    Professional Assistant - Johannesburg

     

    Job Purpose

    • To support the Shared Services Head of Payments Association of South Africa (PASA) in providing a highly professional, competent and proactive professional administration service, in particular, to PASA Shared Services (IT, Finance, HR and Office management activities). To act as the liaison for the Shared Services Head as and when required.
    • The incumbent will assist in establishing and maintaining the highest levels of professionalism in Shared Services. The incumbent will ensure the execution of all Shared Services Head secretarial tasks and duties, and general administration of Shared Services to enable the Shared Services Head to optimise time management and execute their role efficiently.

    Job responsibilities:

    • Providing a full range of corporate secretarial support.
    • Coordinating and arranging all Shared Services Head meeting and stakeholder dates.
    • Assisting the Shared Services Head in the preparation and professionalising of all Council packs, reports and relevant submissions.
    • Proof reading documents.
    • Responsibility for dealing with Executive Committee (ExCo) queries and requests from other PASA stakeholders. 
    • Collation and circulation of meeting documentation in a timely manner ahead of and after meetings.
    • Ensuring a proper filing system is maintained.
    • Proactively following up on action items arising from various PASA Council committees, ExCo as well as any other internal or external meetings. Assisting with the relevant agendas.
    • Developing, building, and maintaining strong relationships with the business to further enhance business acumen and best practice.
    • Planning and coordinating travel, accommodation, and meetings (venues, parking, catering, equipment, and other meeting requirements).
    • Ensuring the co-ordination and follow-up of various activities, including diary management and initiating action.
    • Keeping track of business expenses and submitting claims in a timely manner.
    • Conducting ad hoc research.
    • Liaison at all levels internally and externally

    Qualifications

    • Senior Certificate (NQF4).
    • A relevant tertiary qualification would be advantageous.

    Experience

    • 3-4 years of experience in a similar role.

    Knowledge

    • Advanced skills in Microsoft PowerPoint and Microsoft Word.
    • Strong proficiency in MS Office applications and Microsoft Excel.
