    Departmental Administrator (Centre for Sexualities, Aids and Gender)

    RESPONSIBILITIES:

    The incumbent will be expected to provide effective office and administration, as well as operational support to the Centre for Sexualities, AIDS and Gender to help ensure the successful functioning of the Centre. The primary objectives is ensuring excellence in intervention strategies, social justice support to UP and its surrounding communities and research.

    The incumbent will be responsible for:

    • Centre and office administration:
    • Overall administration and planning of staff meetings (venue/facilities bookings, announcements, documentation, agenda setting, taking minutes, compiling & distributing thereof);
    • Travel and accommodation bookings;
    • Mail and stationery control;
    • Administrative assistance to project managers;
    • Facilitating permissions for campus access
    • Documenting and co-ordination of staff leave
    • Financial Administration:
    • Generate orders on PeopleSoft;
    • Petty Cash (Claims on PeopleSoft);
    • Acquisition of Stationery (PeopleSoft);
    • Purchases;

    MINIMUM REQUIREMENTS:

    • Grade 12 with at least four (4) years’ relevant experience;

    OR

    • Relevant National 3-year Diploma with at least two (2) years’ relevant experience.

    REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):

    • Strong interpersonal skills and the ability to effectively interact with a wide range of persons both internal and external;
    • Proven computer skills, especially in the use of Windows, Microsoft Office and the Internet;
    • Appropriate verbal and written language and communication skills;
    • Strong attention to detail in all facets of administration;
    • The ability to maintain high levels of discretion and confidentiality;
    • The ability to work under pressure and independently.

    ADDED ADVANTAGES AND PREFERENCES:

    • Tertiary qualification in business administration;
    • Work experience from within a tertiary education environment;
    • Knowledge and experience of the University’s academic administration systems including Oracle PeopleSoft financial system and the maintenance of basic databases;
    • At least five years’ appropriate experience in an administrative position.
