    Communications Administrator

    Role Overview

    • The Communications Administrator at Valenture Institute is a proactive and detail-oriented individual who plays a critical role in ensuring that clear, proactive, engaging, personalised and consistent communication is delivered to our customers (being guardians and learners across our multiple offerings).
    • The Communications Administrator reports into the Student Success Manager (and will form part of the Student Success Team), and is primarily responsible for the creation, editing, managing, and delivery of communications to all guardians and learners. By fostering effective collaboration across departments, the Communications Administrator ensures seamless delivery of communication tailored to meet the unique needs of the learner and guardian community we serve.

    Summary of Responsibilities

    • The Communications Administrator will need to source and assimilate key information and updates (across various departments) while ensuring that communications are set up and managed correctly. This role, therefore, requires focused task management, excellent communication skills, meticulous attention to detail, effective collaboration with colleagues and the ability to remain agile and responsive while multitasking.
    • The Communications Administrator is constantly looking to understand our offerings’ internal operations through the eyes of a guardian and a learner, ensuring that the end customer receives timeous communication and feels supported along the way.

The day-to-day responsibilities of this role include:

    • Set up, schedule and send both ad hoc, as well as planned and/or recurring communication campaigns across each of our offerings via Intercom, our communications platform.
    • Assume full responsibility for the creation, maintenance and improvement of communication templates (per offering). This involves the designing and development of visually appealing templates across formal school channels, constantly updating them to reflect termly milestones and organisational changes. As the Communications Administrator, you will continuously seek ways to enhance template effectiveness in order to maximise engagement.
    • Provide assistance with drafting and refining content for all school emails, banners, mobile app push notifications, SMSes and Infohub articles.
    • Evaluate the type of communication request originating from internal stakeholders, and provide suggestions on the optimal/preferred communication channel for the communication at hand.
    • Enhance ongoing campaigns to more effectively cater to the needs of learners and guardians. This involves integrating feedback from internal stakeholders, as well as conducting regular reviews of communications related to reports release and appeals, onboarding, and other crucial school-wide communications pivotal to achieving key academic milestones.
    • Set up termly wrap-up campaigns to deliver critical information to our learner and guardian community as we conclude an academic term and outline expectations for the upcoming term.
    • Support with leveraging AI and automation to increase communication efficiency and effectiveness across all offerings.
    • Evaluate ways to improve the process through which internal stakeholders submit communication requests.
    • Efficiently manage and prioritise communication requests on a daily and weekly basis. This involves ensuring timely internal communications with internal stakeholders to maintain transparency regarding timelines.
    • Share communication tests with internal stakeholders to provide them with the chance to review and pinpoint areas for enhancement.
    • Generate reports on key performance indicators (KPIs) related to communication performance and take ownership of monitoring communication trends. Additionally, proactively propose enhancements to communication strategies and processes based on identified trends and work alongside the Student Success Manager to execute on these.
    • Collaborate proactively with learner-facing teams to pinpoint common inquiries from learners and guardians. Subsequently, create informative resources and Infohub articles to address these queries effectively.
    • Take ownership of maintaining the Info Hub and collaborate with departments to ensure the relevance and currency of articles. This encompasses curating collections to support diverse departmental needs, such as partnerships, Cycle Tests and Exams, and grading.

    Realities of the role

    • Valenture Institute is a fast-paced startup. We are not a traditional school! We are reimagining schooling and precedent needs to be adopted only where it has proven to have great results. If you think that traditional schools have it all figured out, this is probably not the right role for you.
    • Collaboration is the name of the game. We operate in highly specialised teams, and our ability to deliver an excellent learner experience is premised on our team’s ability to collaborate, value the contributions of their teammates (including those in other teams) and see the value in the “rubbing of minds”. If you do not find value in having your ideas interrogated or others weighing in on how things could foreseeably be done, you are unlikely to enjoy the role. Similarly, if you are not comfortable with other teams being accountable for different parts of the learning experience, you are unlikely to find this environment to be a good fit for you.
    • The Student Success team members are master multitaskers. They enjoy the pace and variety of guardian and learner engagements, collaborating with teams and working on multiple systems — all in a day’s work! If you prefer long periods of deep, uninterrupted time, you are unlikely to enjoy this role.
    • Providing a seamless learning experience for learners and guardians often involves a lot of backend admin. The ideal candidate would have a pragmatic understanding of the value that administrative tasks bring to bear on the experience of an end-user.
    • As a new brand of schooling operating at the forefront of digital disruption, technical challenges do arise. The ideal candidate will have an appreciation for how necessary it is to fail fast and fail forward, learn through iterative feedback loops, and embrace the process of continuous learning.
    • Change is constant as a result of rapid learning cycles. If consistent change gives you energy rather than drains your energy, you are likely to thrive in this environment. Similarly, if you are adept at managing yourself in a demanding environment and understand the importance of self-awareness and boundaries in your work, you are likely to do very well.

    Requirements

    • A Bachelor's degree in Communication, Marketing or PR is preferred
    • 3-5 years of work experience, in a communications role
    • Experience working with CRM platforms (list management, template creation, campaign set-up and testing)
    • Exceptional spoken and written communication skills
    • A passion for communicating proactively, effectively and consistently with customers
    • Adept at working cross-functionally to bring about change
    • Analytical skills in working with quantitative and qualitative data
