    General Office Assistant

    Job Purpose

    Responsible for office and administrative support to the team. This role is vital for the smoothrunning of a department. The incumbent will field lease audits, billing audits, draft and assistingby collecting leases and assist with daily general administrative tasks.

    Duties and responsibilities

    • Complete order forms and send to contractors on Fraxion.
    • Storeroom stock control.
    • Reception duties.
    • Logging calls with the Growthpoint Management Service Desk.
    • Assist with report compilation.
    • Asset register audit.
    • Obtain quotations for operational purposes.
    • Typing take-back and take-on inspections.
    • Typing of offer to lease and lease approval sheet.
    • Tenant and Lease audits.
    • Billing audits.
    • Collecting annual audited turnover certificates and attend to calculations.
    • Collecting of turnover figures.
    • Liaise and manage meter reading agency in terms of tenants.
    • Leasing documentation and follow ups.
    • Answering the phone and taking detailed messages.
    • Report on all tenant queries taken telephonically or in person at the office and ensure

    the Building Managers and Property Managers receive these queries promptly.

    • Liaising with all “drop in” visitors.
    • Handling of keys to vacant units. (Ensuring they are clearly marked and safely stored).
    • Opening of vacant units for brokers.
    • Maintaining meeting room bookings.
    • Deal with all printing requests for staff.
    • All administration functions linked to role.

    Experience

    • 2-3 years of administrative experience in a secretarial environment or similar, preferably in a

    property environment.

    Qualifications

    • Matric - prerequisite
    • Post Matric qualification will be an advantage

    Competencies

    • Computer literacy; Word, Excel, and PowerPoint
    • Ability to draw schedules / reports on system
    • Good communication skills – written and verbal
    • Time management skills
    • Sound administrative skills
    • Good problem-solving skills
    • Excellent touch-typing skills with a high accuracy rate
