    People And Culture Administrator (Hybrid)

    Duties and Responsibilities include but not limited to:

    • Collaborate with the People and Culture Officer to assist in the development of job descriptions and specifications. 
    • Support the People and Culture Officer and recruiting team members in posting job openings through various channels. 
    • Assist in screening incoming applications, ensuring completeness and accuracy. 
    • Help in coordinating interview schedules and communication with candidates and management. 
    • Conducting relevant pre-employment checks such as references, qualification and criminal checks. 
    • Collaborate with the People and Culture Officer to prepare and issue employment contracts and take on documentation. 
    • Assist in maintaining accurate and up-to-date employee records. 
    • Provide administrative support during the orientation and onboarding process for new hires. 
    • Assist in maintaining records related to employee benefits, including medical aid and pension plans. 
    • Assist with regards to conducting exit interviews and reporting there on.
    • Assist the People and Culture Officer in staying updated with South African labour laws and regulations. 
    • Collaborate in reviewing and updating policies, procedures, and the employee handbook as required. 
    • Ensure that employee documents and records are maintained in accordance with legal requirements. 
    • Provide support for the administration of employee benefits to ensure compliance. 
    • Assist in collecting data and inputting it into the information system. 
    • Support the People and Culture Officer in generating reports, including turnover rates and recruitment metrics. 
    • Collaborate in providing accurate data for analysis and decision-making purposes. 
    • Ad hoc reporting as required. 
    • Collaborate with the People and Culture Officer to facilitate effective communication within the People and Culture Department. 
    • Assist in coordinating meetings, and training sessions. 
    • Collaborate with the Talent Acquisition team to ensure seamless communication with candidates during the recruitment process. 
    • Collaborate with the People and Culture Officer to provide general support to the People and Culture Department. 
    • Work in coordination with cross-functional teams to ensure People and Culture initiatives align with organisational objectives. 
    • Collaborate with the Senior People and Culture Officer in senior management meetings, offering  insights and contributing to strategic decisions. 
    • Foster a culture of teamwork, diversity, and inclusivity within the People and Culture Department and across the organisation. 
    • Provide logistical support during training events and activities. 
    • Assist with training material preparation and post training reporting where required. 
    • Provide general administrative support to the People and Culture Department. 
    • Assist in preparing People and Culture-related documents, such as memos and announcements. 
    • Assist with obtaining quotations and invoices related to People and Culture initiatives such as wellness days.
    • Provide support in conducting exit interviews and maintaining records of feedback. 
    • Assist the Payroll team with regards to required documentation. 
    • Notification to relevant stake holders pertaining to the termination e.g., IT and Payroll. 
    • Work collaboratively with the People and Culture Department to support initiatives. 
    • Foster a positive and inclusive team environment.

    Requirements:

    • National Diploma/ bachelor's degree in human resources, or a related field. 
    • A valid driver's license.  
    • Minimum of 1 years' experience in an administrative role. 
    • Experience in an NGO environment is an advantage.  
    • Outstanding analytical, organisational, and problem-solving abilities. 
    • Excellent communication skills and a passion for people.
