    Senior Secretary

    Duties    

    • Acting as primary contact person for the Division, including dealing with telephonic, electronic, and walk-in enquiries;
    • Providing administrative support for the Division, ranging from managing the HOD's calendar, handling correspondence, scheduling meetings, taking minutes, distributing information, access to buildings, managing registers, maintaining staff and student information and documentation;
    • Process bursaries, advances and refunds;
    • Tracking, capturing, uploading and reporting on research publications submitted and issued;
    • Maintaining / updating divisional information on the internal website;
    • Recordkeeping, photocopying and archiving;
    • Making travel arrangements, including accommodation, flight reservations, subsistence allowances;
    • Maintaining stationery and office supplies;
    • Providing procurement support when required.

    Job Requirements

    • National Senior Certificate (or equivalent), plus an administrative or secretarial certificate/diploma;
    • At least three years' relevant administrative experience;
    • Excellent written and verbal communication skills;
    • Advanced computer skills (Ms Word, Excel, PowerPoint, Outlook, Internet);
    • A strong customer service ethic and good interpersonal skills;
    • The ability to prioritise effectively and work under pressure;
    • The ability to work independently and as a team player.

    Recommendation

    • A three-year diploma or degree in Administration, or a related qualification will be advantageous;
    • Previous work experience at a higher education institution;
    • Knowledge and experience of Stellenbosch University's administrative and financial systems.

    Artistic Manager

    Duties 

    • Taking responsibility for all concert and performance-related matters, including planning, programming, booking of artists, negotiating fees and drawing up contracts;
    • Planning and managing budgets and payment of artists and other related costs;
    • Booking accommodation and administrating travel arrangements for artists;
    • Compiling concert reports for general staff meetings;
    • Marketing of all concerts via websites, social media, including contact with the press and other media;
    • Contacting and communicating with season-ticket subscribers;
    • Collating information and sending out a monthly newsletter;
    • Communicating with Webtickets, including uploading concerts and managing payments;
    • Designing all publicity material (brochures, posters, flyers, digital screens, social media advertisements);
    • Designing all concert programmes, including compiling all content;
    • Compiling fundraising budgets;
    • Screening concert proposals;
    • Liaising with the Stellenbosch University Legal Division for all contracts;
    • Managing the departmental website;
    • Managing departmental publicity through social media platforms;
    • Promoting departmental competitions, master classes, colloquia and symposia

    Job Requirements    

    • Relevant tertiary qualification;
    • At least three years' administrative work experience;
    • Relevant knowledge of music, artists and repertoire;
    • Strong business acumen and negotiation skills;
    • Managerial level understanding of accounting and financial issues;
    • Excellent computer skills in the Microsoft Office package and desktop publishing;
    • Excellent professional verbal and written communication skills, including formal presentation skills;
    • Strong interpersonal skills with the ability to tactfully deal with people at all levels;

    Proven organisational skills;

    Radiographer

            
    Duties

    • To function as a senior nuclear medicine radiographer in the NII PET-CT Unit. This includes but is not limited to:
    • Imaging of patients, including acquisition, processing, quality control, recording and back-up of acquired patient data;
    • Basic operation and administration of NII IT systems, including the picture archiving and communication system (PACS), Radiology Information System (RIS), and booking calendar;
    • Performing in-vitro (non-imaging) nuclear medicine procedures and tests on biological specimens;
    • Scheduling and managing workflows around patient scanning;
    • Advising and assisting in the optimisation of patient preparation. Explaining test procedures and safety precautions to patients, escorts, and researchers;
    • Patient care, including interviewing; weight and height measurement; blood pressure measurement; blood glucose determination; general monitoring; intravenous catherisation; performing 
    • urinary pregnancy tests; and blood sampling;
    • Managing consumables, including ordering, stock control and dispensing of radiopharmaceuticals;
    • Calculating, measuring, and recording radiopharmaceutical doses received, used, and disposed;
    • Administration (including intravenous administration) of radiopharmaceuticals, intravenous contrast media, and adjunct medications under supervision of the NII nuclear medicine specialist;
    • Under supervision of the NII radiopharmacist, performing and assisting with radiopharmaceutical syntheses and other radiopharmacy duties;
    • Working with, and supervising other NII radiography staff. Effective teamwork with all staff in the NII;
    • Performing administrative tasks, including developing and managing the Unit's protocols and standard operating procedures; assisting reception staff with respect to bookings and booking 
    • records; keeping detailed records of patient, imaging, and financial data; and assisting in the auditing thereof;
    • Practice and managing strict infection control and radioprotection measures, as required;
    • Assisting with the  care of equipment, including management of a quality assurance programme; performing necessary QC checks and calibrations; organising a maintenance schedule; 
    • reporting faults; and liaising with service staff and/or the medical physicist;
    • Assisting with general day-to-day operations of the NII. Effective interaction with other members of the NII team; NII clients; research participants; and clinical patients;
    • Facilitating research at the NII, including assisting researchers in the development and implementation of PET-CT acquisition protocols; advising on optimal scan preparation of research 
    • participants; and implementing activities required by research protocols;
    • Supervision and training of staff and students at the NII;
    • Interacting with staff of the adjoining Western Cape Academic PET-CT Centre as necessary;
    • Contributing towards clinical service provision by the Tygerberg Hospital Division of Nuclear Medicine;
    • Forming part of the NII PET-CT Unit management team;
    • Reporting to the NII Director.

    Job Requirements

    • Registration as a nuclear medicine radiographer (independent practice) with the Health Professions Council of South Africa;
    • Appropriate professional qualification(s);
    • At least five years' experience managing a PET-CT centre and working in a PET-CT environment;
    • The ability and willingness to adapt to the evolving needs of the position;
    • Meet the physical demands of the position: the ability to stand and walk; bend and stretch; assist patients to and from chairs and trolleys; and handle heavy equipment and accessories;
    • Accurate colour vision and good hearing;
    • Professional conduct, excellent communication skills, interpersonal skills;
    • Computer literacy;
    • Fluency in English.

    Recommendation

    • Skills or experience peripheral to radiography but applicable to the operations of a clinical and research PET-CT facility may be advantageous;
    • Fluency in isiXhosa or Afrikaans;
    • PET radiopharmacy experience.
