    Systems Administrator – IT (Sandton)

    Ivanhoe Mines SA (Pty) Ltd is looking for someone who will be responsible for the commissioning, maintenance and security of information systems to support the server and cloud infrastructure for the group and drive the architectural design of the systems accountable and responsible for. Ensure that ICT solutions are in line with business requirements for optimal ROI. Furthermore, the incumbent will also be responsible for ensuring legal compliance with all applicable ICT related laws including but not limited to the ECT Act, Rica Act, POPI Act, GDPR (EU version) and UK-GDPR.

    You will have the following:

    • A 3 Year National Diploma Information Technology discipline beneficial or equivalent;
    • Valid Microsoft Engineer Certificate in server administration or equivalent (MCSE, MCITP, MCSA);
    • Microsoft Azure Foundation Certification;
    • Valid A+ & N+ certificate or equivalent;
    • Valid Driver’s License;
    • 10+ years relevant experience in management of the Storage and Server (Physical / Virtual) Infrastructure including (but not limited to) Windows Environment;
    • 3+ years hands on experience with troubleshooting and providing support required in Virtual or Cloud platform (Azure) including backup and recovery of all systems;
    • Proven experience in overseeing the design, development, and implementation of server infrastructure;
    • Proven experience with systems planning, security principles, and general software management best practices;
    • Writing automation scripts with languages such as PowerShell and Bash/Shell;
    • Knowledge of applicable data privacy practices and laws;
    • Good project management skills;
    • Programming knowledge advantageous.

    Stock Analyst Co-Ordinator - Johannesburg

    Purpose of the role:

    Oversee the complete inventory of bags and Stock flows, ensuring accurate and on time stock levels to ensure cargo arrives at destination on time.

    Duties and Responsibilities:

    Data Analysis and Reporting  

    • Consolidated, on time reporting of all Stock movements, from Loading at the Mine, till shipped on Board and the position thereof.
    • Identify any stock inconsistencies by matching the Warehouse data with our own data.
    • Analysis of transit time from dispatch to arrival warehouse to be done on all routes.
    • Daily checks on the Active Bag Reports for any inconsistencies.
    • Reporting of Warehouse Storage costs and ensure Costs are available for immediate retrieval.
    • Provide a monthly Balancing report, indicating the location of every bag from loaded till Shipped on Board. Ensuring stock analysis matches 100% on Number of Bags.
    • Provide daily, monthly, and annual reports, as required, on inventory levels, transit days, stock movements (both on the road and in warehouses), and billings.
    • Manage both the company’s WMS and physical data to ensure that Stock reports are aligned and to match 100%.

    Management of Stock Control 

    • Oversee the Control all Stock arrivals and dispatches at both Zambia and Port Warehouses.
    • Predict stock forecasts for the benefit of Vessel planning.
    • Ensure the Inhouse Software system is aligned daily with actual stock position.
    • Ensure all bags are retired on the system timeously.
    • Oversee the release of stock from the Warehouse till shipped on board.
    • Ensure all stock is moved on a FIFO basis at all warehouses and storage costs at Port Warehouses is minimised.
    • Manage the cargo movements from Zambia Warehouse, and ensure cargo moves within a timely period.
    • Ensure the timely and accurate recording of data by the team to facilitate on-time stock management.
    • Ensure that all Exceptions on the Inhouse Software has been attended to and resolved daily and the Active bags are accurate, and bags are not counted in more than one location.

    Invoicing Management 

    • Predict stock arrival forecast for monthly Billing to Offtakers.
    • Reporting and Managing Invoiced and non-Invoiced Stock.
    • Analyse and control of the inventory with billing for seamless and accurate data flow.
    • Collaborate with the billing department to ensure accurate and timely invoicing based on available stock.

    Tracking of Loads

    • Ensure all Tracking on the Software System is closed off once confirmed receipted into warehouse.
    • Manage the progress of all vehicle movements.

    Data Quality and Service provider Physical stock Management 

    • Analyse all data on Inhouse Software system for accuracy.
    • Ensure warehouses record all stock received against correct Buyer.

    Arranging and Reporting of Stock Takes 

    • Arrange Inventory counting plan as and when required with detailed reporting thereof.

    Effective Communication and Collaboration 

    • Build and maintain relationships with all Stakeholders.
    • Provide guidance to all Logistics Service providers on any failings and ensure they understand the importance of timeous data accuracy.
    • Assist and lead a team of controllers.
    • Identify and resolve cargo on route that might have potential delays.
    • Cultivate strong relationships with Offtakers through regular communication and understanding their needs, as well as their forthcoming shipment planning.

    Experience required: 

    • Minimum Qualification -Advanced Higher Certificate is preferred 
    • Excellent computer skills including proficiency in Microsoft Excel
    • 5 -10 years of experience in logistics, warehouse management, or inventory control.
    • Experience in Commodity Stock Control is an advantage.

    Zambia Transit Controller - JHB

    Purpose of the role:

    Oversee the on time receiving and dispatch of bags and Stock flows in all Zambia Intransit Warehouses, and ultimately creating an accurate stock inventory.

    Duties and Responsibilities:

    Stock Control 

    • Manage the Control all Stock arrivals and dispatches at all Zambia Transit Warehouses.
    • Ensure all details are updated on the Software System accurately and on time.
    • Follow up on the Tracking report that identifies trucks offloaded and ensure Good Received advise has been received for updating on the system.
    • Ensure all stock is moved on a FIFO basis.

    Loading Order of Transshipment vehicle

    • Create Loading order for cargo departing from a Zambia Transit Warehouse.

    Data Analysis and Reporting

    • On time reporting of all Stock Levels, including Stock in Receiving and dispatch Holding areas.

    Effective Communication and Collaboration 

    • Build and maintain relationships with all LSP’s.
    • Provide guidance to all Logistics Service providers on any failings and ensure they understand the importance of timeous data accuracy.

    Sea Freight And Port Co-Ordinator - JHB

    Purpose of the role:

    Overseeing and managing the efficient handling of sea freight shipments and port operations. This involves coordinating with shipping lines, port authorities, and internal teams to ensure timely and cost-effective movement of goods.

    Duties and Responsibilities:

    Sea freight Coordination 

    • Co-Ordinate forthcoming sailings and booking of vessels, Vessel Laycan Dates, and berthing opportunities.
    • Drafting of Ocean Bill of lading in relation to the Buyers requirements (if required).
    • Maintain and update the Ivanhoe Marketing Sailing Schedules of all Buyers.
    • Liaise with Stock Team on Inventory levels for vessel planning.
    • Ensure the final Port of Discharge complies with the DRC Export Licence.
    • Acquitting of Sea freight Shipments (B/L to Mine) and retiring of Bags on the inhouse Software system.
    • Ensure the available stock meets the requirements of vessel booking dates and tonnages.

    Coordination of port Operations 

    • Oversee Port Activities, minimizing any potential service failures and costs thereof.
    • Collaborate with Service Providers and Buyers to address any operational challenges.
    • Monitor vessel schedules and communicate any changes to relevant stakeholders.
    • Manage the stock movements to Port and stock transfers to staging and loading areas for vessel loading.
    • Ensure the proper stowage and handling of goods to prevent damage or loss.
    • Maintain comprehensive records of inventory and transfers of cargo.
    • Monitor and record the times (Rain, possible demurrage, etc.) for on time reporting.
    • Ensure Mates Receipt is issued timeously.

    Sampling Analysis of Cargo  

    • Oversee the complete sampling process.
    • Act as a liaison between sampling teams, and other relevant stakeholders and assist to resolve any issues related to the sampling and analysis process.
    • Cross-check AHK Analysis with Mine to ensure consistency.

    Rate Negotiations  

    • Liaise with Charterers, shipping lines and carriers to secure competitive rates and secure capacity.
    • Develop and implement negotiation strategies to optimize terms, pricing, and contractual terms.
    • Keep abreast of industry trends, market conditions, and competitor activities to inform negotiation strategies.

    Communication 

    • Build and maintain strong relationships with Charterers, shipping lines and carriers to enhance collaboration and facilitate successful negotiations.
    • Foster good working relationships with warehouses, Buyers, and internal Stock teams.
    • Assist and support colleagues, fostering a collaborative and cooperative team culture.

    Experience required: 

    • Minimum Qualification - Advanced higher certificate is preferred

    • 4-7 years of experience in Bulk and Break-Bulk Sea freight Exports.

    Inland Logistics Co-Ordinator - JHB

    Purpose of the role:

    Coordinating and overseeing the execution of logistics operations, ensuring the smooth flow of cargo throughout the chain and collaborate with all stakeholders to achieve efficient and effective logistics execution.

    Duties and Responsibilities:

    • Manage the complete Inland movements from Loading till African port Warehouse, ensuring there is no disruption on the movement of cargo.
    • Handling and resolution of all Incidents promptly and effectively.
    • Follow up of Insurance claims till resolution and create schedule thereof.
    • Managing the LSP’s rebagging requests.
    • Resolve any identified abnormal offloading’s.

    Transport Co-ordination

    • Collaboration with Outbound Logistics at site to ensure alignment to the forecast execution of the trucking requirements 
    • Oversee the arrival and departures of the trucks on site 

    Buyer and Logistics Service Provider Relationship Management 

    • Maintain strong relationship with Logistics Service Providers 
    • Address any underperforming LSP in relation to their allocation, quality of service delivery to ensure successful overall business results 
    • Ensure all LSP Management are notified in writing of any issues that affect loading and or dispatch speed and ensure a register is kept of these notification 

    Required Qualifications 

    • Minimum Qualification - Advanced higher certificate in Logistics is preferred 
    • Excellent computer skills including proficiency in Microsoft Excel
    • Proficient in data analysis, with an analytical mindset.
    • 5-8 years of experience in logistics.
    • Excellent leadership skills.

    Logistics Cost Controller

    Purpose of the role:

    Streamlining of shipment documentation and approval of LPS invoices, aligning with weighs, routings and stock receiving’s. Additionally, be responsible for follow up, analysing, and reporting of various other logistics costs for ease of cost control.

    Duties and Responsibilities:

    Supplier Invoice Approvals 

    • Liaise and Build relations with LPS’s / Service Providers Finance Departments
    • Review and approve all Invoices, ensuring that the invoice is accurate and meets the requirements, tonnages and in line with the rates agreed.
    • Resolve any queries with LSP’s / Service Providers
    • Reconcile Vendor Statements to ensure alignment.
    • Follow up on all invoices till paid.

    Indirect Data Cost Analysis 

    • Work closely with logistics vendors and Operations Team to gather accurate cost information.
    • Monitor and record all costs associated with logistics operations, including but not limited to transportation, warehousing, FOB’s and Ocean Freight.
    • Maintain a centralized database of logistics cost information.
    • Implement data collection processes for the ease of reporting and understanding of all stakeholders.

    Reporting 

    • Provide regular reports on key logistics performance metrics, including cost per ton, per Buyer and Services incurred.

    Collaboration with Finance 

    • Ensure seamless data sharing between logistics and finance systems.
    • Ensure data is updated timeously for ease of retrieval.
    • Follow up on the payment of invoices and any potential delays or queries.

    Reporting and Administration

    • Provide accurate Ageing reports, as and when required, with final report being done on each month end that must balance 100% with the LSP’s Statement of Account.
    • Provide assistance to Operations administration and reports as and when required.

    Experience required:

    • Minimum Qualification - Diploma 
    • Minimum of 3 to 5 in Financial and Management Accounting
    • Previous Experience in Transporter Invoices would be an advantage.
    • Excellent computer skills including proficiency in Microsoft Excel

    Loading Co-Ordinator - JHB

    Purpose of the role:

    Reviewing and coordinating of Pre-Alerts Received / uploaded and liaise with either Site or relevant LSP on any potential issues. 

    Duties and Responsibilities:

    Management of the Loading at Site 

    • Manage the pre-advice of all trucks being captured onto the Software System.
    • Liaise with LSP’s daily on all potential loadings / truck placements.
    • Ensure LSP volumes are monitored against their committed tonnages and follow up on any potential failings of LSP’s.
    • Monitor the arrivals per LSP, ensuring that the LSP split there allocation equally throughout the month.
    • Monitor all Comments inserted under the “Diary of Events”.
    • Follow up on Trucks delayed arriving at site against the Data loaded on the Software System.

    Data Quality 

    • Analyzing data quality entered onto Software System and ensure any potential errors are corrected.
    • Assist in the reporting of Documentation errors to the Mine for correction and keep data base thereof.
    • Ensure Routing data supplied aligns with the overall objective of the Buyers.

    Management of Export licenses

    • Ensure the Export Licenses are aligned with the cargo movements of the LSP’s allocations.
    • Keep record of the tonnages moved, and Final Country of Destinations in order to align with the Export Licenses and Export Documentation

    Reporting 

    • Report on the Tonnages per route, per Buyer, per LSP.
    • Provide daily / weekly reports (as required) of the Loaded volumes per LSP, against their allocation.

    Communication 

    • Build and maintain relationships with all LSP’s and KICO Loading Team.
    • Provide guidance to all Logistics Service providers on any failings and ensure they understand the importance of timeous data accuracy.
    • Keep all Stakeholders informed in writing of any issues arising.
    • Communicate between all parties, including but not limited to, KICO, Ivanhoe Marketing and LSP’s and their Site Representatives.
    • Information or changes in processes to be relayed to LSP’s, ensuring continuous open Communication.
    • Collaborate with the Outbound logistics Department for successful planning and to ensure alignment and coordinate change if required.
    • Assist and support colleagues, fostering a collaborative and cooperative team culture.

    Required Qualifications 

    • Minimum Qualification - Advanced higher certificate is preferred 
    • A proven track record of success.
    • Overborder Road Freight knowledge is essential with knowledge of Commodity Movements being an advantage.
