    Document Controller

    Key requirements of the role will include but are not limited to;

    • Ensuring the correct Document Control procedures are adhered to by the teams
    • Quality controlling documents and alerting design teams of required actions
    • Issuing digital and hard-copy documents externally
    • Tracking, processing and filing all incoming and outgoing documents
    • Acting as an internal and external point of contact for document control enquiries
    • Assisting with Project Administration responsibilities and general ad hoc administration duties
    • Ultimately, you’ll support our procedures by maintaining transparent, up-to-date and easily traceable documents.

    What you will do:

    • Ensure that all Design documents and procedures are followed and implemented where necessary
    • Understand the creation of technical drawings using AutoCAD in 2D
    • To assist or manage the design process ensuring it is undertaken efficiently to a high-performance standard that exceeds business goals
    • To provide advice and support to Design/Site team/business wide as appropriate
    • Copy, scan and store documents
    • Check for accuracy and edit files, like contracts
    • Review and update technical documents (e.g. manuals and workflows)
    • Distribute project-related copies to internal teams
    • File documents in physical and digital records
    • Create templates for future use
    • Retrieve files as requested by employees and clients
    • Manage the flow of documentation within the organization
    • Maintain confidentiality around sensitive information and terms of the agreement
    • Prepare reports on projects as needed

    THE CANDIDATE:

    • Experience of working in a similar environment is desirable; Security, Construction, Consulting
    • Experience in working with Document Control systems: 4Projects, ASite, Conject/BIW, Dome Connect
    • Fully competent in using Microsoft Office products
    • Meticulous attention to detail
    • Excellent interpersonal and communication skills, both verbally and written
    • A flexible, patient and proactive approach to work and an ability to work to deadlines

    Experience

    • National Diploma: Electrical Engineering
    • Exposure to Document Control
    • Exposure to AutoCAD
    • Familiarity with Project Management/administration
    • Hands-on experience with MS Office and MS Excel
    • Knowledge of Electronic Document Management Systems (EDMS)
    • Knowledge and skills

    Technicians

    The purpose of the Technicians is to provide remote operational support to the client’s global, enterprise-level electronic security systems and architecture. The client operational support will be structured in tiers with QCIC fulfilling services between global systems and client support to own and manage issues to resolution.

    The Technicians will be required to work 3 Saturdays and 3 Sundays per quarter with any additional weekend work other than the above subject to additional remuneration.

    This role would suit an individual who although may not have CCURE experience does have equivalent certifications with IMPRO level 2. We will offer CCURE and Genetec training to the successful candidate.

    The principal responsibilities of the role are as follows:

    • System Administration, version upgrades, patching, change mgmt. & hardware configuration updates and governance.
    • Day to day operations – maintenance and support – including but not limited to reactive support activities, ticket triage, escalations, etc.
    • Day to day operations – administration – including but not limited to; profile, photo, clearance administration, and reporting.
    • Day to day monitoring of activities within a specific site or region including access control, CCTV, and intrusion detection related activities.
    • Application related issue (impacting a single site or individual assets on a single site, with limited impact on core business activities).
    • Application related issue (impacting day to day core business activities and/or multiple sites).
    • Planned routine maintenance of associated Access Control & CCTV applications.

    SPECIFIC TASKS

    Operations and Support

    • Implementing and supporting the day to day operations of the security systems;

    System Tasks:

    • Regular review of system performance and system events
    • Checking the status of security hardware
    • Regular system reporting
    • Health checks of server hardware
    • Enforcing controls and standards

    Support and Services:

    • Assisting in the upgrade of thick client installations
    • Assisting operators with day to day issues and escalating if unable to solve
    • Diagnosing/rectifying issues reported by the security/customers service staff escalating if unable to solve

    Routine System Maintenance

    Planned maintenance of the security systems at a regional level:

    • Working with the local integrator to oversee PPM
    • Run reports to show a high volume of alarms on devices and rectify
    • Assess the impact of the maintenance required on local staff and escalate if necessary

    Software/firmware upgrades:

    • OS patching on a monthly basis (or as agreed by the client’s IT department)
    • Testing of version upgrades and Service Pack installations in the test environment
    • Flagging any issues discovered including impact on 3rd party connected services
    • Installing approved version upgrades and Service Packs in the live environment
    • Assisting with firmware upgrades of field devices (Carried out by local integrator)

    THE CANDIDATE:

    The ideal candidates will have the following skills, knowledge and experience:

    • Experience with Enterprise Security Systems
    • Excellent attention to detail
    • Experience with ticketing systems
    • Able to assess reported issues and rectify
    • Excellent communication skills with peers and clients
    • Advanced Knowledge IMPRO (ideally Level 2), FCwinX or similar applications
    • Able to provide Microsoft OS support
    • Able to perform Network Diagnostics
    • Understanding of data protection and GDPR

    Design Assistants

    We are looking for two Design Assistants to work from our office in Cape Town, the main purpose of these roles is to provide supporting technical, design and engineering services to the Group on projects, as directed by the Associate/Associate Director.

    The role will be mentored by senior QCIC Consultants/Associates in the delivery of security projects and quality management, however, the successful individuals must be able to work competently with supervision.

    What you will do

    General Administration:

    • Assist internal project managers with project deliverables through structural design milestone delivery stages.
    • Attend internal project design review meetings and distribute meeting minutes and action logs to internal engineers for remediation.
    • Assist with the review and formulation of master templates (i.e. presentations, reports), consolidating into a standard format and storing within a pre-established centralised repository.
    • Assist senior management with the creation of financial project proposals.
    • Complete daily reviews of online project Document Management Systems (DMS), logging actions and items for remediation within a centralised action tracker.
    • Collaborate and provide input on project and company presentations as required.

    Role Specific:

    • Use of the company’s internal software to place QCIC drawings onto architect backgrounds.
    • Setting up of projects including fee schedules using the company’s timesheet software.
    • Excellent Excel skills, able to use various functions to produce and amend fee proposals.
    • Excellent attention to detail specifically when comparing contractor’s CAD drawings with QCIC CAD drawings.
    • Knowledge of CAD drawings and/or site plans.
    • Excellent communication skills.

    What we are looking for

    • Adequate work experience within a similar role.
    • Excellent Communication Skills (written and verbal).
    • Extensive experience with all office-based applications, including Microsoft Excel, PowerPoint & Word.
    • A propensity for multi-tasking, with good interpersonal and communication skills.
    • Tertiary Education – MEng or BEng (Electric or Electrical Engineering).
    • Deadline-driven, with good time management, and organisational skills, with a high level of attention to detail and accuracy.

    It would be desirable if you also have

    • Use of CAD or similar drawing design tools or modelling systems.
    • Proven experience in security or architectural background.
    • Knowledge of RIBA frameworks.
    • Familiar with Document Control processes.

    Senior Consultant

    The Senior Security Consultant will take a risk-based approach and provide physical design input on a growing project within the SA region as part of our Design, Build, Run format. The Senior Consultant will also contribute to the coordination of input from other members of the design team inclusive of resource allocation, project management and financial aspects.

    What you will do

    • Provide a professional security strategy design service to clients on projects as directed by senior management
    • Act as project manager to ensure service and project work are carried out within agreed deadlines and within budget
    • Work competently on an independent basis
    • Work collaboratively in a multidiscipline design team
    • Communicate directly with clients and be able to lead meetings and present when required
    • Prepare technical and financial proposals for new work
    • Manage workload of junior engineers and technicians (including verification of quality)
    • Prepare and take responsibility for concept and preliminary strategy solutions for detail design
    • Set up and manage job/project administrative systems, including planning and monitoring job resourcing/expenditure (adjusting these as necessary)
    • Ensure the senior management team are kept informed of important and relevant service/design decisions and the objectives of the client and the company are achieved
    • Represent the Company at meetings with the client, other professionals and suppliers
    • Continually ensure that practices, policies, strategy and services represent the client’s and the company’s best interests and that company policy is in keeping with current legislation, SABS Standards and Codes of Practice etc.
    • Any other business related tasks which are deemed appropriate to your role and requested by QCIC management

    Business Development

    • Participate in marketing QCIC internally and externally to showcase services on offer
    • Complete single page CV for marketing/submissions and update regularly
    • Participate in team marketing activities and attend networking events

    Commercial

    • Prepare fee proposals, terms and conditions for approval as directed
    • Scope new projects putting together delivery methodology as directed
    • Manage project finances on a monthly basis as directed
