    Office Manager/Executive PA

    Key Responsibilities:

    Executive Support & Administration

    • Provide comprehensive PA support to Executive Committee including calendar management and scheduling
    • Prepare board meeting agendas, minutes, and action items
    • Handle confidential correspondence and documents with discretion
    • Coordinate executive travel and visa applications
    • Prepare executive presentations and reports
    • Assist Executives with ad hoc requirements

    Team Leadership & Development

    • Supervise and mentor office services team (Office Administrator, Receptionists, Support Staff)
    • Conduct performance reviews and provide constructive feedback
    • Manage team schedules and leave coordination
    • Identify training needs and foster positive team culture

    Facilities & Operations Management

    • Oversee all building systems, infrastructure, and office space planning

    Financial Management & Strategic Planning

    Job Requirements:

    Qualifications

    • Diploma/Degree in Business Administration, Facilities Management, or related field

    Experience

    • 5+ years of experience in office/facilities management
    • 3+ years of experience in team leadership roles
    • Previous PA/EA experience supporting executives
    • Experience with budget management and vendor contract negotiations
    • Experience in project management and OHS compliance
    • Event planning experience is essential

    Live Account Executive (Cape Town)

    Responsibilities:

    Client Relationship Management

    • Build, and maintain, strong Client relationships
    • Understand client advertising objectives and requirements
    • Effectively communicate with clients, providing regular updates and addressing their needs

    Briefing and Project Management

    • Gather detailed client briefs and, together with the Head of DTP, interrogate and translate them into actionable briefs for the DTP studio, production, or FA department
    • Manage project timelines, ensuring deadlines are met and tasks are completed expediently, efficiently and excellently
    • Review creative deliverables to ensure alignment with client expectations and brand guidelines
    • Support DTP management by drafting effective and timely job briefs and amendments
    • Monitor and follow up on all outstanding briefs and debriefs from clients
    • Ensure all briefs are approved upfront; and that all necessary internal and external processes, checks and approvals are completed prior to the handover of approved artwork

    Communication and Collaboration

    • Collaborate effectively with internal teams across multiple departments, including creative, production, QA, DTP, traffic and FA to ensure optimal workflow and job actioning
    • Timeously communicate project status updates to clients and internal stakeholders
    • Foster a positive, inclusive and collaborative work environment
    • Participation and assistance within all necessary Status Meetings, general team meetings and handover meetings
    • Scheduling and arranging team meetings with all relevant parties, including the Head of DTP
    • Ensure you, as well as the team, are well prepared for all client meetings
    • Act as supporting point of contact for Clients in the absence of other team members

    Attention to Detail

    • Ensure accuracy and consistency across all output deliverables
    • Pay close attention to details, such as deadlines and client specifications
    • Proofread and edit all materials before sending to clients

    • Identify and resolve issues that may arise during campaign execution
    • Quickly escalate issues being managed, or those requiring senior intervention

    Additional Responsibilities Include

    • Updating and maintaining status reports, ensuring the status of each element of every campaign is clearly understood
    • Provide regular updates to clients and internal stakeholders on the progress of campaigns
    • Maintain records of all client interactions, including meeting notes, emails, text messages, and phone calls
    • Ensure all DTP work is accurate and delivered within specified deadlines
    • Oversee the DTP process to ensure the final product meets the client's brief and is delivered on time

    Social Media Manager

    Responsibilities

    Client Service

    •  Establish and maintain relationships with clients. Build trust through ongoing thought leadership in social media.
    •  Manage creative briefs, client feedback and delivery of content.
    •  Plan, create timelines, update status, manage deliverables and expectations.
    •  Set up, manage, conduct, and contact report on client presentations.
    •  When necessary, assist with the administration of cost estimates and billings thereof.

    Strategic Thinking

    Collaborate and contribute on Social Media proposals for:

    • Planned and ad-hoc activity.

    • Contribute to mentoring junior staff members.

    • Work closely with client & wider client service team to create, manage and maintain social content and/or communication calendars.
    • Conduct regular research to monitor clients, consumer, influencer, competitor, industry, and social landscape/trends activity.
    • Ensure each individual channel has clarity on plans, actions, responsibilities, and social posting schedule with best practice in mind.

    Content & Channel Administration

    • Assist and/or manage the production of content on social jobs.
    • Ensure collaboration with creative, paid media and other relevant departments for effective execution of work.
    • Scheduling & deactivation of content across channels.
    • Ensure effective searchability / tracking / tagging across content.
    • Manage client’s creative content bible.
    • Be an advanced user in all tech and tools relevant to your role.
    • Ad hoc community management as-and-when required.

    • Establish and manage relationships and/or partnerships with key leverage points that affect social media strategy, management and/or implementation. You’ll need to be able to collaborate and partner in any relevant exercises.

    • Work experience in Social Media and/or Agency Environment
    • Experience in the fundamentals of classical and digital marketing

    Scope of Duties

    • Management of advertising campaigns across TV, radio, print, outdoor, BTL, digital, etc.
    • This encompasses the execution and management of briefing processes:
    • Liaison with traffic and production departments, preparing timing plans, liaising with client, liaising with media planner and buyer, arranging meetings, etc.
    • Obtaining client approval of all campaign elements and budgets at all stages of the development

    Confident management and accountability for presentations and key meetings:

    • Status meetings, including compiling status reports and supplying to senior manager timeously for review prior to meeting
    • Presentations, including contact reports following the meetings
    • Competitive reviews
    • Brand reviews
    • Brand integration meetings (meetings with other client partners e.g., media, digital, etc.)
    • Sourcing of material as per meetings agreed expectations
    • Management of meetings with Client and Agency, ensuring that all parties needing to attend are notified timeously prior to meetings
    • Accountability for all logistics pertaining to client meetings (Agendas, catering, contact reports, etc.)
    • Understanding client expectations of the agency along with an understanding and respect of clients’ culture and business challenges
    • Be seen to be a problem solver by the client by actively listening and responding
    • Total familiarity of the Clients market, products and advertising policies
    • Regular updating of senior management, informing them of any new developments that may arise on client business to maintain the agency’s proactive culture

    Requirements
