    Customer Support Specialist

    Job description

    Tasks

    As a Customer Support Specialist, you will be responsible to provide internal and external customer support (e.g. technical, order assistance, payment-related assistance) and coordinate with relevant resources to have complete case ownership and to increase customer satisfaction. Your tasks as a Customer Support Specialist will include the following:

    • Customer assistance: Capturing of customer orders and invoicing. Ensures the resolution of customer issues regarding their order (e.g. order, technical, payment) by coordinating with Sales, Operations, Supply Chain Management, and other internal and/or external teams.
    • Customer requests: Coordinate appropriate solution for customer requests, by interaction with related teams to ensure the complete handling of the request (e.g. production capability and scheduling, resourcing, quotes, price lists, invoice) is in place.
    • Customer relations: Ensures that customers receives order acknowledgement and invoice timeously. Proactively informs customers about issue status of their orders based on inputs, and clarifies any questions. Ensures a positive customer experience throughout the entire process.
    • Data analysis: Assist in preparation of regular statistics (e.g. forecast) by attending contract review meetings. Maintenance of all customer order changes as required. Capturing of timesheets relating to work done.
    • Targets: Provide support to Project Manager by participating in the job scheduling process. Planning of required resources on various jobs. Tracks regular overdue collection target and provides results to management.

    Requirements

    • Ideally you must have a Matric qualification coupled with 2 years’ practical experience in Sales order processing and you will be proficient in using SAP.
    • Your ability to meet scheduled deadlines, self-discipline and accurate approach to order processing will make you an ideal fit for this role.

    Contract Administrator

    Job description

    Tasks

    As a Contract Administrator you will be responsible to gather and compile data essential to the administration of contracts, assist with implementation of contract administration procedures and coordinate or monitor the completion of administrative tasks. Monitor areas of contract performance as assigned, conduct enquiries into specific contract problems and provide assistance in claims research. Your tasks as a Contract Administrator will include the following:

    • Tender preparation: Assists proposal and sales engineers or the project team in the preparing of tender documents
    • Project execution: Assists the Project Manager in identifying specific contract actions and notifications to meet contractual requirements during the execution of the project.
    • Contract and claims, risk management: Conducts enquiries into specific contracts problems, as assigned.
    • Commercial execution: Creates requisitions and orders and follows up on deliveries and approvals. Assists in the preparation of periodic status reports. Heavily involved in the PV plants administrations and ordering of equipment for these plants.
    • Documentation: Maintains records/databases/filing systems/archives, in electronic and/or hard copy format.
    • General Administration: Organizes materials for the preparation of meetings, workshops, presentations and training sessions. Prepares minutes and manages calendar. Will assist with administration of site staff and site arrangements. May be required to do other general administrative tasks.

    Requirements

    • Ideally you must have a Matric qualification OR Standard 10 certificate coupled with at least 5 years’ experience in Office Administration.
    • You must be proficient with Knowledge of SAP, CRM and using MS Office. Candidates with Course/qualification in administration along with
    • experience in Tenders/Proposals and basic Project Management knowledge will make you an ideal fit for the role.
