    Administration Officer: Talent Management

    KEY PERFORMANCE AREAS:

    Learning Coordination

    • Coordinate learning interventions as per the prevailing the FIC training plan, including sourcing of interventions, and liaising with both training providers and delegates.
    • Administration, including sourcing quotations, following up, requesting invoices, completion of booking/registration forms.
    • Preparation of learning and development documentation (skills forms).
    • Provide information for SDF reports required by FASSET for submission as directed.
    • Compile standard monthly training reports as assigned.
    • Raise requisitions for training.
    • Perform administrative functions relating tfinance and supply chain management in alignment tfinance and supply chain management policies and procedures.
    • Maintain the training calendar and ensure implementation thereof as directed.
    • Schedule learning interventions with the respective employees.
    • End tend processing of study assistance applications, conferences, and all training requests 
    • Address standard employee queries on learning intervention applications and training requests in line with the relevant policies.
    • File and capture L&D related records on talent management database.

    Projects and Office Support

    Provide general administrative support service for talent management projects, governance meetings and learning interventions including but not limited to:

    • Venue bookings
    • Catering 
    • Facilities and IT requirements 
    • Co-ordinate invitees
    • Keep register of all events and attendance thereof
    • Prepare documents in alignment tFIC framework. 

    Office Support

    • Schedule, attend meetings, prepare meeting packs, and take minutes.
    • Consolidate, prepare and produce basic reports as required (e.g, Monthly).
    • Typing, faxing, scanning, photocopying, and binding of documents
    • Perform all administrative functions relating tfinance (claims for travel, payment requisitions, telephone, and cell phone usage) in line with finance and supply chain policies and procedures.
    • Assist new employees with access cards, parking, computers, stationery, and any other arrangements as necessary.
    • Perform other duties as required.

    EDUCATION, SKILLS AND EXPERIENCE:

    Education

    • Relevant Diploma in Human Recourses equivalent tNQF level 6 
    • Development Facilitator preferable
    • Computer proficiency-Ms Word and Excel intermediate Level 
    • Verbal; and written communication

    Experience

    • 2 years project administration experience
    • 3-5 years’ experience in HR administrator. 
    • Experience with dealing with training service providers.
    • Experience with working with preparing quotes and invoicing
    • Experience within a training environment or an HR background

    Facilities Manager

    KEY PERFORMANCE AREAS:

    OPERATIONS MANAGEMENT 

    • Manage and maintain physical security. 
    • Defines and manages delivery of the outcomes of the section
    • Provide support to the security committee as it reviews and updates integrated security framework.
    • Provide secretarial services for the security committee.
    • Manage the provision of the day-to-day support services related to physical security, reception, cleaning, hygiene, catering, refreshments, parking, fleet management, building maintenance, waste and recycling management, office accommodation, courier, deliveries, and collections including mail and boardrooms management.
    • Manage contractors of facilities and physical security services and ensure that they operate in compliance with applicable regulatory framework and standards.
    • Manages and improves workflow, and the application of processes or standard operating procedures and systems.  
    • Ensure existence of service level agreements for contractors and monitor compliance
    • Ensure that the FIC complies with relevant facilities and security requirements.
    • Perform such duties as required from time to time.

    GOVERNANCE AND RISK MANAGEMENT 

    • Provide advice to management team on physical security risks and management of such risks.
    • Manages functions risks.   
    • Ensures compliance with codes of conduct, policies, procedures, and legislative requirements.
    • Provides input into budget for the division or section.
    • Develop, implement, and maintain relevant policies, procedures and systems required for facilities management and compliance thereof.

    PEOPLE MANAGEMENT

    • Manage subordinates’ day to day activities and provide guidance and direction
    • Manages the performance and conducts reviews of the subordinates.
    • Supports retention of key skills and talent.
    • Provides input into succession plans for key positions. 
    • Supports the development and career growth of staff, including input into the priority development needs of staff. 
    • Manages the development of the subordinate.
    • Coaches and counsels of the subordinate 
    • Inspires and motivates staff to deliver results.

    EDUCATION, SKILLS AND EXPERIENCE:

    • Relevant degree or equivalent 
    • Minimum 7 years’ experience in facilities management with 3 years managerial  experience
    • Extensive knowledge of relevant laws regulations and legislation impacting on facilities
    • Knowledge of policies, standards, procedures and the implementation of appropriate controls and Standard Operations Procedures
    • Knowledge of the workings of the organs of the state will be advantageous.
    • Proficient in Ms Excel, Ms Word

    Applications Architect

    KEY PERFORMANCE AREAS: 

    Application Architecture domain establishment 

    • Interpret and apply approved enterprise architecture principles, policies, procedures in the architecture work. 
    • Provide guidance on matters related to the application architecture domain, provide domain driven input in all enterprise architecture services as guided by EA standard, procedures, and policies.
    • Establish and maintain the application architecture domain (as-is and to-be architecture) for the FIC.
    • Perform impact assessment and options analysis as part of EA facilitation. 
    • Develop or provide input to business cases and architecture roadmaps as part of business continuity. 
    • Develop and maintain all the application architecture templates.
    • Present all domain related changes to the organisation’s Governance structures as guided by policies.

    EA tool administration 

    • Develop, maintain the establishment of the repository.
    • Maintain the modelling style guidelines and provide access management.  
    • Publish and create awareness in the organisation on application architecture as part of the enterprise-wide drive or initiative.

    Solution Architecture

    •  Define and design architecture solutions that encompass all architecture domains outlining solutions in line with business requirements, enterprise architecture principles, and ICT standards to ensure standardisation and risk management. 
    • Review and ensure solution architecture designs provide seamless integration, scalability, and security in accordance with the prescribed enterprise architecture. Update and maintain the architecture repository with all architecture artifacts as part of architecture implementation governance.

    Project planning and implementation

    •  Contribute to the development and/or evaluation of Terms of Reference documents to assist business and ICT teams during procurement process. 
    • Take accountability for the end-to-end delivery of solution/applications/systems and ensure alignment to the approved architecture.

    Stakeholder Management

    •  Work with ICT, and internal stakeholders to understand their strategic direction and ensure that the architecture is in alignment in the implementation of such.  
    • Work closely with and provide support to the solution architects to ensure that solutions are created and in alignment with the architecture landscape.
    • Communication and Collaboration: Have good communication and collaboration skills to effectively work with the various teams and stakeholders.
    • Innovation: Keep up to date with the latest technology trends and bring innovative ideas on how the best solutions can be brought into the organisation.
    • Business Alignment: Align designed solution with the overall business strategy and ensure it delivers business value.

    EDUCATION, SKILLS AND EXPERIENCE:

    • Relevant postgraduate Bachelor's Degree in Computer Science, Information technology, software engineering, or a related field is a requirement. (NQF level7).
    • Master Degree in Information or Information Systems would be an advantage.
    • TOGAF Certification is a requirement. Knowledge of other frameworks (e.g., Zachman) would be an advantage.
    • Certification in industry-standard platforms and technologies such as AWS, Azure, or Google Cloud would be an advantage.
    • Minimum three 6 years’ experience in Enterprise Architecture tools like Case wise, Visio,Sparx Enterprise Architect to maintain an architecture repository.
    • Strong communication and interpersonal skills, ability to work with cross-functional teams.
    • Minimum 6 years’ experience in developing application architecture designs.  
    • Minimum 6 years’ experience in in development of large-scale solutions involving multiple technologies, functions, and interfaces across in-house and vendor supplied application. 
    • Minimum 6 years’ experience in designing hybrid (cloud/on-premises) application architecture and integration patterns.  
    • Solid experience in the developments of business cases, performance of impact assessments and options analysis. 
    • Provide thought leadership, innovation, and best practice. 
    • Experience in designing solutions for (more than one architecture domain in a single project) large projects is an advantage.
    • Ability to guide project teams and ensure solutions are developed and deployed in accordance with approved solution architecture is an advantage
