The Faircape Group has an exciting opportunity for a Senior Credit Controller (Debtors & Invoicing) to be involved with the accounting of our various portfolio within the group. The incumbent will report directly to the HOD: Debtors & Invoicing.
Responsible for reconciliation of debtor accounts, resolution of any queries or issues with debtor statements, production of accurate and timely debtor statements, reports and reconciliations, invoicing and billing for recurring & once-off invoices for various entities within the group. Rent roll reconciliations, show changes from month to month, and debit order reconciliations show changes from month to month
Duties include but are not limited to the following:
Debtors
- Telephonic Collections/ Email reminder letter
- Reconciliation of debtors accounts
- Complaints and queries
- Levy clearance consents
- Invoices, credit notes & refunds
- Liaising with Attorneys
- Outstanding debt
- Bad debt handover
- Follow up and daily maintenance of age analysis
- Statements
Invoicing
- Once off invoices for various entities as per procedure
- Customer receipts, deposits and payments
- Allocation of customer receipts, deposits and payments to correct
- Capturing of any new recurring monthly invoices as per requests for new agreements
- Opening of new Customer Accounts as per Procedure
- Invoice/Billing reconciliation showing changes and comparing the Google sheet to the actual invoices on We Connect U
- Filing
- Perform ad hoc assignments as directed
Debit Order
- Monthly upload of all debit order clients to the Bank
- Monthly Debit Order reconciliation for various entities comparing prior month to current
- Updating debit order banking details for new client's on We connect U and bank
- Ensuring the reconciliation with variance notes are submitted in the agreed timeframes
- Ensuring the Bank upload, and reconciliation ties back to each other as per procedure
- Ensure all unpaid debit orders are contacted as per procedure and check bank error report for unpaid reasons to advise clients
Cashbook
- Capturing of all receipts and debit orders
- Capturing declined debit orders and resubmission of Debit orders
- Allocation of receipts
- Capturing of deposits/receipts
- Daily capturing of receipts
- All queries are concluded on a daily basis
- All emails are attended to
Qualifications:
- Minimum NQF6 - National Diploma in Accounting essential
Experience and Knowledge:
- 3 years experience in debtors and invoicing
- Accounts payable and accounts receivable processes and bank reconciliations
- Solid knowledge of the debtors function, bank reconciliations and payment function
- Sound accounting knowledge
- Strong spreadsheet skills (Online Google Excel Sheets)

Job Description
To administer all Faircape Group (Residential & Commercial) insurance claims. This will include the insurance policies taken out for Body Corporates and act as liaison between Faircape Group and the insurance broker
Duties will include, but are not limited to:
- Verifying that all claim information is appropriate for a claim
- Liaise with Portfolio managers or clients to notify to submit claims
- Manage claims from receipt and submission until settlement
- Liaison between suppliers, accounts and insurers to collate all documentation and settle claims as speedily as possible
- Log claims with insurers, on database and monitor their status
- Managing and maintaining records of all claim information for all to have access to, for updates
- Coordinate with all claimants to resolve all customer and insurance issuers
- Arrange for claim settlement and excesses to be finalised with the appropriate departments
- Follow up with brokers for updates on claims
- Consolidated summary of annual insurance - ensuring that the schedule balances
- Analysis of each building to determine insurance rating
- Ensure valuations are done and tie back to insurance cover
- Compiling of monthly reports, i.r claims, renewals and valuations
Requirements
Qualification:
- Matric
- Obtain an FSB recognized qualification will be highly advantageous
- FAIS Regulatory examination for Representatives (RE5) is highly advantageous

- In the case of a death, phone the undertaker
- Liaise with the family regarding the resident’s belongings and any other arrangements, including a memorial at the HCC (if applicable)
Stock management
- Manage the overnight stock cupboard, ensure all used stock is charged to the resident account
- Overnight cupboard - assist the HCA to count stock daily on the stock sheet
- Daily check of the emergency trolley, ensure it is securely locked and only to be used during a life-threatening situation
Catering
- Check trays and diet list and approve
- Ensure that the Food Ambassador performs duties according to the job description
- Confirm meal sheets, cancellations and new admissions are correctly added
- Handle all food-related complaints and refer to the Food Services Manager
- Control cancellations
Requirements
- Qualifications - SANC registered as a Registered Nurse. Up to date BLS.
- Experience and Knowledge - Dementia care, frail care, relevant experience of taking charge of a shift, sub-acute, palliative care, rehab, strokes, orthopedic, care for patients with IV therapy.
- Skills - Strong interpersonal skills, professional communication, ability to work under pressure, managerial skills, making sound decisions, proactive, organisational skills, computer literate, professional, focused, fluent in English.
- Attributes - Well-spoken, neat, compassionate, well presented, be able to converse with people on different levels - staff, families, MDT and other professionals coming into the facility. Assists the Nursing Manager in meeting regulations as well as company policies and procedures.
- Working Hours - Normal working days are Monday to Sunday. You will be required to work 16.25 shifts per month. Night shifts are from 19h00 to 07h00.

The Senior Nursing Services Manager implements and oversees all clinical and nursing processes and care of the healthcare facility with the assistance of RN Shift Leaders who manage the shifts. Further to that, the Senior Nursing Services Manager liaises with the Multidisciplinary Team, medical professionals and families of residents. The Senior Nursing Services Manager also plays a pivotal role in the marketing of the facility to ensure full occupancy at all times.

Specific duties include but is not limited to the following:
Staffing and Staff Management
- Report to Senior Management daily via electronic platform
- Manage Shift Leaders directly and all other staff indirectly
- Ensure full staffing on each shift with specific emphasis on the proper deployment of all staff members.
- Oversee and monitor agency and privately employed care and nursing staff – ensure all procedure are followed take action when needed
- Liaise with HR regarding disciplinary matters and issue warnings when needed
- Have regular (weekly) staff meetings to discuss issues at hand and allow for feedback from all.
Training
- Attend relevant management and clinical education programmes
- Address ongoing clinical skills and training needs within the facility with staff and inform Training Manager
- Encourage staff development and ongoing education
- Identify training needs and oversee the implementation of training programmes to new and existing staff as per specific training plan
- Ensure all training competencies have been completed and ensure all newly appointed staff completes the competency tests
Admissions and Discharges
- Oversee the entire admission and discharge process which is managed by the Shift leader and allocation of beds according to availability, diagnosis
- Interview prospective residents and their families, obtain all relevant medical reports as per company procedure and provide counselling where required
- Oversee that all documentation for admission, progress and discharges in sub acute facility (applicable only in facilities where a sub acute license is in place)
- Sign off of resident evaluation form/review and escalate any concerns immediately to the Senior Manager Management
Resident and Family Interaction
- Have full knowledge and communicate types and levels of services offered within the facility (i.e. long term and/or subacute) to interested persons enquiring about the facility
- Interface with families regularly and where support, assistance or decision making input is required
- Resolve complaints
- Develop a professional clinical and caring relationship with all residents receiving care
- Provide effective education, advice and counselling to the resident about the matters relating to the facility, maintenance and/or staff
- Be able to discuss with residents their individual care plan and aspects of their health, condition and prognosis where possible.

Village Residents and Services Offered
- Communicate regularly with the Village Manager and discuss any issues that may overlap with healthcare
- Manage the 6 monthly and annual visits to all village residents by the Healthcare Coordinator.
- Attend monthly MDT meetings to discuss vulnerable residents and implement action plans
Handover:
- Attend and supervise the nursing handover procedure daily as per the policy
- Be aware of all resident information exchanged during handover
- Use handover to communicate important notices to staff
Nursing and Care:
- Strive to achieve optimal level of care for all residents, and ensure staff adhere to scope of practice and best practice regulations
- Implement ethical guidelines and provisions of relevant legislation in caregiving in the facility
- Liaise with Management and Faircape Doctors regarding any health/medical problems concerning residents if their assigned medical practitioner is not suitable.
- Inform the Management of any situations concerning resident’s care that requires intervention or follow up
- Review care plans with Shift Leader when necessary
- Manage emergency care response procedure
- Refer any residents requiring additional care to the appropriate hospital or other facility or medical practitioner involved.
- Liaise with on site OT, Dietician and social worker in terms of resident care where necessary
- Monitor nursing/care documentation to maintain high standard of documentation to avoid risk resulting from poor documentation
Risk Management and Emergencies
- Supervise implementation of infection control procedures during any outbreak or suspected infection occurring
- Record and action any health related incidents that occur in the healthcare and village and report to Claremont office as per company procedure
- Attend monthly H&S meetings and take action as needed
- Do H&S checks on auditor according to procedure
- Plan and supervise fire drills and evacuation plans
- Be contactable by means of company cell phone and respond to emergencies
- Inform Legal Department at Claremont office of any possible conflicts and follow up
- Implement plans, prepare the facility and be present at all inspections (DOH and DSD)
Administration and Reporting
- Prepare reports and submissions in line with responsibilities such as the weekly report to Management
- Read and investigate all incidents and submit to the MDT as finalized
- Monitor and approve all requisitions via the Healthcare Administrator to Claremont office
- Communicate and report to support team and Claremont HOD’s on relevant matters
- Oversee and manage care plans and nursing records on the system
- Monitor the charting on via spot checks and discuss with Shift Leaders

The Groundsman Supervisor is responsible for overseeing the Groundsmen at the village. Duties include job scheduling, task allocation, quality assurance and customer service.
Also responsible for ensuring the maintenance of the gardens and grounds of the village and ensuring an acceptable appearance of trees, shrubs, flowers, beds and lawns, and to keep the grounds free from refuse, weeds, harmful insects and plant diseases. Maintaining equipment and materials, and for ensuring adequate stock levels of consumables.
Duties will include but are not limited to the following:
Supervisory:
- Scheduling of work tasks
- Attend monthly meetings to advise and take note of any areas of concern
