    Personal Assistant

    Job description

    Purpose of the Job:

    To perform a variety of responsibility, confidential and complex administrative and secretarial duties for the Executive Sales. This may also extend to the office administration tasks.

    Tasks

    • Compose, prepare and type correspondence, presentations and reports.
    • Maintain the Executive’s diary by scheduling appointments and ensuring that meeting rooms are booked timeously.
    • Establish appointment priorities and reschedule appointments accordingly.
    • Collate invoices and other documents received from the business for the executive approval and signature.
    • Ensure that refreshments are booked for meetings.
    • Anticipate and prepare material needed by the executives for conferences, correspondences, appointments, meetings etc
    • Take minutes of meetings and distribute accordingly.
    • Manage the executive’s mail and distribute accordingly
    • Make travel and accommodation arrangements for the executive and the team.
    • Answer telephones, screen calls and relay messages timeously.
    • Assess the urgency and importance of situations and take appropriate action.
    • Ensure that there is an adequate supply of stationery for the office.
    • Act as a liaison officer between the Business and the Executive Sales
    • Review the monthly car rental, accommodation, flights and travel agents schedules to ensure the necessary documentation has been signed off and the charges are correct
    • Perform any other admin and ops functions as may be required from time to time by the executive Sales.

    Minimum Qualification

    • Matric.
    • Secretarial Certificate/Diploma

    Experience

    5 + years secretarial experience at a senior level.
