    Assistant Information Specialist

    Duties and Responsibilities:

    User Education

    • Continuously trains students on how to use Information Centre databases to enable them to research and access information required e.g. Ebscohost, Juta Law, Emerald, Sabinet etc.
    • Facilitates bi-annual and walk-in presentations as joint presenters on Student Information Literacy Sessions and Lecturer information briefings.

    Information Specialist Support

    • Drives The Independent Institute of Education (The IIE) Information Centre policies and procedures and ensures adherence to policies.
    • "Supports the Information Specialist in training the Information Centre Student Assistants.

    Information Centre Administration

    • Assists students and lecturers with research by searching for relevant articles and research material.
    • Provides guidance to students on academic writing.
    • Requests lecturing material from Publishers and sources additional material for Academic staff.
    • Monitors the performance of all functions of Information Centre automated Information Centre systems.
    • Updates new books on the Sirsi Dynix to ensure accurate record keeping.

    Information Centre Resources Marketing

    • Designs interactive posters to market Information Centre resources on campus.
    • Arranges monthly displays according to the calendar set out by the Information Centre Manager.
    • Promotes Information Centre resources on various platforms using creative digital tools.
    • Markets teaching and learning resources to lecturers.
    • Presents information about teaching and learning resources and information services during information sessions.

    Senior Student Advisor (Undergraduate)

    Duties and Responsibilities:

    Presentation Target

    Student Advisor (Postgraduate)

    Duties and Responsibilities:

    Final Year Presentations

    • Achieve presentation target as set by Head: Student Recruitment.
    • Complete presentations with final year current students promoting postgraduate studies.

    Student Counsellor

    Duties and Responsibilities:

    Provision of Student Emotional and Mental Counselling Services: 

    • Provides individual primary counselling to students and explores/determines if the student should be referred for secondary counselling and unpacks their referral options if appropriate.
    • Provides students with coping techniques and skills to deal with life challenges.
    • Receives the signed consent form from the student prior to the commencement of the first counselling session.
    • Establishes trustworthy relationships with students that opens channels for communication between the campus and students.
    • Establishes a referral network for secondary counselling as the primary counsellor on campus. Refers students to the secondary counsellor on campus in the event of an emergency / conflict of interest / dual relationships.
    • Creates awareness campaigns surrounding universal social and emotional issues and sources relevant guest speakers to add value to the campaign and address students on relevant topics.

    Creation, Rollout and Monitoring of Awareness Campaigns

    • In collaboration with the academic, academic operations and student experience teams, sets a bi-annual calendar for the following semester of awareness campaigns to promote and enhance awareness of mental health challenges.
    • Identifies key NGO's / stakeholders, suggests possible campaigns and plans awareness campaigns accordingly.
    • Upskilling / training / collaboration with campus staff stakeholders to create awareness on important wellness related matters.

    • In collaboration with the academic, academic operations and student experience teams and the student wellness manager, assists in planning a bi-annual community engagement calendar of events.
    • Assists with marketing sustainable community engagement outreach programmes and encourages student participation in these programmes.
    • Creates awareness amongst students regarding social and environmental issues.
    • Assist the Student Wellness Manager with the logistics and implementation plans for the successful rollout of community outreach programmes.
    • Empowers students with a sense of citizenship and encourages students to get involved in activities for community engagement projects in their area (e.g. by donating blood, donation drives and outreach projects).
    • Provide volunteer opportunities for students to give back, participate in community outreach programmes and create awareness opportunities for students to engage and interact with various stakeholders.
    • Co-ordinates communication and visibility of campaigns (including sharing posters on the WhatsApp community groups).

    • Manages the KHUMO budget and keeps track / records of the events / involvement with the KHUMO school and tracks spend allocated and utilised for various projects.

    Bursary and Budget Management

    • Ensures assistance from the Student committee with the rollout of awareness campaigns and marketing the student counsellor services on campus.
    • Manages the Student Counsellors budget and augments budgets through fund raising initiatives for community engagement opportunities / Awareness Campaigns.
    • Student Wellness Administration and Reporting
    • Provides annual registration process support specifically relating to the marketing of the Student Counsellor services.
    • Communicates and liaises with students specifically in relation to Student counsellor services available.
    • Compiles and submits weekly Student Wellness status and progress reports as well as the weekly Student Activity Report to the National Student Wellness Manager including statistics and details of counselling sessions and referrals.
    • Markets, uploads and maintains a monthly register of workshops and videos regarding awareness campaigns available and in the designated wellness weeks.
    • Ensure all marketing material / posters / infographics / videos are approved and available to students prior to the commencement of the initiatives.

    Admissions Manager

    Duties and Responsibilities:

    Management of Student Admissions

    • Approval of international, conditional and other South African admissions as agreed with the IIE Office of the Registrar (IIE OOR), including tracking and auditing of these admissions using relevant SAM reports.
    • Administration and tracking of all IIE’s Varsity College students’ USAf applications.
    • Approval and auditing of one module outstanding conditional admissions for The IIE’s Varsity College.
    • Tracking of international students to the Department of Home Affairs (DHA).

    Management of the Admissions Process for the Brand

    • Policy and procedure review with the IIE Office of the Registrar.
    • Developing and updating of Varsity College admission procedure documents.
    • Compilation and maintenance of IIE’s Varsity College fact sheets.
    • Tracking IIE qualifications on The IIE’s Varsity College website and communicating any errors or omissions to the media office for correction.
    • Supporting The IIE Office of the Registrar with replies to student complaints.
    • Tracking of mature age admissions for The IIE’s Varsity College.

    Campus Support

    • Training of marketing teams on admissions.
    • Training of Admission Centre Co-ordinators prior to registration.
    • Pulse campus visits, review of site evidence re compliance to the admission policies and drafting of Pulse Reports.

    Programme Operations Manager (School Of Finance And Accounting)

    Duties and Responsibilities:

    Builds and Maintains Campus Relationships

    • Provides campuses with all relevant updates on policies, procedures, changes and plans of The Independent Institute of Education (The IIE).
    • Reviews the academic operational requirements of the relevant campuses annually and defines a rollout plan.
    • Provides support and guidance to the campuses in order to resolve issues that may arise.
    • Maintains relationships with campus Academic and Operations teams and supports campus staff if and when required.

    Managing Academic School Operations

    • Provides a framework, guidance and support in order for the campus to provide an equitable delivery of academic and operational support to students and academic staff within an academic school.
    • Provides detailed academic operational guidance documentation to support the provision of a high quality academic student experience.
    • Manages the operational elements of the academic school between the Central Academic Team, Head of School (HOS) and campus teams and vice versa.
    • Manages the delivery of The Independent Institute of Education's academic material including monitoring of go live of online material on Learn to the campus teams.
    • Collaborates as part of the National office Academic Operations team to review all academic operational requirements and to establish an overall annual academic operational plan.
    • Monitors and tracks progress on the roll out of the academic operational plans to establish its status to ensure that the plan is on track.

    Collaboration with The Independent Institute of Education's Central Academic Team (CAT)

    • Works with the Central Academic Team through relationships with the Head of Programme (HOP), Head of Faculty (HOF), Operations Manager and Central Academic Team Programme Operations Managers.
    • Manages the Intralink communication, contributing to Teaching & Learning and Faculty Boards.
    • Provides operational support to The Independent Institute of Education on new programme development through the gathering of input from the relevant stakeholders and consolidating all feedback for submission.
    • Liaises with and discusses delivery requirements and timing with the Central Academic Team to ensure consistency.
    • Works closely with the Heads of School, Programme Managers (PM) and Campus Operations teams as well as the Central Academic Team Heads of Programme in providing a holistic/measured/well-rounded and considered approach to issues and challenges that exist.

    Management of Designated National Academic Operations Portfolio

    • Reviews programme operational elements such as the timing of sessions etc. and provides input relating to how effective the programme may be from a delivery perspective.
    • Reviews academic operational plans on a national level and creates portfolio specific plans.
    • Implements the academic operational timeline in / across the national portfolio.

    Handyman - Sandton

     Duties and Responsibilities:

    • Perform maintenance and light repairs.
    • Set up venues as per instruction from Facilities Co-ordinator when needed.
    • Paint and/or repair gaps or crevices (on walls, sidewalks etc.)

    HR Officer - Midrand

    Duties and Responsibilities:

    • The HR Officer is responsible for all the National office Human Resource (HR) administration which includes Talent Acquisition, HR advisory support, IR and Disciplinary, Performance Management ,Talent Management Administration support, Employee event co-ordination functions, as well as the processing and tracking of various HR functions across all sites such as retention surveys etc.

    Talent Acquisition

    • Reviews the approved Authority to Recruit (ATR) notifications and commences the recruitment support process.
    • Conducts the hiring plan discussion with the relevant Hiring Managers.
    • Advertises approved vacancies both internally and externally.
    • Compiling the P41 for advertising purposes and submission to ADvTECH Head Office
    • Disseminates job specs to recruitment agencies and briefs them accordingly, arranges interviews and acts as a point of contact for the receipt of applications and provides candidate feedback.
    • Reviews all applications in line with the job requirements and creates the initial shortlist for each vacancy.
    • Provides the Hiring Managers with a list of the shortlisted candidates.
    • Conducts telephonic interviews , preliminary face-to-face interviews , arranges interviews with Hiring Managers, ensuring that the interview matrix is followed for the National Office
    • Setting up of Psychometric Assessments and providing assessment feedback , flagging any concerns with the Line Manager.

    Employee Relations

    • Supports the HR Manager with any administrative needs relating to the ER functions for the National office.
    • Ensures that all documentation relating to disciplinary or performance matters is stored in line with audit/company requirements and the Protection of Personal Information Act (PoPIA).

    Performance Management

    • Ensures that all National office Performance Reviews are conducted in line with the company issued timeframes and that these reviews are saved in the required system/format/folders and uploaded as per company requirements.
    • Sets reminders to follow up on the probation review documents for new staff after each 30 day milestone has passed and checks that the forms have been completed to standard and flags any concerns or action items with HR Manager.
    • Reviews each probation review to check that it has been fully completed, all queries are dealt with, they have been signed by the employee and line manager and that any concerns are highlighted and addressed.
    • Conducts recruitment, performance review and probation review training for all new managers joining the National office.
    • Sends out calendar reminders to Site HR regarding probation review due dates and follows up to ensure that the reviews are received timeously.
    • Review and escalate all probations reviews received from National and ensures that all requirements are met, or raises any issues with HR manager for resolution.
    • Tracks extensions for probation reviews across all campuses and ensures that the final probation reviews are received on the extension deadline.

    Training and Development

    • Supports the Training Manager with any training logistics or administrative requirements for the National office.
    • Co-ordinates and prepares all logistics for the National office employee/HR related events such as wellness days, employee appreciation days, long service celebrations, employee training on site, orientations etc.
    • Partners with the Training Manager in assessing and gathering all information related to the training and development needs for the National office and putting plans in place to meet these needs accordingly.
    • Assists National office employees with online study assistance applications on the BTATS system and supports the Training Manager in ensuring that each application meets the policy requirements.
    • Adheres to the provisions of the Protection of Personal Information Act (PoPIA) in all matters relating to training and development support for the National office.

    Talent Management

    • Ensures that all National office Talent Reviews are conducted in line with the company issued timeframes and support the HR Manager in preparing Talent Reviews and ensures all documentation are saved in the required system/format/folders as per company requirements.
    • Communicates important HR notices/news/announcements to the National office.
    • Collaborates with and supports the other National HR team members with various HR related projects.
    • Processes/responds to all confirmation of employment requests in line with company policy and the provisions of the Protection of Personal Information Act.
    • Updates the Staff list and Birthday trackers monthly.

    Senior Student Advisor (Undergraduate) - Westville

    Duties and Responsibilities:

    Presentation Target

    • Deliver engaging presentations at targeted schools, showcasing the benefits of our institution.                             
    • The ability to deliver a great presentation to potential students is crucial.
    • Distribute marketing materials and interact with students to generate interest and enquiries.                                             
    • Represent our brand at career expos and other stakeholder events.        
    • Achieve monthly presentation targets as per school priorities.

    Database Collection

    • Meet monthly targets for collecting school databases to expand our reach.

    Interview Target

    • Make proactive calls to prospective students, scheduling interviews to meet daily and weekly targets.
    • Follow up on online applications, ensuring proof of payments and scheduling appointments.
    • Provide prompt responses to online and telephonic enquiries.
    • Conduct interviews following an established script, building rapport with students and parents.
    • Achieve individual targets for weekly, monthly and annual interviews.

    Application Target

    • Assist students with the online application process during interviews, securing applications on the spot.
    • Follow up with unpaid online applications and ensuring payment is completed.
    • Conduct regular calling campaigns to convert interviews into applications.
    • Drive application acceptance and pre-registration fee payment.
    • Achieve individual targets for weekly, monthly and annual applications.

    Registration Target

    • Meet individual targets for new student registrations.      
    • Administration and Reporting
    • Maintain accurate daily reports, including call reports and interview booking trackers and the CRM system.
    • Ensure interview forms are completed correctly and applications have valid supporting documentation.
    • Update relevant systems and reports as required by the Head: Student Recruitment.

    Competencies Required:

    • Strong interpersonal and communication skills to effectively engage with students, parents and stakeholders.
    • The ability to deliver a compelling presentation at schools is crucial.
    • Friendly, tenacious, and target-driven mindset with exceptional organisational abilities.

    Minimum Qualification Requirements:

    • National Diploma (NQF6) with 3 years sales experience (preferred). Alternatively, minimum of National Senior Certificate (or equivalent) with 5 years sales experience.

    Minimum Work Experience Requirements:

    • 1- 2 years of sales experience is preferable.
