    Key Accounts Manager

    Reporting: This role reports to Regional Sales Manager North.

    • Monitor and drive volume, market share and Gross Profit on selected “Direct Sale”- classified customers.
    • Reach objective targets set by Line managers; Hereunder Volume targets, Gross, Profit targets, Soft Offer penetration target, Cost- and budget targets.
    • Secure implementation of efficient sales and order execution processes according to practise set by Direct Sales department.
    • Plan and execute Customer activities and utilise possible synergies related to Customer activities within the Region.
    • Monitor Customer Satisfaction and take corrective action when required.
    • Re-calculate and follow up on real cost vs planned cost deviations.
    • Monitor the market situation in relevant transport segments (i.e. Fleet-segment) and use the information for strategic sales planning
    • Give input to required market activities in order to support and develop Direct Sales.
    • Monitor competition in relevant segments (Fleet segment) and give input to required product adaptations and need for new product solutions.
    • Coordinate trade-in and buy-back offers with Used Truck Sales.
    • Secure a high level of customer satisfaction through personal relations, customer activities and through coordination between support/ services from authorized Volvo dealers.
    • Adhere to legislation, policies, and procedures as per requirements to ensure compliance.

    Warehouse Controller

    Job Objectives:

    Receiving/Inbound

    • Ensure and oversee the receiving of goods are done according to Volvo procedure.
    • To ensure that all parts are received accurately against documentation and within prescribed time as set byKPI standards.
    • To timorously record all discrepancies on the GDS system when parts received are not conforming tostandards and to documentation descriptions and part numbers.
    • Ensure that parts are binned according to system allocations and not according to label allocations.

    Outbound

    • Process all customer orders requests ensure correct picking, packing and distribution of parts are accordingto the Volvo procedures.
    • Must at all times make sure that the system is updated after authorization.
    • To make sure the correct parts and quantities are dispatched as per invoice.

    Binning of Parts

    • To oversee binning of parts in correct bins.
    • Confirm correct bin allocation as per the GDS system.

    Credit Notes

    • To ensure that credit notes are checked and signed off for processing. All credit notes to be filed in sequenceand stored.
    • To ensure that the correct procedures are followed when processing credits i.e. No electrical parts arereturned etc.

    Perpetual Stock Counts and Bin Verifications

    • Ensuring that perpetual counts are done on a daily basis as per set quantities on the total volume of theWarehouse.
    • To make sure a thorough investigation is done when discrepancies occur.
    • All adjustments to be investigated and updates to be authorized before the system is updated.

    House Keeping

    • Ensure warehouse premises (inside/outside) always neat and tidy.
    • Ensure parts stored correctly.
    • Ensure all parts are binned correctly.
    • Ensure waste collected timeously.
    • Perimeter secure.

    Exchange Parts

    • Ensure parts from customer are at the agreed exchange standards (See Manual).
    • Responsible for physical receiving & storage.
    • Responsible for preparing supplier/core returns.
    • Ensure that the packing and labelling of core parts be returned to PDC.

    Deliveries

    • To control deliveries to customers and ensure proper route planning and scheduling.
    • Make sure that drivers are adhering to company rules and regulations regarding the use of companyvehicles.

    Health and Safety

    • To ensure that all warehouse personnel abides by the rules and regulations set aside in the Volvoprocedures regarding health and safety.

    Service Administrator

    Job Objectives:  

    • Ensure that Warranty and Maintenance claims are submitted timeously in accordance with the warranty binder and maintenance procedures. 
    • Ensure zero rejection rate. 
    • Ensure parts are disposed of in accordance with directives and policies. 
    • Ensure that all parts in the claim store is clearly marked according to relevant procedures. 
    • Ensure the accuracy and back-up of all relevant documentation including but not limited to job cards e.g. photos, protocols, defect reports, sublet invoices etc. 
    • Ensure jobs are costed within VST parameters. 
    • Make sure all sublet invoices are loaded on job cards and forwarded to finance for payment. 
    • All job cards must be signed off by the Line Manager. 

    Opening and processing of job cards for repairs, maintenance and servicing. 

    • Ensure information on job card received from workshop include all relevant information e.g. registration number, chassis number, kilometre reading etc.
    • Recording service type, e.g. basic, annual etc.
    • Record any other faults e.g. brake lights not working, vehicle overheating, etc.
    • Transferring all relevant information onto job card on computer.
    • Carry out credit checks.
    • Ensure that job card is allocated to correct account i.e. customer, warranty, maintenance contract.
    • Ensure that job cards are signed by Driver/owner or relevant responsible person. 

    Outwork/sublet orders. 

    • Ensure that daily WIP controls are in place and that regular follow ups are done with workshop team leaders to ensure continuous flow of process. 
    • Ensure job card has been completed as required with all relevant information, i.e. date, work carried out, time started, time finished, total time worked, VST, cause of failure, etc. 
    • Ensure that owner or relevant person sign acceptance of work and/or parts fitted. 
    • Ensure job is signed off by relevant Technician, the Team Leader and the Service Manager before closure. 

    Job Costing.

    • Enter brief description of work done and any notes made by the Workshop Manager.
    • Enter parts used.
    • Enter labour according to VST codes.
    • Enter outwork.
    • In case of breakdowns enter travelling time and call out fee.
    • Enter sundries and consumables.
    • Print invoice and ensure it is handed to the Workshop Manager to sign off and ensure order numbers are in place.
    • Hand over to administrative assistant.
    • Upon final confirmation of payment received issue gate pass to driver.

    Diesel Technician

    Job Objectives:

    • Fault-finding and diagnosis on Volvo Products by interpreting product “under performance” and/or failure.
    • Interpret and implement information in Volvo Manual and Service Literature.

    Payroll & Benefits Administrator

    Job Objectives:

    • Administer various employee benefit programs, such as medical aid, provident fund, group life and disability cover.
    • Medical Aid administration will include processing of new, terminated and changed members.
    • Provident Fund administration will include requesting of benefit statements, nomination of beneficiaries, withdrawals on the portal, death claims, increases, annual benefit statements and new employee welcome packs.
