    Time & Attendance Clerk

    The successful incumbent will assist with optimizing HR administrative efficiencies by delivering services in an accurate and confidential manner in line with business objectives

    DUTIES & RESPONSIBILITIES

    • HR Service delivery to internal customers by providing payroll with accurate timesheets for all employees timeously.
    • Understanding of the time and attendance system (ERS/ Biosyn) by ensuring an effective and efficient run of the system. 
    • Daily monitoring of all scanners
    • Liaise with ERS, IT and Maintenance to resolve T&A system & scanners’ problems.
    • Communication with the relevant T&A system users to ensure effective usage for the time & attendance system.

    ORGANISATIONAL EFFECTIVENESS

    • Checking of hours and error messages on the time & attendance system daily (ERS).
    • Ensure that all leave forms are captured on the system and copies are submitted for record keeping.
    • Ensure accurate recalculation for daily, weekly and monthly hours on T&A system.
    • Ensure accurate and timeously submission of timesheets to Payroll by the 10th and 22nd of each month for overtime purpose.
    • Continuous communication with Production administrators to achieve accurate timesheets for overtime purpose.   
    • Capture new employees on the scanners and on the T&A system, as per HR `s instruction
    • Termination of terminated employees on the scanners and T&A systems as per HR `s instruction. 
    • Attendant and address all the T &A quires 
    • Monthly T&A report to HR, for analysing the absenteeism rate of the business.
    • General HR Time & Attendance report / timesheets as requested by Line Managers.
    • Provide Timesheets for audit purposes.

    SOUND QUALITY ASSURANCE

    • Adhere to relevant Acts (POPIA, LRA, BCEA, payroll and HR policies and SOP’s)
    • Accurate reports
    • Adhere to accuracy and confidentiality

    MINIMUM QUALIFICATIONS

    • N6 in Human Resources Management

    Junior Regional Admin Manager

    Completed B.Com (Accounting / Financial Management) or a B.Tech, 
    coupled with completed SAIPA or SAICA articles essential for the role.  

    DUTIES & RESPONSIBILITIES

    • Assist with the performance of reconciliation of cash control and resolving cash control issues; 
    • Follow up on outstanding invoices; assist with the updating of asset registers; resolve issues; 
    • Reconcile cash control and all outstanding items; assist with review of vehicle fleet and related items and follow-up on any related issues on logbooks and petrol card issues; 
    • Assist with the review of credit notes; identify and reporting administration and financial risks; assist with the compilation, implementation and monitoring of company policy; 
    • Attend regional meetings and assist with preparing of relevant information for discussion at the meetings; 
    • Assist with conducting of internal formal / informal site audits and with the compilation of reports on internal site audits; 
    • Follow-up on internal / formal / informal site audit findings and issues identified; 
    • Assist sites to resolving findings; prepare regional internal audits; 
    • Assist with validation of costs incurred in the regions and the compilation of cost analysis and variance reports; 
    • Assist with the compilation, management and consolidation of site budgets and updating of site financials and administration files etc.  

    Knowledge of SAP highly advantageous.
