    Office Administrator

    Description
    Brief Overview of the role:

    We are seeking an organized person with knowledge and experience in office administration who will be able to assist with the day-to-day operations of the office.

    Key responsibilities:

    • Processing payments on a monthly basis
    • Process invoices into financial system
    • Update bank reconciliations on weekly and monthly basis
    • Print off monthly bank statements
    • Maintenance of all absence records
    • Supporting Department Heads and HR Manager with running ads, screening applicants and setting up of interviews, assessments, telephone calls, doing initial telephonic interviews etc
    • Liaising with building management and insurance companies as required
    • Performing administrative duties such as archiving, scanning, filing, faxing, copying as required
    • Cape Town Staff Expense Handling & Processing
    • Manage Petty cash and ensure that it balances at the end of each month
    • Responsible for central call reception
    • Provide tea/coffee for client meetings
    • Handling office courier
    • Responsible for ensuring office, reception, meeting rooms is clean and tidy
    • Monitoring and manage kitchen and office supplies and placing orders with suppliers. i.e. office stationary, water, printers, kitchen supplies, business cards, etc. Also looking for cost effective suppliers and on time delivery
    • Monitor and manage office equipment
    • Ensure parking allocations are correct and up to date at all times.
    • Liaise with vendors regarding outstanding payments, invoices and other related queries
    • Ensure birthday lists are up to date at all times
    • Update monthly credit card transaction sheet
    • Maintain office access / egress
    • Ensure payslips uploaded on HR system on monthly basis
    • Maintain HR record / information systems as required and ensure all data is up to date and relevant
    • Maintain training records as required, ensure training records signed for each training event
    • Put together onboarding packs for all new starters
    • Liaise with employee benefits brokers to submit benefits forms
    • Assist with setup for training, events and meetings
    • Coordinate external Training events – bookings, documentation
    • Order business cards as and when required
    • Responsible for all communications apparel and equipment
    • Ad –hoc tasks as required by the Company from time to time
    • Ensure all employees and travel approvals are processed on Concur
    • Reconciling and posting of prepayment and accruals journals
    • Assist with purchases and bookings for team / office events including all office committees
    • Collate information required for Employment Equity, Skills Development and BBBEE and payroll return / audit packs
    • Ensure all Supplier BBBEE certificates are up to date at all times
    • Assist with supporting documentation for yearly Financial audit

    Requirements

    • Strong communication and negotiation skills
    • Multi-task and time management skills are essential
    • Self-motivated, organized with strong attention to detail
    • Basic MS Excel, Word and Power Point
    • Experience in office administration and finance
    • HR administration experience
