    Customer Service and Property Coordinator - All Interested Applicants/ All Sources

    Duties

    • This position serves as the primary customer service hub and lead for property management, acting as a “One-Stop Shop” for management and GSO support. The role ensures compliance with policies, oversees inventory and asset lifecycle, drives efficiency improvements, and coordinates complex projects. The incumbent also leads annual inventory processes, supervises staff during audits, and provides backup support for supply distribution.
    • We are looking for a highly organized and proactive individual to manage our Customer Service Center (CSC) and oversee property management at the Consulate.

    Key Responsibilities

    Customer Service Center Management

     

    • Serve as the main point of contact for all management services.
    • Support U.S. direct-hire employees and families during arrival and departure.
    • Coordinate housing, office setup, and other transition services.
    • Manage customer expectations, resolve complaints, and improve service processes.
    • Oversee canteen operations, inventory, and vendor compliance.

    Property Management

    • Receive, track, and manage U.S. Government property (furniture, equipment, IT assets).
    • Inspect deliveries, assign asset barcodes, and update property records.
    • Coordinate storage, disposal, and annual inventory in compliance with regulations.

    Record Keeping & Reporting

    • Maintain accurate documentation of assets.
    • Prepare reports and forms for receiving, disposal, and transfers.
    • Use ILMS system for property accountability and reporting.

    Qualifications and Evaluations

    Requirements

    • All selected candidates must be able to obtain and hold a SBU security clearance. 
    • All selected candidates will be subject to a background investigation and may be subject to a pre-employment medical exam.  
    • Selected candidate must be able to begin working within a reasonable period of time 12 weeks upon receipt of agency authorization and/or clearances/certifications or their candidacy may end.

    Education Requirements:

    • Completion of High School (Matric) required

    Qualifications:

    Experience:

    • Minimum of 3 years’ experience in a customer-focused environment, emphasizing written and oral communication and daily customer interactions.

    Language: 

    • English: Fluent in speaking, reading, and writing; ability to translate may be required.

    Job Knowledge:

    • General understanding of inventory management.
    • Broad knowledge of administrative and office procedures.
    • Strong knowledge of computerized inventory and stock control systems.
    • Thorough understanding of the operational environment in South Africa, including local culture, business practices, laws, and regulations.
    • Ability to analyze issues and provide effective recommendations.
    • Knowledge and application of South African VAT regulations

    Skills And Abilities:

    • Proficiency in Microsoft Office and related software.
    • Basic math skills.
    • Accurate and efficient keyboard/typing skills for drafting correspondence, preparing reports, and maintaining records.
    • Ability to read, interpret, and apply complex regulations.
    • Excellent drafting, interpersonal, presentation, and organizational skills.
    • Strong customer-focused approach with sound judgment and creative problem-solving skills.
    • Must have a valid, current license. Must have had a valid driver's license for a minimum of five (5) years.
