    IT Operations Assistant (12months contract) SC5 ,Johannesburg

    JOB PURPOSE

    • To deliver high quality technical support, system and data maintenance across a range of areas, in order to contribute to the effective delivery of IT services.To deliver high quality technical support, system and data maintenance across a range of areas, in order to contribute to the effective delivery of IT services.

    KEY ACCOUNTABILITIES (not all-inclusive)
    Carry out system maintenance tasks, such as performing monitoring tasks, running system diagnostics, and system optimisation, to ensure they are running effectively and enable easy and efficient use.
    Maintain technology, including standard repairs, configuration, and storage, in accordance with data security and access controls to ensure IT equipment required for WFP staff is available.
    Prepare files and systems for inventory and archives, such as website content and directories, to ensure information is accurate and up-to-date.
    Allocate tasks to other colleagues, ensuring that tasks are delivered to agreed standards and deadlines, to support the effective delivery of services.
    Respond to a variety of queries about technology and systems in order to assist WFP staff to deliver their services.
    With support of senior colleagues, provide standard training to end users of technology and systems to ensure staff use standard technology and systems effectively.
    Perform routine deployments of server hardware and software, including testing and the identification of problems, to contribute to the effective functioning of technology.
    Responsible for maintaining information records such as updating web pages and statistical databases to ensure the information is current and well organised.
    Install, operate and maintain telecommunications systems and equipment, to ensure optimal services in compliance with standard operations procedures.
    Support the development of standard material such as training documentation and web content on behalf of senior officers, to ensure staff have access to required information about IT services and products.
    Suggest improvements to methods and processes in order to support the continuous improvement of IT services.
    Follow set emergency response processes and procedures as required to provide support in enabling emergency food assistance needs to be met.

    DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

    • Has experience resolving more complex technical issues.
    • Has worked with head of units in defining requirements for functional area.
    • Has experience with the application of client services standards to resolve or escalate clients’ service problems.

    STANDARD MINIMUM QUALIFICATIONS

    • Years Of Experience: 5 years of progressive hands on work experience in IT, digitalization or information management systems environment.

    Business Support Associate (Information Management)

    BACKGROUND

The Sustainable Development Goals require moving beyond saving lives to changing lives, focusing first on the people in greatest need, not just in least-developed countries but universally throughout the world..  WFP recognizes that it is impossible to achieve zero hunger without addressing the structural drivers of food insecurity and malnutrition, and that gender inequality is one of the most important causal problems.     KEY ACCOUNTABILITIES (not all-inclusive)

    • Reporting to the Regional Bureau Johannesburg (RBJ) Head of Emergency Preparedness and Response (EPR), or the OIC; the incumbent will work with the EPR team to:
    • Coordinate relevant information and data from country offices, Regional Bureau units HQ and a variety of online sources.
    • Ensure that standard information management and operational reporting procedures and templates are followed to drive quality, consistency and standardisation.
    • Produce/coordinate internal and external emergency reports and daily updates, consolidate inputs for dashboards and other information products in conjunction with the Reporting team.
    • Produce advocacy materials for refugee operations, lean season response and other ongoing emergency operations.
    • Facilitate and maximize the exchange of information and data flow between functional areas to provide operational awareness and enable decision making.
    • Coordinate relevant information and data from country offices and Regional Bureau units.
    • Ensure that standard information management and operational reporting procedures and templates are followed to drive quality, consistency, and standardisation.
    • Design basic presentations and reports including graphics such as diagrams, charts, infographics, and tables.
    • Produce/coordinate internal and external emergency reports and daily updates, consolidate inputs for dashboards and other information products in conjunction with the Reporting team.
    • Facilitate and maximize the exchange of information and data flow between functional areas to provide operational awareness and enable decision-making.
    • Manage emergency information and data on the Regional Bureau’s online information management system (Teams).
    • Maintain up-to-date dissemination lists and reporting flows.
    • Organize/coordinate Operational Task Force (OTF) and Strategic Task Force (STF) meetings and other relevant emergency meetings.
    • Produce notes for the record for emergency related internal meetings.
    • Support in monitoring CO compliance of the corporate Emergency Preparedness and Response Package (EPRP) and monitoring/risk analysis in the region. This will include producing initial drafts of the Regional Risk Outlook in conjunction with VAM and Security team under the guidance of the EPR Officer to inform decision making on preparedness priorities and appropriate mitigation measures.
    • Support the Humanitarian Policy Advisor on Protection, PSEA and refugee coordination issues as tasked.
    • Provide general programmatic support and have the versatility to backstop the EPR team on other priorities as needed.

     
    STANDARD MINIMUM QUALIFICATIONS

    • Education: Secondary School Education and have a Certificate in International Affairs, ​​​​​​Visual Communication / Graphic Design, Social Sciences, Development Studies, or other related fields is a minimum requirement.
    • Experience: A minimum of 6 years proven experience in information management in humanitarian operations and basic experience with visual communication and graphic design principles

    Knowledge & Skills:​​​​​​

    • IT Skills & Office Management Skills: Ability to effectively use standard MS Office software and information systems (Excel, PowerPoint & Canva, Graphics design experience)
    • Knowledge of UN system policies and reforms.
    • Strong written and verbal communication skills
    • Language: Fluency in both oral and written English. French language skills are desirable.

    IT Operations Manager NOC - 12 months renewable contract, Johannesburg

    JOB PURPOSE

    • To lead the delivery of efficient and effective IT and Telecommunications (TC) services, providing sound, innovative solutions that enable staff to deliver food assistance to beneficiaries, in line with WFP’s strategy.

    KEY ACCOUNTABILITIES (not all-inclusive)

    • Participate in the development of plans, budgets and policies, and lead the deployment of IT/TC systems aligned with business needs, in accordance with WFP corporate standards.
    • Develop and maintain IT/TC systems and networks, ensuring appropriate data security and access controls considering both local and wide area network issues; and enabling users to get maximum benefits from them.
    • Implement and test new hardware for improving and upgrading system performance; install any technology upgrades as required.
    • Develop technical specifications and tender documents, and manage contracts with service providers, to facilitate procurement of IT/TC equipment and services at minimum cost, in line with WFP rules and regulations.
    • Coordinate and prepare reports on IT/TC activities, investments and costs, identifying trends/issues and proposing solutions to increase cost-efficiency.
    • Maintain technical expertise and knowledge of industry developments, and develop skills within specific areas of competence.
    • Provide advice to managers and users to resolve complex issues, understanding their needs and ensuring IT policies, procedures, systems and tools are correctly applied to support them.
    • Lead and motivate a small team, monitoring performance, providing coaching, training and guidance to ensure appropriate development and enable high performance.
    • Build capability of staff, collaborating with colleagues in the IT division to design and deliver corporate training policies and programmes aimed at developing skills/knowledge in IT and TC.
    • Ensure effective coordination with other UN agencies in order to align activities and maximise possibilities of inter-agency collaboration in the field of IT/TC.
    • Maintain effective partnerships with colleagues and external partners, to foster information exchange and support to meet service requirements.
    • Contribute to emergency preparedness and contingency planning, providing technical recommendations and monitoring the management of risks, so that WFP can maintain basic IT services and/or quickly respond and deploy resources to affected areas at the onset of a crisis.
