    Utilities Administrator ( Sandton)

    Job Purpose

    Provide administrative services and support to the full range of Utilities activities undertaken by the Utilities team.

    Role Location

    Growthpoint Head Office in Sandton, Johannesburg.

    Working Conditions

    This position is office based and works on a normal 40 hours a week. Busy periods may require extra hours to ensure deadlines are met.

    Reporting Manager

    The Utilities Administrator reports to the Utilities Manager.

    Direct Subordinates

    No direct subordinates.


    Budget Responsibility

    • No budget responsibility.

    Duties and responsibilities

    Utilities

    • Facilitate the Report & escalation email putting in correct folder.
    • Attending to escalated tenant queries relating to utility charges and forwarding to relevant parties ie service provider, (Property Specialist)
    • Investigations electricity and water queries.
    • Assist Portfolio Manager to Liaise with meter reading companies; ensuring all monthly management reports are received timeously.
    • Manage internal systems
    • Assist and attend monthly pre planning meetings.
    • Provide operational administration, including on-going liaison with the SBU.
    • Assist in the development of goals and implement activities to attain goals, objectives, and administer utilities policies.
    • Handle and resolve complaints from the SBU’s.
    • Review, inspect, and monitor compliance in each portfolio/building relating to Utility activities.
    • Prioritize the functions of the Utility Section activities, makes appropriate recommendations in the operation of facilities, and implements necessary rules and procedures.
    • To attend monthly meetings Rate swatch our service provider for our rates in all sectors
    • Facilitate Monthly meetings with creditors and internal stakeholder if required.
    • Assist with reconciliation of assets across the sectors (Audits infrastructure) recoveries.
    • Minute taking for monthly meetings Creditors, Rates watch
    • Consolidate reports from the for monthly feedback / reporting to Stakeholders.
    • Assist adhoc day to day queries that may arise.
    • Keep track of external service providers 3rd parties (Outsourcing) – update schedules and follow up on work done.
    • Provide operational administration, including on-going liaison with the municipalities.
    • Assist in the development of goals and implement activities to attain goals, objectives, and administer utilities policies.
    • Handle and resolve complaints from the SBU’s concerning departmental and municipality activities.
    • Insure availability of back-up personnel for the maintenance of the utility delivery system.
    • Must have a valid driver’s license and own vehicle.
    • Evaluate and make recommendations on appropriate levels of water and sewer fees and rates to ensure solvency of enterprise operations.
    • Prioritize the work schedule for Utility Portfolio Managers
    • Collect plans, diagrams, and specifications for maintenance projects

     

    Experience

    2 to 3 years related experience working in the environment with municipalities and property.

    Qualifications
     

    • A relevant National Diploma or equivalent.
