    Intermediate Sports/Ski Consultant

    Description

    The role of Intermediate Sports/Ski Consultant is to design, quote and book various inbound and outbound journeys for the Sport and Leisure division for B2B and B2C markets – especially focused on Sports and Ski environment. Pro-actively assist in Product Development and ensure current product is updated, costed and relevant to client demand as well as to exceed customer expectations, meet operational deadlines and achieve set sales targets.

    Responsibilities

    • Assess client/agent needs in terms of special interests, special needs, and affordability/budget.
    • Quoting of all services requested by clients/agents within the required turnaround time via Tourplan as well as manually as specified by the business.
    • Checking rates before quoting as dynamic rates may apply.
    • Reservations of all services requested by clients/agents.

    • Opening of client files according to TDM standards.
    • Loading reservations on Tourplan and Zoho.

    Senior Tour Consultant

    Description

    To effectively manage Product reservations and scheduled tour operations aimed to exceed client and supplier expectations.

    Responsibilities

    SCOPE

    • Product consists of Drifters scheduled tours and transfers
    • Reservations for bookings received via internal and external B2B and B2C channels
    • Tour operations set out below, are applicable to seat-in-coach tours
    • Clients: All Tourvest divisions; international agents, local tour operators; online direct consumers
    • Suppliers: Accommodations; excursion operators; tour guides; transport providers

    RESERVATIONS SHARED MAILBOX

    • Ensure that emails in the allocated Inboxes are categorized, actioned and filed accurately daily
    • Adhere to response standards and turnaround times

    WEBSITE LIVE CHAT

    • Acknowledge and respond to customers browsing the Drifters website immediately
    • Understand and adhere to the Live Chat standards and online during working hours

    QUOTING

    • Understand day tour and transfers pricing
    • Adhere to the standard department quoting procedures per product
    • In-depth understanding of financial and operational considerations that affect tours (Southern Africa routes, distances, vehicles, border requirements etc)

    RESERVATIONS

    • Responsible for booking and confirming allocated tours, airport transfers, day tours, add-nights and Charter requests, received from the various sales channels
    • Action relevant booking requests within the set turnaround time
    • Monitor tour group numbers to ensure there are no double bookings across the tour portfolio
    • Ensure provisional bookings are converted by the cut off period
    • Monitor tour group forward numbers per departure to request scheduled departures to be blocked when needed

    TOUR FINANCIALS

    • Check in with the tour guide intermediately during the tour
    • Assist tour guides with any issues encountered on tour
    • Report issues to agents when the tour experience are impacted negatively

    SERVICE DELIVERY /CUSTOMER SERVICE

    • Consistently deliver on service expectations
    • Ensure effective communication with clients and suppliers at all times

    Description

    Business Development & Contracting Specialist

    Description

    • To calculate existing series, groups and packages, to the effect of meeting deadlines, client price & product expectations as well as management expectations
    • To distribute relevant information internally
    • To set up training attendance and participation of additional supplier training / meetings as per relevance
    • To negotiate & handle logistics of client trips and fam trips
    • To request reports in time for various meetings, identifying the relevant information required

      • When supplier updates regarding rates are received, information must be updated on all contracts and rate cards and agents must be informed immediately of new rates

    • Full understanding and follow-through of all divisional procedures and policies

    FINANCIAL REPORTING

    • Explanation of variances
    • Margin Management (high & low)
    • Rate increases eg series year to year increases

    Credit Control Manager

    Description

    To ensure that the accounts receivable are collected in time and the records are updated accurately.

    Responsibilities

    • Responsible for getting outstanding accounts paid
    • Get marketing invoices signed off by management and clearing it before closing off the system
    • Responsible for sending out statements and invoices monthly
    • Ensuring that all debtors queries are addressed
    • Banking and processing of payments into the debtors accounts
    • Liaising with the Manager regarding Barters on Agent accounts
    • Following up on overdue payments on agent accounts
    • Dealing with the banks and bank accounts
    • Reconciling all the deposits on the various bank accounts
    • Month end Reports for management
