    Project Admin - Randburg

    Job description

    KEY PERFORMANCE INDICATORS:

     Perform IFS Financial Project Administration

    • Registration, revision, and closure of projects according to approved Project Establishment Forms. (Check PEC’s are correctly completed, check figures on proposal or order).
    •  Analyse and produce weekly IFS and Excel Financial reports of project expenditure vs. budget and circulate to the Heads.
    • When requested, to the relevant CIs for planning and budgeting purposes.
    • Through analysis, ensure that all revenue and expenditure is processed to the correct GL accounts. Where incorrect postings are identified, investigate and correct through journalisation.
    •  Monitor expenditure vs. budget and advise Management and Chief Investigators of projects nearing/exceeded budget.
    •  Establish root cause of incorrect postings and take corrective action to avoid in future incidents.
    • Perform monthly period-end procedures, and related analytical functions to check any timesheet errors.
    • Liaise with SBU accountant regarding journals and project queries.
    • Synchronise project administration across productive SBUs through communication with other Admin Officers.
    • Liaise with Buyers and assist CI’s regarding quotes for purchasing on projects and load requisitions on IFS once approved.
    • Follow up with Buyers and Suppliers on Purchase Orders and delivery of goods ordered.
    •  Provide IFS project reports to CI’s and staff when required. Assist with detailed expense queries from IFS reports.
    •  Liaise and co-ordinate with auditors and SBU managers.

     Perform IFS Financial Project Billing Process

    •  Enter proposals and sales orders on IFS ensuring client details & billing plan is correct.
    •  Monitor billing plan and adjust as required based on CI feedback.
    •  Issue invoices after confirmation from CI’s.
    •  Administer & maintain debtors tracking issue list.
    •  Monitor Debtors days:
    •  Remind technical staff to follow up with technical contacts.
    •  Follow up with client financial departments.
    •  Interact with Mintek Finance to obtain pre-payment advise and ensure invoices are cleared.

     Prepare & Control of SBU Cost Elements and Budgets

    •  Assist Executive Managers and Heads with budget planning.
    •  Provide financial input to divisions with annual budgeting and regular forecasting for divisional running costs.
    •  Control and monitor the actual expenditure relating to CAPEX against budgeted CAPEX targets as well as handling issues arising from the CAPEX process related to management accounting and project issues.
    •  Assist with business improvement and cost reduction initiatives within the division.

    Administer Project Labour Booking Process

    • Ensure staff enter timesheets on a weekly basis.
    • Check & approve weekly billable time.
    • Produce weekly Excel reports of time booked to projects for Management and CI checking.
    • Facilitate reversal and correction of incorrectly booked time.
    • Monitor and resolve time booking errors in COFC and CN30 accounts.
    • Execute and ensure Science Vote invoicing is done on time.
    • Check time booked to the project budgets before time is approved.

    Minimum requirements

    KEY PERFORMANCE INDICATORS:

    Financial sustainability

    • Prepare proposals under direct/limited supervision, including Open Call proposals.

    Execution, People and Planning

    • Perform routine scientific and engineering research using standard methods, procedures and equipment. Act as Principal investigators on such projects.
    • Perform complex scientific and engineering research under supervision.
    • Design, operate and oversee discipline specific experimental work and ensure that procedures are complied with, and quality control and continual improvement are applied.

    • As Principal Investigator responsible for the assessment and management of all risks at a project level.
    • May be responsible for equipment / facilities.

    Relationship Management and Reporting

    • Present at local conferences and publish conference papers, journal papers.

    Interactions

    • Staff in own division, across other divisions to head level; suppliers and vendors (engineers), clients/collaborators at technical level.

    Minimum requirements

    QUALIFICATIONS AND EXPERIENCE

    • Minimum: B. Sc. Hons or 4-year Engineering degree.
    • Ideal: MSc, MEng (NB: other lower degrees, must attain the minimum requirement to stay in this position)
    • 1- 2 years vocational experience following first graduation (BSc Hon/BEng)
    • Must have 2 - 3 years Comminution and Flotation or Physical Separation experience.

    Good Receiving Coordinator - Randburg

    KEY PERFORMANCE INDICATORS 

    • Receive deliveries from suppliers.
    • Inspect goods received and verify that goods are in good order.
    • Compare delivery documents to the Mintek purchase order on IFS and confirm that the quantities and materials match.
    • Liaise with the relevant buyer in case of any anomalies regarding goods or quantities.
    • For goods to be returned to supplier, complete necessary process on IFS and contact supplier to arrange for goods pick-up.
    • Ensure correct documentation is submitted back to supplier and that the buyers are aware of the return.
    • Sign delivery documents from supplier.
    • Perform goods receipt on IFS by selecting the correct purchase order and inputting the correct data on IFS.
    • Record deliveries in the goods receipt register.
    • Arrange for regular collection of goods from the Goods receipt Depot with stores personnel.
    • Mark all received items with the relevant PO number.
    • Ensure goods are dispatched to stores after compared to goods receipt register.
    • Contact end users for urgent deliveries.

    The Pyrometallurgy Division has identified the following priority research areas to guide the recruitment process:

    • Designing the next generation and fit-for-purpose DC arc furnace technology
    • Computational and numerical modelling of complex phase systems in pyrometallurgy
    • Phase equilibria and thermochemical modelling of complex slags systems
    • Sustainable processing and elucidating low carbon pathways in pyrometallurgy.
    • Reaction kinetics and elucidating reaction mechanisms in pyrometallurgy.
    • Nascent flowsheets to valorise postconsumer, urban, and industrial wastes.
    • Novel and niche furnace containment systems

    The role demands strong understanding of thermochemistry, phase equilibria, reaction kinetics, and engineering design fundamentals. Contributing to human capital development through coaching and mentoring of engineers-in-training and interns is a non-negotiable component of the role.

    Minimum requirements

    JOB KNOWLEDGE AND REQUIREMENTS: 

    • A strong understanding of pyrometallurgy fundamentals
    • Demonstrated ability to conceptualise and deliver high impact research in pyrometallurgy.
    • Strong portfolio of publications in peer-reviewed journals is a distinct advantage.
    • A strong understanding of the South African and global metals, minerals, and energy industries.
    • Proven experience software and design tools such as PyroSim™, FactSage™ and FUSION360.
