    Operations Depot Supervisor

    The Depot Supervisor is responsible for working within the team to assist the team and strive for “best in class” performance to ensure safe, efficient, and cost effective Depot and Transport operations that are in compliance with Puma Energy practice and standards

    • Maintain levels at set targets to minimise working capital requirements and to meet customer demands.
    • Ensure stock is reconciled daily so that sales transactions are processed on Puma energy system for all relevant deliveries and product quality control is maintained
    • Ensure stock gains/losses are within accepted norms/standards to minimise stock losses.
    • The right product, in the right time, at the right quantity against set service levels and transport KPI’s to meet customer requirements and improve the efficiency and optimisation of the transport.
    • Products loaded are reconciled daily to maintain quality and stock control.
    • Delivery gains/losses are within accepted norms/standards to minimise stock losses.
    • HSEQ standards are maintained.
    • Supervise the terminal’s maintenance programmes at minimum cost ensuring no loss of revenue due to downtime in the terminal’s operation, the company’s assets are protected and all risk is minimised.
    • Assist the Depot Manager in compiling annual maintenance budgets for the terminal to ensure accurate and sufficient allocation funds in this regard.
    • Supervise the HSEQ and security of the depot to ensure constant adherence and compliance to the Company’s standards, any local by-laws and government legislation. This to minimise all risk pertaining to the company’s assets and stock, be an excellent corporate citizen, remain operational and ensure the safety of all people.
    • Supervise operational crises and problems pertaining to the depot by activating contingency plans and advising all affected parties so as to avoid any/minimal disruption of the operational activity in the depot.
    • Supervise all subordinates through continuous people management, staff development and coaching / mentoring to ensure a positive working environment that will attract and retain skilled manpower and increase productivity.
    • Assist with the practical training of Operations and Management trainees and employees from other depots through on-the-job training and rotation within the depot that will result in meeting the objective of the training programme.Knowledge Skills and Abilities, Key Responsibilities:

    Health Safety and Environment: 30 %

    • Direct the Operations Team in the fields of Health, Safety & Environment (HSE) to ensure adherence to legislation and company policy/standards
    • Champion HSE as a personal value to ensure HSE is promoted in terms of both actions and decisions and to prevent accidents and harm to people or the environment.
    • Ensure compliance with SAPS and any supporting safety standards and practices plus local legal requirements.
    • Ensure that adequate security procedures are adhered to safeguard assets & people in the interest of Puma Energy, its customers and other stakeholders.
    • Ensure Contractors adhere to the Permit To Work Procedures to ensure work is conducted in most safe practicable manner.

    Storage and Handling: 30%

    • Ensure that bulk fuel and additive receipt and storage in the depot is carried safely and that all critical task procedures are consistently adhered to.
    • Account accurately for additive receipt, storage and usage at the depots.
    • Manage product loss/gain during receipt and storage with object of keeping in-transit & storage loss/gain within tolerance.
    • Ensure bulk fuel is dispatched (customer own collection) as per procedure.
    • Manage product quality of all bulk fuels during Storage & Handling stewardship.
    • Ensure housekeeping at bulk storage area, especially tank farm, loading racks, rail siding, etc. is maintained at the prescribed standard.

    Maintenance: 30%

    • Accountable for effective housekeeping & preventative maintenance program for depot assets.
    • Ensure all mechanical and electrical standards are maintained consistently for the depot & where lacking bring them up to standard.
    • Execute and undertake preventative, regular planned and breakdown maintenance of the depot assets.
    • Carry out regular inspections & routine servicing of plant, machinery & equipment to prevent costly breakdowns.

    People Management: 5%

    • Monitor performance of yard staff and contractors by observing them in action against appropriate task procedures.
    • Set performance target and implement measures to optimize performance.
    • Create an enabling environment that promotes and recognizes individual and team efforts and develops the skills and capabilities of the team.

    • Spends a considerable amount of time building and maintaining relationships with the host Depot(s) and with other oil companies regarding product supply and demand as required.
    • Selects, develops and manages relationships with contractors and third party suppliers to ensure effective working practices and performance.
    • Works closely with other areas of Puma Energy, understanding implications of broad decisions, and successfully implements programmes and initiatives to achieve operational excellence.
    • Technical: strained storage capacity with no buffer stock along the supply chain.
    • Monthly price changes results in fluctuating demand.
    • Transaction of product to customers and depot are accurately processed.
    • Supervise the entire operation of the Depot within the framework of relevant legislation and regulations governing the Industry thus ensuring high customer service levels with the aim of contributing to Puma Energy’s profitability and strategic supply positioning.
    • At times report-consolidated results of the Depot and any exceptions thereto monthly together with the corrective actions plans to ensure accurate reporting of the Depot’s activities and results and recommend areas of improvement.
    • KPI’s – expenditure, audit reports (safety, quality, environment and admin), HSEQ stats, transport KPI, stock loss reports.
    • Appropriate degree/diploma in Logistics / transport Economics/ Engineering.
    • 3 years of logistics or operational experience, at least 2 of which should have been spent at management level.
    • Extensive knowledge of Depot operations procedures, supply and logistics and knowledge of other Operating Performance Unit (OPU) strategies and plans, particularly markets.
    • Extensive experience in stock management gained in a petrochemical, production or industrial environment.
    • Experience in budget management and exposure to basic financial management.
    • Ability to work with diverse teams including senior management and third party negotiations.
    • Extensive knowledge of HSE principles and guidelines specific to Depot operations and the implementation / management thereof
    • Valid driver’s license or international equivalent is primary
    • The Depot Supervisor must be knowledgeable in HSE legislated standards

    Regional Operations Manager

    • To implement and enforce Puma practices and policies regarding HSE, Midstream operations, in particular stock management; quality control; asset reliability, transportation ,and cost control
    • To provide support and guidance to the countries on troubleshooting activities; incident investigation; supply-chain optimization; transportation solutions; HSE and operational excellence audits; training and budgeting

    • Oversees Puma Energy’s operations in its region to assure safe and reliable operations by visiting the facilities regularly, in order to have direct contact with personnel and assure that all company standards, polices, operational procedures and safe operational practices are in place.

    Consolidates The Regional Information And Reporting, Like

    • HSE Kpi’s, (i.e. Loss time accidents, Incidents reporting, Road Traffic Accidents)
    • Oil Gain and Losses
    • Opex
    • Capex
    • Analyzes the region’s monthly operational results, and advice management on improvement actions and options to solve deviations
    • Oversees SAPS in all sites in the region, auditing the progress of each site on its implementation
    • Facilitates and enforces the use of Safeguard for incident reporting and investigation; Risk analysis and operational reporting
    • Implements the Operational Excellence Program in the region, planning and executing the required audits
    • Participates in the scope definition of new facilities in conjunction with Construction team.
    • Follows up project execution and makes sure that the project is staffed appropriately, and that the hand over and commissioning are executed according with Puma practices
    • Liaise with Puma Energy Supply team to optimize the supply-chain process to each site; supporting the country sales strategies and goals
    • Manages terminal organic capex requirement in conjunction with each country in its region, responsible for the assessment and approval of those requirements
    • Supports the countries in troubleshooting activities; incident investigation and improvement initiatives related to supply-chain optimization; transportation solutions; training and budgeting

    Experience

    • Mechanical, Chemical or Industrial Engineering undergraduate university degree.
    • Post graduate degree in strategic, operational management or business administration is preferred.
    • 15-20 years of experience related to similar operations, including up to 10-15 years in a leadership role managing or supervising personal.
    • Experience in refinery operation.
    • Experience in dealing with HSE international standards, codes and regulations


    Skills

    • Fluent English, preferably multilingual, such languages as French and Portuguese will be an added benefit
