    Ops Spec: Project Management: Cape Town Contract

    Core Description

    Involved in the execution of large IT projects in accordance with the specified and agreed upon scope, timeframe, budget and quality requirements.  To provide guidance and support to junior project staff.

    Key Deliverables / Primary Functions

    • Provide input in project plans to determine scope and timeframes to ensure quality and successful project execution.  Produce detailed work plans with appropriate timelines, matching resources against project priorities.
    • Coordinate the delivery of multiple smaller projects to successful completion in accordance with scope, timeframe and service level agreements. 
    • Monitor governance and quality of the projects in line with BCX regulation and policies. 
    • Provide onsite direction and guidance for fellow members where necessary to ensure timelines are met.
    • Resolve issues, conflicts, dependencies and critical path deliverables, escalating to Project Manager/Senior Project Manager as and when required.
    • Track and report on project status and performance, project deliverables, dependencies and timeframes.
    • Identify project risks and recommend action plans to counter risks to ensure successful and on-time project delivery.
    • Document project management processes inclusive of minutes of meetings, progress reports and appropriate information collection and storage.
    • Contribute to process improvement initiatives to improve project delivery.
    • Log project – related activities on the Navision ERP system.

    Operations Specialist: Workshop

    Core Description

    Responsible for providing technical and general assistance and support to the Octane fuel pump workshop. Perform repairs on faulty equipment, ensuring that daily productivity targets are met consistently. Assist in identifying, and executing, cost effective repair methods. 

    Key Deliverables / Primary Functions

    • Maintenance, repairs and assembly 
    • Reconcile all LFD mechanical components [e.g. Nozzles, motors, pumping units & meters 
    • Repair, build & prepare LFD’s for site operation 
    • Ensure LFD’s dispatched from the workshop conforms to SANS 1020, SANAS 10378 and the Metrology Act of 1973 
    • Assist Field staff with projects & day to day operations 
    • Check & test faulty components returned by Field staff 
    • Build and/or repair forecourt & POS equipment. 
    • No follow up calls from the Customer or repeated incidents 
    • Controlling traceability of parts and LFD’s movement within workshop. 
    • Compliance to SANS 1020. 
    • HSSE Compliance 
    • Fully understand and comply with HSSE requirements 
    • Comply with PPE requirements 
    • Comply with housekeeping standards and requirements 
    • Handle hand tools and equipment with proficiency and care

    Tech Officer: Projects

    Core Description

    • Plans, executes and services activities on staging of machines, including assisting with installations, discontinuance and repairs. 

    Key Deliverables / Primary Functions

    Technical /Staging Duties  

    • Upgrading and installing of new equipment and / or software configurations, as required on new or reloaded machines. 
    • Staging of equipment prior to installations,  
    • Advising management on technical matters required. 
    • Performing necessary activities to keep diagnostics, tools and service aids in a ready condition 
    • Ensure that Staging area has connectivity to download staging material 
    • Ensuring that pre-staging checks are completed before ANY installation. 
    • Adhering and notifying all relevant parties of any installation changes on Microsoft Licensing 
    • Ensuring latest Development and Anti Virus installation changes are adhere to and relevant parties notified regarding changes. 

    Quality of Service  

    • Assuming accountability for the quality of service as required.  
    • Ensuring proper adherence to the project specifications and Service Level Agreements (SLA) for customers  

    Stock Control  

    • Assuming accountability for the control of all stock issued, ensuring adherence to all stock related processes.  
    • Notifying relevant Project managers of stock issues.  
    • Responsible for all stock issued, including mobile device, if applicable  

    General  

    • Keeping the Project Planning Department informed on current location, call priority and planned activity.  
    • Ensuring that Staging documentation is completed timeously and included with every machine that is staged 
    • Ensuring that all relevant documentation is completed timeously and accurately; i.e. Overtime and expenses, etc.  
    • Practicing proper system management, use of reports, and time utilisation as defined by management.  
    • To project and enhance the Company’s image in a professional manner.  
    • Establishing good communication with the Customers.  
    • Ensuring that any Company assets utilized are cared for in a proper manner.

    Ops Specialist: SAM Licensing - Gauteng (Fixed Term Contract)

    Core Description

    • To deliver SAM services to BCX outsourced clients to manage the client’s software estate.

    Key Deliverables / Primary Functions
    Software Asset Management

    • Design, implement, maintain & optimise SAM operational processes and procedures including integration to Customer Specific Software Asset Management Processes 
    • Fulfil a control function performing software license compliance and optimization by providing information as required for license compliance reviews and drive remediation actions to continually improve compliance and reduce software risks and unnecessary expenditure.
    • Participation in performing Software Asset Management Maturity Assessments, developing action plans to improve maturity and Key Performance Indicator identification and implementation.
    • Development, automation and maintenance of all SAM operational Working Documents and development of Work Instructions.
    • For out-of-scope vendors, provide advice based on general software license terms. Optionally conduct research and feedback on vendor-specific licensing terms.
    • Ensure that data feeds from inventory collection systems are operating correctly
    • Liaise between all affected stakeholders (vendor, business, Procurement, Finance, etc.) to ensure SAM information is updated
    • Assess requirements and fulfil user requests for software logged 
    • Assist in the implementation of the Customer Specific Continual Improvement Plan as agreed to

    Flexera Toolset

    • Responsible for all SAM updates ON Flexera to deliver an effective SAM service
    • Create/update the Org Structure and or Location structure for customers
    • Responsible for the contracts, po’s and associated licenses as captured in Flexera 
    • Fully onboard top 10 software vendors into Flexera ensuring all business data (e.g. vendors, purchases, financials, contracts, licence information etc.) are correctly loaded to provide a licence compliance position
    • Load new contracts as they are purchased or renewed and retire old contract
    • Categorize newly discovered unmanaged software according to the Flexera model and the Customer Software Standards/Catalogue
    • Provide standard reports and create ad-hoc reports from within Flexera or export into excel and edit to supply info in the required format.
    • Perform Hardware Reconciliation between the Flexera inventory and the CMDB, AD, Oracle DBA using vlookups, excel formulaes and pivots
    • Assign licensing in Flexera to authorized users
    • Assist in identifying Illegal or Unlicensed Software through evaluation of the Software 
    • Investigate and mitigate unauthorized software and non-complaint software 
    • Liaise with users to obtain specific Software information should a query arise
    • Coordinate unrecognised SKU’s by manually capturing PURL info
    • Coordinate software in the unrecognised evidence in Flexera so they appear in the ARL
    • Log calls to address problems in flexera, including missing SKU’s.

    Functional Skills

    • Knowledge of ITAM Tools (Flexera, Remedy, ITIL V3/V4 training and certification SCCM, ServiceNow preferred)
    • Microsoft, Adobe software licence knowledge and skills (IBM, Oracle, VMware, SAP, Symantec, Toad licence knowledge and application is a bonus)
    • Data analysis, presentation skills (Excel and PowerPoint, MSword)
    • Good written and communication skills and confidence to chair Operational client facing/online meetings
