    Director HR Operations SSA

    Role Context

    The role is within SSA to drive and manage the HR Operations function within DHL Express SSA Regional Office. Acting as a trusted advisor and HRBP to the business and partnering with the members of the business management team. Provide input to and lead implementation of HR plans and policies for the regional office by aligning HR activities to business needs and providing day-to-day HR support to attract, manage, develop, motivate and retain employees to achieve business objectives in line with business needs, HR strategy, industry best practices and current legislation.
    In addition, the role will specialise in the design, delivery and management of Talent Acquisition, Recruitment and Onboarding processes in the DHL Express SSA Region to ensure that we attract, select, integrate, engage and retain people within the organisation with the aptitude and abilities to meet the current and future needs of the business. The role also owns and governs the Health and Wellbeing Programmes for SSA as well as SSARO and collaborates on Employee Engagement (EOS) initiatives within SSA.

    Key Responsibilities

    Talent Acquisition

    • Sourcing Strategy: Manage recruitment strategy and process, maintenance and development of resourcing and candidate tracking systems. Determine and advise on recruitment methods, channels (e.g., LinkedIn, Agencies, Universities) and selection tools (e.g., SHL, PI, PPA, SONRU, etc.). Ensure processes, policies and approaches are regularly refreshed to remove bias and prevent discrimination.
    • Resource Management/ Workforce Planning: Identify and develop a pipeline to meet current and future resourcing and business needs (Collaboration with TM to fill internal roles with LEADS Successors)
    • Custodian and Super User of the Recruitment Management System
    • Headcount and vacancy reporting through the RMS
    • Assessment & Selection: Work with line managers to define recruitment needs, establish role requirements, sourcing plan and execute the sourcing plan. Support selection process and interviewing
    • Graduate recruitment programs – Recruitment and Placements
    • Employer branding: Provide guidelines, materials and activities to promote DHL brand to attract/retain candidates, manage job fairs and benchmark employer attractiveness
    • Onboarding processes and Induction: Ownership and promotion of frameworks, tools and programs for effective induction and integration of new and existing employees into new roles
    • Management of Recruitment Vendors and Recruitment Platforms and Systems - e.g. Thomas PPA
    • Process Owner: Employee Opinion Survey - Prepare, administer and facilitate annual Employee Opinion Survey organization mapping, administration, communication, action planning, reporting and follow-up. This is supported by an EOS Champion
    • Process and Programme Owner: Health and Wellbeing (FFW/FFL) for SSA – Driving Global and strategic topics under Health and Wellbeing

    HRBP Role – Regional Office Employees (local and abroad)

    (in collaboration with Regional Functional heads and Country HR heads)

    • Organizational Change: Manage organizational change to support the business strategy, incl. initiatives such as business development, reorganizations, redundancies, redeployment, etc.. Ensuring risk mitigation balanced with employee welfare and business objectives. Leading and supporting engagement activities, cultural change and communication programs.
    • Organizational Design: Supporting business to develop effective structures, aligned with standards, such as span of control, management ratios and accountability mapping.
    • Workforce Management: Reporting and advising on resource capacity planning, scheduling and productivity measures by providing appropriate tools and policies with reference to benchmark ratios costs and standards.
    • Talent Management: Ensure tailored recruitment and talent management activities through TM to attract, select, integrate, and retain people with the aptitude and abilities to meet the current and future needs of the business or function in scope.
    • Employment Data / Contract Management: Accountable for contract elements, legal / data protection provisions, contract/record management, and management of organization and employee records.
    • People Performance Management: Giving guidance on legal and policy requirements, education and advice to managers, documentation and employee notification procedures, and legal proceedings.
    • Local HRBP functions for the RO including discipline and grievances, learning and development, talent management, compensation and benefits, employee engagement, etc.
    • HR Service Delivery: Optimizing the use of HR processes, leverages the HR tools to great effect. Establishing clear and meaningful KPIs, tracking Business satisfaction with HR and improvement initiatives.

    Minimum Requirements

    Education and experience

    • Relevant HR University degree / Labour Law qualification
    • 8-10 years’ experience in various HR–related areas
    • Talent Acquisition as a key focus in previous roles
    • HR Administration knowledge
    • Line management and/or matrix leadership
    • Experience of multiple countries and/or industries
    • Previous experience partnering with the business at a senior management & executive level in a complex environment e.g. multi-country / customers.
    • Proven experience of leading the deployment of complex organisational change projects

    Cross Border Controller

    In this Cross Border Controller position

    • You will understand & process Road Freight shipment requests and execute such request expertly.
    • You will arrange bookings based on customer requirements with the most qualified & cost-efficient transport supplier, capable of executing the shipment requirements.
    • You will register shipments on CW1 & SALOODO! Within the specified timeframes (1 hour) after receiving shipping instructions
    • You will process shipping documentation acquired from customers in the most adequate way to allow DHL CDZ to efficiently & effectively customs clear the shipment within the specified time frame (3 hours)
    • You will ensure all shipping documents related to the file are accurately named and stored on eDOCS, following stated document management best practices.
    • You will ensure all ACR’s & WIP’s are loaded onto registered file at time of registration.

    • You will receive and accept transport orders from customers and nook shipment with transporter on time. Follow up acquittals for RIT/RIB shipments.
    • You will follow up PODs (proof of delivery) with transporters and arrange collection / packing of customer cargo.
    • You will supply carrier with transport order instructions, CW1 reference No. & SALOODO! Shipment No.
    • You will send Pre-alerts to customer & destination offices and agents.
    • You will invoice shipment based on estimate or rate agreements.
    • You will produce thorough and accurate documentation ensuring customer satisfaction and compliance to regulations.
    • You will participate within the department with regards to industry or regulation changes.
    • You will carry out identification of Hazardous Cargo and ensuring the cargo is transported under the right regime.

    RCC Specialist

    In this RCC Specialist position

    • You will increase number of winning bids through accurate & competitive completion of Road Freight estimate requests.
    • You will ensure product profitability by managing customer selling rates and supplier buying rates.
    • You will maintain minimum 50% hit ratio for all ad-hoc bids and RFQ’s.
    • You will improve carrier base in country by minimum of 100% in first year and 25% YOY.
