    Office Coordinator - Boksburg

    Minimum Requirements

    • Matric.
    • 1 Year experience within the role as an Office Administrator.
    • Sage Evolution knowledge.

    Duties and responsibilities

    • Answer and transfer calls to the relevant departments.
    • Serve as the initial point of contact for correspondence and phone inquiries.
    • Manage and organize documents and files.
    • Welcome and assist customers.
    • Support administrative and sales teams as needed.
    • Procure office stationery and create purchase orders with Office Manager approval.
    • Process credit note requests for approval.
    • Assist in picking and recording serial numbers for dispatched goods.
    • Coordinate courier bookings for stock transfers between Cape Town and Johannesburg warehouses.
    • Generate sales orders efficiently on Sage Evolution.
    • Support Sales with various related tasks.
    • Assist Sales Coordinators, Reps, and Managers in addressing inquiries.
    • Swiftly process all received sales orders within one day.
    • Issue quotes promptly within two days of receipt.
    • Aid in tender compilation when requested.
    • Ensure accurate categorization of Sales in Sage Evolution.
    • Handle inquiries from walk-in or call-in customers.
    • Master the products/services of the company.
    • Provide weekly Sales Order Received values each Monday for the preceding week.
    • Collaborate with Operations for product scheduling and backorder management.
    • Complete Waybills for dispatched products.
    • Regularly evaluate backorders and liaise with production to meet customer expectations.
    • Share market insights on competitors, new entrants, suppliers, customers, and industry developments.
    • Participate in Marketing activities, campaigns, and activations.

    Receptionist / Administrative Assistant - Irene

    Minimum Requirements

    • Matric
    • Beneficial: Relevant Tertiary Qualification.
    • 3+ Years in a similar position.
    • Own Vehicle and Valid Driver’s Licence.
    • Technical: MS Office and Google Workspace or similar.

    Roles and Responsibilities

    Receptionist:

    • Serve as the initial point of contact, warmly welcoming visitors, suppliers, and customers, and notifying company personnel about incoming visitors.
    • Handle phone calls by answering, assisting, and directing them, as well as conveying messages to the appropriate company personnel.
    • Organise and maintain the reception area and boardroom.
    • Coordinate, book, and communicate deliveries and branch transfers.
    • Keep track of office supplies inventory and provide reports on its status.
    • Aid in scheduling meetings and making necessary arrangements.

    Administrative Assistant:

    • Organise and communicate travel and accommodation arrangements upon request.

    Minimum Requirements

    Minimum Requirements

    • Possesses a completed Accounting or a relevant tertiary qualification.
    • Registration with SAICA or SAIPA is advantageous.
    • Essential proficiency in DraftWorx, Sage, and Xero.
