Initial point of contact for all Mimecasters in the Johannesburg office.
Provide support for the local facilities team and the Cape Town team.
Be part of the global Mimecast facilities team and assist the teams in other regions as required.
Maintaining the office Occupational Health and Safety standards as required by local government regulation
Meet and greet clients and visitors, ensure Mimecast visitor processes are followed.
Ensure effective and professional telephone communications by answering any incoming calls, taking messages and/or forwarding to the individual.
Sort daily post/deliveries/couriers, manage invoicing and recons from landlord and suppliers.
Assist with planning and coordinating of internal and external meetings and company events.
Purchase office consumables as required
Ensure the office is consistently kept in the best state, including periodic checks of front of house area and customer facing meeting rooms
When instructed to do so, assist in supervising external vendors and maintenance works
Work with Regional IT and liaise with regional team and suppliers, including issuance of staff access passes, assist with supply and return of IT equipment and access for maintenance contractors.
Maintain good cross functional engagement with other departments.
Assist in improving company culture, by working closely with Employee Experience to assist in executing of in office benefits (E.g. Birthday gifts, new starter packs, birthday cakes, lunch orders, milestone gifts)
What you'll bring
Prior administrative experience
Proficiency with Microsoft Office, Word, Excel, and PowerPoint
Outstanding organizational skills, accuracy and attention to detail and the ability to multitask
Written and verbal skills with strong grammatical, proofreading, typing and note taking skills
Ability to work independently, flexibly and use discretion
Excellent interpersonal skills, including a pleasant positive demeanor and a proactive approach.
