standard of customer service is given.
    • Resolve customer complaints and ensure customer complaints are addressed and that the client is satisfied with the outcome within a period within 24 hours. Contact the client and ensure that the matter has been resolved.
    • Build and maintain a relationship with various stakeholders (including the Road Accident Fund, Master of the High Court and firms of attorneys) by continuously engaging and ensuring satisfactory client service and good relations.
