    Senior People And Culture Officer - Operations (Hybrid)

    Duties and Responsibilities include but not limited to:

    • Develop job descriptions and specifications in collaboration with department heads. 
    • Advertise job openings through appropriate channels, including online platforms and local networks in collaboration with the Talent Acquisition team. 
    • Effectively screen and shortlist on various positions. 
    • Conduct interviews and assessments, ensuring a fair and thorough selection process. 
    • Coordinate reference checks and background verifications for selected candidates. 
    • Prepare employment contracts and onboarding paperwork.  
    • Oversee the orientation and onboarding process for new hires, ensuring smooth integration into the organisation. 
    • Ensuring timeous feedback is given to all applicants.  
    • Ensuring Management is supported with regards to the induction process as well as with regards to the probation review process.
    • Act as a point of contact for employee concerns, grievances, and inquiries. 
    • Facilitate effective communication between management and employees. 
    • Mediate conflicts and conduct investigations into workplace issues as needed. 
    • Organise and execute employee engagement initiatives, such as team-building activities, workshops, and recognition programs. 
    • Collaborate with department heads to address employee development needs and career progression opportunities. 
    • Monitor employee satisfaction and morale, proposing strategies for improvement. 
    • Stay up-to-date with South African labour laws and regulations, ensuring the organisation's compliance. 
    • Review and update HR (People and Culture) policies, procedures, and the employee handbook as needed. 
    • Ensure proper record-keeping of employee documents and files in accordance with legal requirements. 
    • Manage health and safety policies and protocols, ensuring a safe working environment. 
    • Assist with the administration of employee benefits. 
    • Responsible for IOD process and compliance. 
    • Identify training needs within the organisation and design relevant training programs in conjunction with the Training and development team. 
    • Coordinate and facilitate training sessions on topics such as HR (People and Culture) policies, diversity and inclusion, Sexual Harassment and professional development. 
    • Encourage continuous learning and skill enhancement among employees. 
    • Evaluate the effectiveness of training programs and make adjustments as necessary. 
    • Management and monitoring of the Performance review process and reporting thereof.
    • Receive, investigate, and resolve employee grievances in a fair and timely manner. 
    • Ensure that grievances are addressed in line with company policies and legal requirements. 
    • Ensure fairness and consistency is applied with regards to disciplinary action.  
    • Drafting of warnings, suspensions, hearing notices, dismissal documentation etc. as applicable following appropriate investigations and processes.  
    • Representation at CCMA if required.  
    • Daily management of the People and Culture Department in terms of operations and meeting of deadlines. 
    • Reporting of Operations as well as relevant escalations to the People and Culture Manager
    • Ensure comprehensive and detailed exit interviews are conducted within 48 hours of termination notification being received.  
    • Ensure accurate reporting on exit information.  
    • Notification of termination to relevant stake holders.

    Requirements:

    • Bachelor's degree in Human Resources, Business Administration, Psychology, or a related field.
    • a Post Graduate Degree in a related field will be an advantage. 
    • Minimum of 5 years of progressive experience in human resources, with at least 2 years in a supervisory or managerial role. 
    • In-depth knowledge of South African labour laws, regulations, and employment practices. 
    • Strong experience in recruitment, employee relations, performance management, and compliance. 
    • Exceptional interpersonal and communication skills, with the ability to interact effectively at all levels of the organisation. 
    • Proven track record of successfully leading HR initiatives and projects. 
    • Excellent problem-solving and conflict resolution abilities. 
    • Proficiency in HRIS systems and Microsoft Office Suite. 
    • Experience in an NGO environment is an advantage.  
    • Outstanding analytical, organisational, and problem-solving abilities. 
    • Excellent communication skills and a passion for people.
