    Receptionist M/F

    Job Description:

    MINIMUM REQUIREMENTS

    • Senior Certificate (Grade 12)
    • Computer literate.
    • Openly and pleasantly conversant 
    • Clean criminal record,
    • Good verbal and written communication skills in English.

    KEY DUTIES AND RESPONSIBILITIES:

    • Answer all incoming calls promptly and courteously and make outgoing calls on request.
    • To ensure that incoming calls are connected in the shortest possible time.
    • Assist incoming callers by giving information requested and redirecting calls where necessary.
    • Take messages and ensure dispatch and receipt thereof.
    • Report telephone/PABX faults and ensure that technicians tend to the problem.
    • Report operational problems regarding unanswered calls and excessive private use causing delays and obstacles to effective communication.
    • Arrange schedule of relief operators during off duty time.
    • Ensure clean, neat and tidy appearance of reception area to ensure proper image of dealership is maintained.
    • Maintain a neat personal appearance and friendly manner at all times.
    • In instances where customers express dissatisfaction with any of the company's services, transfer the calls to the relevant manager immediately or in his/her absence to the General Manager.
    • Issue receipts for all cash and account payments. 
    • Ensure that cash from parts and service departments are received on time, the cash checked and receipts issued.
    • Ensure that all monies are locked away safely.
    • Total the receipts book and bank all payments daily.
    • Ensure that petty cash is recorded properly and reimbursed regularly.
    • Assist the VSB clerk when needed.
    • Assist with clerical administration as requested.
    • Ad hoc duties, as and when required.

    Parts Salesperson M/F

    MINIMUM REQUIREMENTS:

    • Grade 12/ Equivalent.
    • Computer literate. Excel proficiency beneficial.
    • 2 years’ experience in sales and customer relations.
    • At least 2-year experience in Parts Sales
    • Understanding of the financial appreciation of parts beneficial.
    • Technical understanding of vehicles will be beneficial.
    • Good verbal and written communication skills in Afrikaans and English.
    • Clean criminal record.
    • Valid unendorsed driver’s license.
    • Neat and professional appearance always.
    • Ability to work independently without supervision, whilst maintaining a high-performance work ethic.
    • Ability to be motivated and productive under pressure.
    • OEM experience will be beneficial.
    • Knowledge of CDK , Microcat, Panda and BSI will be beneficial.

    DUTIES AND RESPONSIBILITIES:

    • Present and always promote the company image and products.
    • Maintain and sustain high levels of counter image and housekeeping.
    • Greet all customers promptly and professionally; and always provide excellent customer service.
    • Effectively communicate to retail and trade customers face-to-face, via email and telephonically to optimise sales.
    • Accurately identify the customers’ requirements with regards to their requests for parts.
    • Utilise the company inhouse system to identify relevant information e.g. part number, vehicle, chassis number, engine number and year of production.
    • Enter all necessary information in the inventory list and control system records.
    • Advise customer of procedure for interpretation, selection payment and collection of parts.
    • Follow the sales process through to installation and/or delivery to customer.
    • Achieve gross profit according to Dealer budgeted targets and franchise standards (NB!)
    • Provide excellent customer service within deadline and ensure customer satisfaction and effective CRM.
    • Assist with the implementation of parts promotions.
    • Record and enter special orders.
    • Ensure effective management of cash outstanding as per department and company policy.
    • Place material in warranty parts bin area, as required.
    • Return any defective parts to the warehouse or supplier as per department rules.
    • Effectively track all lost sales.
    • Return all unsold merchandise to stock or supplier as per department rules and company policy.
    • Assist with all stock takes.
    • Notify Warehouse Supervisor of all discrepancies between inventory records and shelf quantities.
    • Ensure effective management of WIP reports.
    • Develop and maintain a new customer business prospecting database.
    • Maintain a professional customer follow-up system via planned telephone contact/ customer visits.
    • Perform related or other ad hoc tasks, at the discretion of management.
    • Ad hoc duties as and when required.

    Sales Executive M/F

    Minimum Requirements:

    To qualify for consideration, the following requirements are essential:

    • Grade 12 qualification/ equivalent.
    • A tertiary qualification in Sales/ Marketing beneficial.
    • Must have a minimum of 2 years’ sales experience in the motor industry.
    • Good verbal and written professional communication skills in English.
    • Computer literacy skills.
    • Clean criminal record.
    • Valid and unendorsed SA Code 8 driver's license.

    Practical knowledge of:

    • The Sales cycle.
    • The retail motor industry.
    • All related products/ supplementary items/ brand.

    Proficient experience in:

    • A neat and professional appearance and behaviour at all times.
    • Deadline-driven and the ability to work under pressure.
    • Customer relationship-building skills.
    • Effective negotiation and persuasive influence.
    • Honest, ability to work unsupervised and a disciplined work ethic.

    Job Specification:

    The successful candidate will be responsible for the following:

    Sales Responsibility:

    • Attend to walk-in customers and telephonic/ email queries promptly and efficiently.
    • Invite all customers to make use of the demonstration drive.
    • Maintain a high level of customer prospecting and actively engage in business development initiatives.
    • Establish a daily call scheduling system to follow up on prospective customer leads.
    • Follow up on existing customers according to the company schedule and develop a “Spotters” network.
    • Ensure vehicle unit sales and vehicle accessory sales are aligned with the dealership and/ or franchise requirement.
    • Ensure vehicle gross profit percentage is aligned with the dealership and/ or franchise requirement.

    Customer Care:

    • Ensure to introduce customers to all accessories and additional services, e.g., warranty/ service/ insurance
    • Ensure the correct handover procedure is followed once the vehicle is prepared and delivered as per standard requirement.
    • Ensure that satisfactory CE levels are achieved as per manufacturing targets.

    Administration:

    • Keep updated and comply with all applicable Group/ Dealer/ OEM prescribed policies and procedures.
    • Complete all documentation in full according to company procedures.
    • Maintain accurate records of all transactions and collect all monies due to the company upon delivery of the vehicle.
    • Ensure demonstrator/ company car is kept in showroom condition.

    Product/ Industry Knowledge:

    • Attend all sales meetings, product/ business updates and training courses as required by management.
    • Keep updated with new motor industry trends with self-study of relevant reading material.
    • Any ad hoc admin/ other responsibilities as and when required, as per management discretion.
