    Stock Controller

    Job Summary 

    • The Inventory Controller is responsible for the effective management, control, and optimization of all inventories, stores, and receiving operations across the hotel. The role ensures the integrity of inventory processes, stock accuracy, receiving controls, inventory systems (iScala), reporting, and stock management while supporting procurement operations and maintaining compliance with financial, operational, health, safety, and food safety standards.
    • The Inventory Controller oversees inventory levels, cycle counts, stock variances, receiving functions, and system governance while leading and developing Stores and Receiving teams to support efficient hotel operations and cost control objectives.

    Key Duties & Responsibilities

    Inventory Management & Control

    • Manage and monitor all hotel inventory, including stock levels, par levels, replenishment requirements, stock movements, and inventory accuracy.
    • Monitor expired, obsolete, damaged, and slow-moving stock and implement corrective actions to minimize waste and financial losses.
    • Oversee monthly inventory counts, cycle counts, ad hoc stock takes, and stock reconciliations across all stores and operational departments.
    • Investigate stock variances and implement corrective actions in collaboration with Stores, Cost Control, and operational departments.
    • Ensure all inventory counts, variance reports, and supporting documentation are accurately maintained for audit purposes.

    Receiving & Stores Operations

    • Oversee daily receiving and stores operations to ensure inventory is received, stored, issued, and recorded accurately.
    • Ensure all goods received comply with approved Purchase Orders, pricing, quantity, and quality requirements.
    • Monitor invoice matching and receipt processing against approved Purchase Orders.
    • Ensure all receipts are processed onto iScala and submitted within designated deadlines.
    • Manage pick plans and ensure stock is issued accurately and within operational timelines.
    • Monitor free stock received and ensure compliance with supplier agreements and correct system processing.
    • Support stores and receiving teams with operational challenges and workflow improvements.

    iScala System Management & Governance

    • Maintain full integrity, governance, and functionality of the iScala inventory management system.
    • Monitor and resolve daily system errors and inventory discrepancies.
    • Ensure:
    • Requesters and approval workflows are correctly configured.
    • Item histories reflect accurate stock depletion and balances.
    • New inventory items are correctly created, categorized, and linked.
    • Obsolete or discontinued items are reviewed and deactivated.
    • General ledger mappings and inventory coding structures are maintained accurately.
    • Units of measure are correctly configured for purchasing, requisitioning, receiving, and depletion processes.
    • Facilitate creation, amendment, and deactivation of inventory items.
    • Train and support users on iScala processes and best practices.

    Procurement Support & Supplier Management

    • Support Procurement with sourcing requirements, including obtaining quotations where required and assisting with supplier evaluations.
    • Collaborate with Procurement on ad hoc purchasing requirements and inventory optimization initiatives.
    • Develop and maintain strong working relationships with suppliers and internal stakeholders.
    • Ensure supplier agreements relating to inventory and free stock are adhered to.

    Team Leadership & Development

    • Supervise Stores and Receiving teams, including scheduling, attendance management, leave administration, performance support, and training.
    • Develop team capability through coaching, mentoring, and continuous upskilling.

    Experience

    Technical Knowledge

    • Advanced knowledge of inventory management systems (preferably IScala), procurement processes, stock control, receiving procedures, and inventory reconciliation.

    Storekeeper

    Job Summary

    • The Storekeeper is responsible for the efficient receiving, storage, control, issuing, and safeguarding of all inventories within the hotel. The role ensures stock is received according to approved purchase orders and quality standards, stored under optimal conditions, issued accurately against approved requisitions, and managed in compliance with inventory controls, health and safety standards, and Food Safety Management Systems (FSMS). The Storekeeper maintains accurate records, monitors stock levels and expiry dates, and supports effective inventory management to minimize wastage, spoilage, and losses.

    Receiving & Stock Control

    Job Summary

    • Assist with the daily administration and coordination functions of the Food & Beverage Department and Restaurant Reservations.

    Mini Bar Attendant

    Job Summary

    • The main function of a Mini Bar Attendant is to insure that all mini bar requests are obtained from Detail Arrivals Report, to insure that all mini bars are stocked as per standards of the property and to ensure sales are charged to the guests account immediately.

    Key Duties and Responsibilities

    • Collect listings of the arrivals, departures, VIPS as well as initial requests for the mini bar from Reception before stating replenishment of the rooms.
    • To ensure the highest standards of the O&O Cape Town are always projected by ensuring the Mini bar is clean and stocked to standard SOP/ product list.
    • Stock the mini bar to par level every day and ensure all used products are charged immediately to the GUESTS account.
    • Ensuring all actual stock and current stock is recorded on a stock sheet, as well as the replenished stock. 
    • Report to the IRD Supervisor or Manager at start of shift.
    • Collect keys for trolleys at Reception.
    • The attendant who collects the keys is entitled to open the trolleys with their mini bar colleague and count all stock in all the trolleys and record it as opening stock.
    • The trolleys are to be stocked to the appropriate par level.
    • All stock in the mini bars in the rooms is to be recorded in writing and all sales made in mini bars are to be charged immediately.

    General

    • Learn the hotel’s fire and safety procedures and how to operate the restaurants firefighting equipment.
    • Learn the facilities of the hotel and the daily events and functions, in order to satisfy guest inquiries and briefings.
    • Perform other duties as assigned on the weekly schedule.

    Skills, Experience & Educational Requirements

    • Minimum of 2 Years working experience at 5-star establishment
    • Diploma / Degree in Hospitality / Travel & Tourism desirable
    • Fluent in English / Multi-lingual a plus.
    • Good communication skills
    • Must be computer literate
    • Proficiency on Microsoft office, Outlook and Opera is required
    • Excellent Guest Relations skills

    Porter

    Job Summary

    • The Porter assists with the delivery and collection of guest’s luggage, parcels, faxes, messages, etc. He also assists in keeping the lobby and Porte Coche neat and tidy and ensures all guests receive prompt, cordial and efficient attention and service throughout their stay. 

    Key Duties and Responsibilities

    • Be well groomed and punctual at all times.
    • Ensure prompt, accurate and courteous delivery and collection of any luggage, parcels or mail. Always liaise with Concierge and Front Desk.
    • Ensure correct and secure storage procedures are carried out.
    • Prompt delivery of both local and international newspapers;  Local papers to be delivered by 8am;  International papers to be delivered by 10h00
    • Flags to be put up and put down timeously;  In winter up @ 06:00 and down @ 18:00;  In summer up @ 06:00 and down @ 19:00
    • Maintaining the cleaning and repair of all flags
    • Assist the Concierge in keeping the public area clean and tidy.
    • Report any suspicious persons or unattended luggage to the Concierge. Be aware of security procedures.
    • Make sure when you come on shift that the trolleys are clean, storeroom is kept tidy and free of debris
    • Valet parking of guest cars and ensuring the keys are securely stored
    • Assist with the Doorperson’s duties when they are not available.
    • Be aware of facilities available in the rooms.
    • Be familiar with all facilities and services within the hotel and offer general information as required.
    • Ensure you sign in and out timeously and this is signed off by a Front Office Manager on duty. 
    • Read, understand and abide by all the rules and regulations set out in the Employee Handbook.
    • Work night shift as and when required and will be under the management of the Night Auditor on these shifts
    • Excessive lateness and absenteeism will not be tolerated within the department without a valid reason stated in advance, a sick note or prior communication made with a Supervisor or Management.
    • Prepare and action additional duties outside of job description as and when necessary.

    General and other duties

    • The employee will, at all times, be required to render the highest level of courtesy and service to hotel guests even where such service may fail beyond the main duties or scope of this position.
