    Personal Assistant

    Job Purpose:

    • To perform timely, accurate and professional Administrative and Secretarial functions for the Head of Supply Chain – One Africa by organising meetings, functions, booking of travel, throughout the various Cipla offices in One Africa and global team and where required.

    Key Accountabilities:

    Travel Arrangements:

    • Arrange travel - flights, visas, transfers 
    • Issuing of all travel documentation and itinerary prior to departure 
    • Arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

    Meetings and Functions:

    • Meeting and greeting visitors at all levels of seniority
    • Organising meetings and ensuring the Director is well prepared for meetings
    • Compiling of agendas
    • Collating the meeting packs which are circulated before meetings
    • Minute taking 
    • Arrange refreshments and IT equipment for meetings
    • Minutes to be completed timeously with the final draft after the meeting.
    • Obtain quotes and arrange special events for the Supply Chain (where required).
    • Liaise with events team and wellness teams for CDG events.

    Diary Management:

    • Ensure busy diary commitments, papers and travel arrangements are managed effectively.
    • Discuss diary and upcoming engagements, invitations and other requests.
    • Organising and maintaining diaries and making appointments.
    • Liaise with internal and external delegates.
    • Booking venues for the meetings.
    • Responsible for refreshments when required during the meetings. 

    Administrative:

    • Filter general information, queries, phone calls and invitations to the Director by redirecting or taking forward such contact as appropriate
    • Keep and maintain an accurate record of papers and electronic correspondence on behalf of the Director.
    • Compiling documents, briefing papers, reports and presentations
    • Liaising with clients, suppliers and other staff.
    • To effectively manage the day to day running of the office of the Director
    • Submission of Expense Claims for the team.
    • Prioritises conflicting needs; handles matter expeditiously, proactively
    • Interface with other PA's and Reception  and communicating relevant info to senior managers via PA's
    • Filing of all documentation and information.
    • Keep record of invoices received and liaise with Finance to arrange payment and follow up and give feedback to relevant parties. 

    Skills and Knowledge:

    • Grade 12 Matric Equivalent
    • Secretarial Diploma Certificate

    Relevant experience:

    • Minimum 5 years proven experience in a Senior and Corporate PA role
    • Take minutes at meetings, either shorthand or typing
    • Must have worked on Ms Office: Outlook, PowerPoint, Word, Excel
    • Portray a professional image
    • Knowledge of all facets of local and international travel arrangements
    • Good understanding of customer service

    Product Manager : OTC

    Job Purpose

    • The product managers are the clients’ representatives for the respective Therapeutic Category within Cipla. They shoulder the responsibility of launching new medications in the market based on the requirements of the client.
    • With the aid of market research findings, the product managers plan launching existing products in a new market or launch a new product through new target market identification within the Therapeutic Categories. These individuals identify and utilise client demographics and requirements to market the products of the organization to those clients who will be the most likely target audience for the products.
    • The Product Manager contributes and implements marketing strategy for the assigned products to achieve the sales, profit and growth performance objectives in the annual budget

    Receptionist

    Job Purpose 

    • To deliver friendly, efficient customer service by creating a warm and welcoming atmosphere to all Cipla guests, with the key aim of retaining and attracting new customers, and to undertake a range of other administrative tasks to support business effectively.

    Key Accountabilities 

    • Attending to visitors 
    • Welcome guests and clients as they arrive, providing a positive first impression of the organization
    • Receive visitors in a welcoming manner
    • Deal with special requests from Guests
    • Check visitors in and direct or escort them to specific destinations where possible
    • Inform other employees of visitors’ arrivals or cancellations
    • Assist external visitors with boardroom connectivity & escalate problems to helpdesk
    • Ensure all visitors use the At The Gate (ATG) system and guide them accordingly
    • Switchboard
    • Answering corporate switchboard | Answer, screen, and forward incoming calls, taking messages when necessary
    • Support regional offices with diverted incoming calls
    • Ensure all calls are answered promptly and professionally
    • Ensure messages are taken correctly and conveyed timeously to the relevant people
    • Ensure access to all emergency numbers incl. lift operations

    Organizational Support

    • Seamless interaction with Security functions and visitors check-in procedures

    Seamless interaction with Facility Team to:

    • Ensure boardroom readiness between meeting
    • Facilitate drinks orders
    • Escalate problems timeously
    • Ensure visibility & workings of all meeting room bookings
    • Manage meeting rooms & usage thereof
    • Setting of boardrooms in accordance with specific requirements, e.g. flipcharts, pens and note pads. required.
    • Basement parking – maintenance & upload of new employees / remove staff that left our employment
    • Understand the operations of reception doors
    • Ensure full understanding of key register
    • Upholding office health and safety standards, ensuring that every aspect of the workplace is secure and compliant

    Clerical/Office support

    • Support Facilities Team with administrative duties when needed
    • Direct Facilities e-mail portal to relevant stakeholder
    • Keep updated record of all employees to facilitate enquiries timeously to improve overall customer experience
    • Receive and direct designated service provider for monthly servicing of plants & reporting of any issues
    • Coordinate facility issues directly with building manager
    • Maintenance of certificates in Reception | close liaison with QA to ensure compliance
    • Receive and direct designated Pest Control service provider
    • Receive and direct Servest for the servicing of bathroom utilities

    Mailroom, stationary & courier

    • Collect internal mail and distributing it accordingly whether internally or to other Regions via courier.
    • Assisting staff with any other queries ie tracking parcels which have been sent via courier
    • Daily updates to internal customers
    • Recon of courier accounts
    • Stay up to date with postal/courier regulations and requirements

    Stationary:

    • Ordering and processing payment
    • Recon of supplies
    • Distribution of stationary
    • Ensure printing stations are neat and sufficient paper (of all relevant sizes) available
    • Responsible for lamination and binding requests
    • Ordering office supplies and processing payments
    • Oversee personal online staff orders
    • Purchase Orders (PO’s)
    • PO - Raising PO's for various vendors within 24 hours
    • Loading Invoices on Cimmra within 24 hours and timeous resolution of invoice queries
